Worldmedia Travel Group: Research & Planning Fee Agreement

To facilitate the execution of professional services required for curating and organizing your travel experience, a non-refundable research and planning fee of $25.00 for up to four travelers, $50 for 5-9 travelers, $100 for 10-15 travelers, $150 for 15+ or more travelers is mandatory. A $25.00 fee for each additional location researched is also required. A $10 fee for each additional date researched is also required. This fee is independent of and does not contribute to the overall cost of the trip.

Travel planning is a time-intensive process that draws upon our years of personal experience and professional expertise. We meticulously research cruises, hotels, tours, and activities to meet your specific needs, engage with suppliers, coordinate transportation, draft detailed itineraries, and more. Our aim is to provide you with itineraries, travel plans, and customized travel arrangements that offer peace of mind and save you valuable time. Once Worldmedia Travel Group has crafted your itinerary, you are free to explore and compare it on the internet or any platform of your choice.

Should you decide not to book through us for any reason (whether you choose not to proceed, book elsewhere, or are in the initial exploration phase), the fee will be retained as compensation for the services rendered. The research and planning fee is valid for 7 calendar days, including the option for one destination change. Failure to proceed within this timeframe will be considered a cancellation of the request. If you decide to resume the planning process thereafter, a new planning and research fee will be applicable.

RESEARCH + PLANNING FEE BREAKDOWN

Research fees are not applied to your overall balance. Once the research fee is settled and travel arrangements are secured, Worldmedia Travel Group will:

RESEARCH

Based on the information provided in the inquiry form and consultation call, we will diligently research suppliers in the identified destinations, soliciting quotes for accommodations, flights, ground transportation, insurance, activities, and excursions to align with the budget specified. If the quotes fall outside the budget, we will promptly communicate this information to you, offering potential solutions such as adjusting the budget, eliminating certain inclusions, or exploring alternative destinations or dates. The proposed itinerary in the proposal serves for informational purposes only. To confirm pricing and secure the itinerary, your approval of the proposal and adherence to supplier timelines, terms, and conditions for deposit and final payments are essential.

PLANNING

Upon approval of the proposed itinerary, Worldmedia Travel Group will finalize travel arrangements with vendors. To confirm these arrangements, you are required to provide your credit card information through our secure client portal. This payment information will be shared with the vendor to secure the travel itinerary.

Additionally, Worldmedia Travel Group will:

• Communicate any travel changes via email or text, according to your preference.
• Send a courtesy reminder 24 hours before departure, along with travel documents.
• Pre-trip travel tips and advisories
• Email/phone assistance during your travel
• Post-trip follow-up

By signing the planning and research fee form, you are hereby agreeing to this Agreement and its terms as outlined herein:

The authorization and disclosure process is deemed incomplete until this form is completed by you. No research or planning activities will commence until the research and planning fee has been settled, and we will not continue planning if research and planning fees are outstanding. The release of your quotes, proposals, and itineraries is contingent upon the signing of this form and payment of associated fees.

I confirm my agreement with the above terms and conditions, engaging Worldmedia Travel Group to research my travel plans. I acknowledge that the research and planning fee is nonrefundable, and I understand that initiating new requests after 30 calendar days will incur a new research and planning fee.

By signing this form electronically, you have authorized Worldmedia Travel Group to charge your credit card for the amount indicated on or after the indicated date. This is permission for a single transaction only and does not provide authorization for any additional unrelated debits or credits to your account.

This payment authorization is for the goods/services described above, for the amount indicated above only, and is valid for one (1) use only. I certify that I am an authorized user of this credit card and will not dispute the payment with my credit card company; so long as the transaction corresponds to the terms indicated in the CUSTOMER INFORMATION FORM.
