    To ensure the success of events at the University of Pikeville, timely submission of the Event Reservation Setup Form (ERSF) is crucial. We want to emphasize the significance of adhering to our 2-week submission policy. Failure to submit within this two-week period may result in staffing and resource limitations that could affect your event. Providing all event details, including date, time, location, expected attendance, and specific requirements, is essential. By cooperating and submitting requests in advance, you contribute to creating a safe, engaging, and student-focused atmosphere. We are here to assist with any questions or concerns, and your dedication to our students' success is greatly appreciated.

  • Please ensure you have obtained the appropriate approval for the venue before submitting your request. Some areas may have a special approval process in order for the venue to be reserved. For assistance, please reach out to Event Services.

  • Event Type

    To enhance the efficiency of the services provided by Event Services, Facilities Management, and A/V & IT, we have implemented event type categories. Each category comes with specific service restrictions. This is to ensure that the appropriate resources can be requested, taking into account the current workload of the respective departments.
  • Please provide a detailed description of the Event Type below and select the appropriate option. If you are unsure which option to choose, please contact Event Services at 606-218-5271.

    • Meeting Only: This category can be reserved 2 days in advance and does not require dedicated service personnel or additional equipment or campus resources beyond what is already available in the room. Typically, these events occur during normal business hours.
    • Self-Hosted: These events can be hosted and executed without the need for additional personnel to be present. No A/V support will be expected to be provided when Self-Hosted is selected as an option. Event host can utilize technology in the space, or equipment self-checked out using the check-out sheet from ITS.  
    • Classroom: Events hosted in the classroom does not require A/V tech support throughout the duration of event – Tech support can be available to set up event during business hours. Client will be responsible for running their own technology INCLUDING the proper shutdown of the system at the conclusion of the event. Please note that most classrooms have an automatic shutdown feature enabled for 7pm and 9pm and can not be disabled.
    • Full-Service: These events, hosted by Departmental/Divisional/Presidential, can extend beyond normal business hours and/or require the support of additional staff personnel (Events and A/V). They may also necessitate custom setup, catering, and include events for which alcohol has been approved.

  • NOTICE ABOUT VIDEO CONFERENCING (ie: ZOOM/TEAMS): Please note that Booth Auditorium and the 7th floor of HPE are not natively Zoom-capable. A/V has technology that can be checked out for hosting Zoom meetings with certain limitations. For additional clarification on these limitations, please contact A/V.

  • NOTICE: Any alcohol-related event must receive PRIOR APPROVAL. Alcohol events are limited to graduate and health professional events hosted by department heads. Additionally, Public Safety must be present, incurring an additional charge for their services.
