Referred to herein as The Owner.
SERVICE: TOTAL KEYHOLDING SERVICE CONTRACT INC LINEN
Summary
It has been agreed between the parties named above that The Company will provide to The Owner keyholding and property management services to their property named above.
Scope of Service
The Company will provide to The Owner the following services to their best endeavours: -
· Twice monthly inspection of property. Inside and out. Check for damp or other perils, clear drains and gutters, flush WC, check air conditioning, check boiler, check bulbs and batteries. General check and security check and report any issues or potential issues to The owner.
· Storm checks in adverse weather conditions. (This means we may bring forward or delay an inspection to be better timed with adverse weather conditions.
· Access granted to authorised personnel, i.e., friends and family, guests gas inspection etc.
· Mail collection and / or receive deliveries to our office.
· General assistance with translation, procedures etc. We speak Spanish, French, Arabic and English.
· Point of contract for owners and guests, whilst staying at the property, including check in and check out.
· 24/7 service in case of emergency (Call out charges would be charged to guest Owner as applicable for lock outs or self-caused emergencies.
· Hotel quality linen and towels supplied (optional service)
· Deep Cleans, check in and out cleans and regular / mid stay cleans. (quote provided).
· Project Management of any maintenance as required, servicing of boiler/ Aircon, structural works, plumbing, electrics etc. (Speaking the local language secures much better prices for our Owners.
· In house laundry and on-site presence, providing face to face assistance and an additional level of service unrivalled locally.
· By arrangement, we will source and pay for larger spends to provide tax saving to The Owner by reclaiming from money owed. For example, new boiler fitted, Air conditioning in bedrooms etc.
· Complimentary toiletries, tea / coffee, cleaning materials and dishwasher / washing tablets provided for guests and owners.
Charges
€45 per month plus IVA inc. linen and towels. This covers all routine inspections, non-urgent visits, and small tasks (fix door handle, tighten pipes under sink, tighten toilet seat etc. Urgent out of scope call outs or tasks charged at €30 per hour plus IVA. Fault of guest urgent call outs charged to guest. Bespoke quotes for undertaking building works etc.
Contract Terms
Monthly contract, paid in advance by credit or debit card or Direct debit.
Minimum term 12 months, to reflect the initial work involved in preparing the property for our cleaners to maintain etc. Thereafter 3 months’ notice to be provided by either party to terminate the contract for convenience. This can be amended with the prior agreement of both parties.
In the event of non-compliance of the contract terms by either party, the other party must serve notice in writing detailing the breach. The party in breach must rectify the problem within a reasonably timely manner (governed by industry standard, but with a maximum term of 14 days). Failure to rectify the breach(es) may result in immediate termination of the contract. In the case of The Company being at fault, keys must be returned within a reasonable timeframe and the payment stopped. In the case of The Owner being at fault, any monies owning become due immediately including any remaining time of the minimum term of the contract.
Owner responsibilities.
The Owner is responsible for maintaining the shared calendar (online access provided), to show when they are arriving and departing. This enables our staff to prepare the property for arrival. The property will be cleaned and prepared for the stated number of guests, unless otherwise agreed. The cleaning fee can be left in cash upon departure and is free of IVA. Otherwise, Iva will be added and charged to the card on file.
A valid credit card must be provided for such charges as stated above. Incidental items, such as lightbulbs, batteries, door mat, mop etc can be charged to the card or with prior agreement can be charged to the account to be deducted from owner pay. Any overdue monies owing may be charged to the card on file at any time and this contract serves as express permission to do so. Alternatively, a cash “float” can be kept for such essential items.
The owner agrees that in the case of emergency, the priority is to call an expert to assess the situation and make safe. The Owner expressly agrees to accept responsibility for such call out fees.
In the event of any dispute over the validity of this contract and / or the terms within, the courts of Murcia, Spain will prevail. This contract may not be shared with any third party not specifically named in the contract. Unauthorised sharing may result in legal action being taken under Copyright laws.
