Booths are assigned on a first come, first served basis along with cultural compatibility with the festival. If your vendor application is approved by the committee, you will be notified along with information for payment options to reserve your space. Festival staff try in every way to accommodate specific requests. If you have any questions, please contact us BEFORE the festival. Set up process
Event Information and Guidelines for Vendors

Please read carefully.
- Setup occurs from 8:30-10:30 AM on Saturday, May 17, 2025.
- Vendors will enter the event space in Tibbits Plaza from West Pearl Street, and exit south onto South Hanchett ThisStreet. A map will be provided leading up to the event.
- Once vendors unload all materials in their booth space, they will park vehicles in a nearby lot before returning to the booth to set up. This will prevent vehicle congestion.
- Vendors must unload and remove their vehicles from the event space by 10:30 a.m. The plaza will close to vehicle traffic at this time. If a vendor is not in their booth space by 10:30 AM the designated spot may be forfeited.
Additional information
- Please bring canopy weights to avoid uplift.
- No profanity or non-kid friendly items may be displayed.
- Smoking of all kinds will be prohibited in the festival area.
- Vendors are responsible for any and all licensing & insurance (if required) for their products offered. Please check with the Branch County Health Department for questions pertaining to food products, or other regulatory bodies as necessary.
- All participants expressly agree to release the City of Coldwater and Cultural Jubilee Volunteers from all liability for injury, damage, or loss to persons or property.
- Food & Beverage vendors must provide sufficient trash receptacles for their products and waste. Vendors must provide separate and proper disposal methods of grease. If trash becomes an issue, the City of Coldwater and Cultural Jubilee volunteers reserve the right to prohibit particular vendors from participating in future events. Picnic tables and trash receptacles will be provided in the general eating areas.
Tear Down
- Vendors must remain set up until the end of the event. Early teardown is not permitted.
- Teardown can begin promptly at 3 pm. Those with trailers need to wait until 3:30 pm before entering the plaza and loading materials. This will help prevent congestion.
- Traffic flow will be the same as setup: vendors enter from West Pearl and exit onto South Hanchett Street.
ALL VENDOR APPLICATIONS are subject to committee approval. Once approved, you will be sent information to the email listed above for payment to reserve your spot.
