Club Function Pack Application

In 2024, Guild-registered clubs have access to 700 points which can be spent on function packs which includes offerings from The Tav and Kirribilli catering. 

The packs are awarded on the basis that one or more of the following objectives are met through their use:

• To raise awareness of the club,
• To promote a specific upcoming project or event run by the club,
• To attract members to the club,
• To raise revenue for the club,
• To provide catering to enhance an existing club event,
• To provide an additional social event for their members.

Function Pack Menu

The club function pack menu is also found within this booking form to assist you as you lodge your application. The menu includes:

• BBQ Packs
• Tav Packs (dine-in & take-away)
• Kirribilli Catering Packs
• Cancelation Policies
• Opening/collection hours
• Pack specific terms & conditions.

Minimum Requirements

Please refer to Section 2. of the Guild's Club Sponsorship Policy for full process and  requirements. A summary is provided below:

• Only available to clubs currently registered with the Curtin Student Guild. Note that clubs who have not successfully completed their annual renewal / set-up project in Tidy HQ, do not have access to this perk until this is done. More information about club registrations can be found here.
• Only available for on-campus events.
• Only available at specified times / days - outlined on the menu.
• Pack-specific additional terms & conditions apply - outlined on the menu.
• Fixed total annual funding allocation exists for function packs each year (across all clubs). Unfortunately, no further applications can be accepted once this allocation has been exhausted. The Guild recommends clubs submit applications as early as possible to avoid disappointment.

Other Application Notes

• Each pack has a point value assigned.
• All points do not need to be claimed at once.
• Clubs may use multiple packs for one event, or use points throughout the year.
• Unused points will not roll over to the next year.
• If you have exceeded your point allocation for the year, you are welcome to proceed with booking additional packs at your club's expense. Please contact clubs@guild.curtin.edu.au for pricing.

Club BBQs are great for membership drives, raising awareness for causes, member celebrations, add-ons to larger events, fundraising, and much more. 

• For on-campus events only
• Monday-Friday only
• BBQ, equipment, utensils and everything you need to run the BBQ is included in your booking.
• At least one person who will be running the BBQ must have their current Food Safety Certificate, and must email a copy of the completed certificate to clubs@guild.curtin.edu.au before the day of your BBQ.
• You will need a minimum of three club volunteers to run the BBQ.
• Notice requirement: 2 weeks for Curtin fixed BBQs, 1 week for Guild 106F BBQs.

Location Options

Guild 106F BBQ (recommended)

• Guild-controlled area, instant calendar access to secure your desired timeslot.
• Close proximity to the Guild precinct where equipment is stored.
• Close access to sink & kitchen facilities for clean-up.

Curtin Fixed BBQs (215 or 303)

• Must factor in more time and more people to:
  
  • Collect BBQ equipment, trestle tables, safety gear & utensils from Guild Reception & travel across campus to your destination.
  • Collect your food order from Cafe @ Central.
  • Clean your equipment & utensils post-event in the 106D Student Kitchen.
  • Return your equipment to Guild Reception at 106F.

Curtin Stadium Fixed BBQ

• Club is required to have already booked the BBQ via the Stadium.
• To be used in conjunction with a Stadium booked sporting event to provide catering to attendees of said event.
• Must factor in more time and more people to:
  
  • Collect BBQ equipment, trestle tables, safety gear & utensils from Guild Reception & travel across campus to your destination.
  • Collect your food order from Cafe @ Central.
  • Clean your equipment & utensils post-event in the 106D Student Kitchen.
  • Return your equipment to Guild Reception at 106F.

Pack Options

• BBQ BYO Food Pack: 0 points (FREE) - Club provides own food items as per our terms and conditions. Guild provides equipment pack for free (including BBQ, utensils, aprons, cleaning supplies, etc.).
• BBQ 50-Serve Pack: 150 points - 45 Sausages, 5 vegan sausages, 50 bread rolls, 2.5kg onion, 1 bottle oil, 1 500ml tomato sauce, 1 920ml bbq sauce
• BBQ 100-Serve Pack: 250 points - 90 Sausages, 10 vegan sausages, 100 bread rolls, 5kg onion, 1 bottle oil, 1 500ml tomato sauce, 1 920ml bbq sauce
• BBQ 150-Serve Pack: 400 points - 135 Sausages, 15 vegan sausages, 150 bread rolls, 7.5kg onion, 2 bottle oil, 1 x 500ml tomato sauce, 1 920ml bbq sauce
• BBQ 200-Serve Pack: 450 points - 180 Sausages, 20 vegan sausages, 200 bread rolls, 10kg onion, 2 bottle oil, 2 500ml tomato sauce, 1 920ml bbq sauce
• Vegan BBQ 100-Serve Pack: 250 points - 100 vegan sausages / patties, 100 bread rolls, 5kg onion, 1 bottle oil, 1 500ml tomato sauce, 1 920ml BBQ sauce

Cancellation policy: All packs require a minimum of one week’s notice – failure to provide this will result in deduction of the relevant point value from your club’s available points allocation for the year.

Before selecting, please consider and note the following:

• Check the Tav opening hours.
• Please note that on Tuesdays & Wednesdays during semester, the Tav is unavailable for events that utilise AV equipment, due to their existing weekly Quiz Nights and Games Nights.
• Check the Tav Function Calendar to gauge availability & other event clashes.
• Dine-in options include a space reservation at The Tav. All attendees must be aged 18+ with an approved form of identification upon entry.
• Takeaway options can be booked for events outside of The Tav whether on-campus or off-campus, provided they are Guild approved club events.
  • Food must be consumed/provided to attendees immediately after collection and upon arrival of the destination.

  • 1 x Hosomaki Sushi Platter - assortment of chicken teriyaki, smoked salmon, and vegan sushi rolls made in-house with pickled ginger, wasabi and soy sauce.
  • 3x pizzas of your choice from the Tav menu
  • 1 x Vegetarian Asian Platter -  vegetarian cocktail dim sims, samosas & spring rolls with sweet chilli dipping sauce
  • 1 x Gourmet Pastries Platter - selection of gourmet mini pies and sausage rolls, served with tomato sauce
  • 1 x Chips Platter - lashings of crispy chips served with tomato sauce & aioli
  • 4x jugs/bottles of soft drink
• Pizza Pack: 100 points
  • Choice of a reserved space @ The Tav, or takeaway option

• Activation Pack 2 - Audio Visual & Full Service: 150 points

  • Tables set up to your specifications, to accommodate your club members
  • Screen, projector, laptop provided w/ microphone and audio
  • Staff provided for after-hours functions
  • Full menu available until 7PM
  • Full bar service available
• Activation Pack 3- Audio Visual, Full Service & Food: 350 points
  • Ideal for quiz nights, games nights, and presentations
  • Reserved Space @ The Tav (inside only)
  • Tables set up to your specifications, to accommodate your club members
  • Screen, projector, laptop provided w/ microphone and audio
  • 10 x pizzas of your choice from the Tav menu and 6 x bowls of beer battered fries with dipping sauce (additional pizzas & chips available to order for larger groups)
  • Staff provided for after-hours functions
  • Full menu available until 7PM
  • Full bar service available
• Activation Pack 4 – Poker Night: 300 points
  • Reserved space @ the Tav (inside only)
  • Available between 6pm – 9pm only
  • Poker sets provided
  • Tables setup to accommodate tournament (maximum 6 tables)
  • Recommend: 2-3 rounds depending on attendees / 45 min to 1 hr time limits.
  • Winners advance to final table
  • No cash buy-in and no cash winnings or other prize with monetary exchange value permitted, due to gambling laws (example: no gift cards as prizes)
  • Staff provided for after-hours bookings
  • 6 x pizzas of your choice from the Tav menu & 6 x bowls of chips included
  • Kitchen open for your guests' purchases until 7pm
  • Full bar service available

Available Equipment: The Guild owns a range of equipment available for clubs to hire for free, including marquees and weights, trestle tables, basic AV equipment, games, signage holders, picket fencing, cushions, rugs, trolleys, and more. (Full list below.)

For BBQ Bookings: Please note that BBQ packs already include the following equipment, and you do not need to request them again here: BBQ, trestle tables x 3, marquee and weights (only if using the 215 or 303 BBQ), cooking & serving utensils, serving trays & lids, oil, cleaning products, safety equipment, hand washing products and sanitiser.
