  • To secure your role as a volunteer, we will require a background check that will cost $10. It will be conducted by an organization named Sterling Volunteers and is almost instant. Click here to access their website.

    What We Like to See
  • After onboarding, you will be required to show progress on your project within 7 days. If you fail to do so, you will receive a warning. After that, you will be exited.
     
    You will also be required to respond to notifications sent to you within 24hours.
     
    Responding within 24 hours means providing acknowledgment of the message, which can be as simple as replying with the word “received”. After that you, will be given 3 days to respond in full.
     
    You will need to agree to provide access to your work at all times, provide updates at the very least on a weekly basis, and agree not to open any accounts in the organization’s name without first obtaining permission from the owner.

    Location: The opportunity is 100% remote.

  • If you are an OPT student or require confirmation of hours by a regulatory body, in addition to the aforementioned guidelines, you will need to provide a copy of your I-20, passport and advisor’s contact information. You will also be required to perform 20 hours of service each week.

  • Rebecca Everlene Trust Company believes in the inherent ability of every person to make positive changes in their life and to learn to communicate in truthful, respectful ways. Rebecca Everlene Trust Company strives to create a nurturing space where people can share, grow, and learn.
     
    In pursuit of this goal, volunteers are expected to keep all information regarding the people in our program confidential and to treat everyone with respect. If there is a situation in which you feel a staff member should be aware of a problem regarding one of the participants in our program, contact the Volunteer Manager to determine the best possible solution. Failure to comply with these policies may result in dismissal from volunteer staff and/or civil or criminal prosecution in accordance with applicable statutes.
     
    By signing this form, I acknowledge that I have been given a copy of the Rebecca Everlene Trust Company Volunteer Handbook. I understand that it summarizes Rebecca Everlene Trust Company’s volunteer guidelines and expectations of me as a volunteer. I understand that volunteering with Rebecca Everlene Trust Company is not for a specified term and is at the mutual consent of Rebecca Everlene Trust Company and myself. I agree to abide by the Policies and Procedures laid out in the Volunteer Handbook.

  • Non-Disclosure Agreement

  • This Non-Disclosure Agreement, between Rebecca Everlene Trust, (hereinafter known as the “company”), and _________________________, (hereinafter known as the “affiliate”) is hereby entered into on this date: Year 2023 moving forward.
     
    The purpose of the agreement is to prevent the unauthorized use and disclosure of the confidential and proprietary information related to the design of a website, characters, apps and programs. 
     
    The term “Confidential Information” shall include, but not be limited to, assets provided, access to any tools, software and other products, website source code or any related codes in all formats, documentation, and correspondences that have not otherwise been made publicly available. 
     
    The parties agree as follows:
    1.     The company has the sole ownership of the website design and its contents, which includes design, characters, voicing, etc.
    2.     The volunteer is not permitted to reveal any confidential or sensitive information that the company provides to the volunteer for the purpose of designing and creation of the website.
    3.     The volunteer is obligated to hold and maintain the Confidential Information in the strictest of confidence at all times. If any such Confidential Information shall reach a third (3rd) party or become public, all liability will be on the Party that is responsible.
    4.      The volunteer shall not, without the written approval of the company, publish, copy, or use the Confidential Information for their sole benefit. If requested, the volunteer shall be bound to return any and all materials within 2 days. 
    5.     It is clearly understood by both parties that all former proposals, agreements, representations, and understandings are superseded by this Agreement. This Agreement may not be amended except in writing with the acknowledgment of both parties involved.

    As part of our continuing endeavor to foster the creativity and imagination of young people, the Rebecca Everlene Trust Company will soon launch four new programs:
     
    ·       The INK (Indelibly Necessary Knowledge) tutoring program 
    ·       The College ASPECTS program (College Prep)
    ·       The Med Kids program (Medical Platform for Kids)
    ·       The Landmarks App (Kidnapping Prevention)
     
    Childhood and the teenage years should represent a time of magic and wonder for young people; a time where no idea is too outlandish or fantastical. Through these programs, we invite young people to let go of their boundaries and join the ranks of scholars who are already working in their aspired professions. And to additionally create magical worlds out of their experience, while interacting with our staff and/or apps.
     
    With the stage set for this program to trump the size of any collaborative project Chicago has ever seen, we appreciate having your support for our cause and aspire for these initiatives be a rousing success. The hope for the programs is to provide educational support and some light-hearted fun with long lasting creative benefits for both the children and teens, as well as the adults involved.

  • Description of Programs + Projects

  • The College ASPECTS platform is a reference database where students can access information to help them make better decisions about relocating to different cities for post-secondary education. The website serves as a tool that provides cost of attendance variables, cost of living rates, the number of transferrable academic hours, easy access to financial aid contact information, recommendations for employment with companies that offer tuition reimbursement and YOUtube campus college tours for 453 colleges and universities.


    The MEDKids platform helps parents and teachers expose children to the medical field by accessing games, cartoons, videos, readings, diagrams, and events that allow them to interact with doctors, take virtual field trips to hospitals and learn about the anatomy of the body. Through these interactions, kids also learn what is required to enter the medical field, how long it takes to reach that goal and the different types of courses that are required. Setting these expectations help kids decide early on whether medicine will hold their interest and if they have the stamina to stay on that track. Proprietary cartoons and musical raps created by Rebecca Everlene Trust Company staff will be created to further enhance the resources that this platform is making accessible to families.


    The LANDMARKS app is a game-based, GPS driven, kidnapping prevention API tool that gets kids familiar with their surroundings. It’s difficult for kids to remember their home address and phone number, but it is easy for them to recall the location of an ice cream shop in their neighborhood, the park, McDonald’s or grandma’s house. The game provides kids with the keywords and phrases necessary to help them describe to first responders how to help them get back home. Parents select the locations that their child sees, and control an interface that guides their child through a game and tracks their whereabouts to make certain that they are exiting a vehicle at the right stop or haven’t been abducted. Kids may not be able to conceptualize how far a mile is away from home, but knowing the right words to say when help is available can help save a life.

  • Purpose of this Handbook

  • You have received this document because you have accepted an opportunity to be a part of a significant opportunity to change lives. This handbook has been produced to set expectations to help you be a good volunteer at Rebecca Everlene Trust Company (RET). It will share with you a little of our history, philosophy, practices, and policies, as well as all of the benefits that we will provide for you as a valued volunteer.
     
    No volunteer handbook can answer all of the questions that you might have about our programs, but we are hoping that your initial conversation about projects with us and our goals as an organization were enough to cover a good brunt of them. If you’ve forgotten anything from that meeting, don’t worry. We have a dedicated team of managers on staff who will be there to assist you every step of the way from start through completion of a project, and we also have tutorials that we can provide for you to watch at your leisure.
     
    Should you want to have a follow-up conversation, or hop on Zoom for a chat, just send us a note and we will make room for the meeting. We have an open-door policy and give everyone an opportunity to ask questions when they have them. We also listen when people want to express their views about what they think we can do better to facilitate a positive volunteer experience. If you should feel like your assigned project is not suitable for your skills, please let us know and we can assign something different for you. Work is always plentiful here.  
     
    We hope this handbook will allow you to feel comfortable sharing with us. We depend on you – your success is our success, and we believe you will enjoy your volunteer work and your fellow volunteers here. We also hope that you will be willing to spread the word about the wonderful projects that we have available and how they are impacting others.

  • Three Reasons Why People Don't Volunteer, and What Can Be Done About It

    Research has shown that while over 90% of us want to volunteer, only 1 out of 4 Americans actually do. Did you know there is a relationship between volunteering and improved physical health and cognitive function? Research also shows that volunteers report elevated mood and less depression, and that volunteers report increased social interactions and social support, better relationship quality, and decreased loneliness. So if most of us want to volunteer, and we believe it is good for us, why aren’t all of us volunteering? Research has found 3 common barriers:


    “I don’t have enough time and volunteer schedules are too inflexible”
    The most common reason for not volunteering is lack of free time (about half of Americans cite this as the main reason), and another common reason is that the volunteer schedules and commitments are too inflexible.
     
    Volunteering Rebecca Everlene Trust Company is accessible and automatic. Work here can be done during evenings and on weekends during a 24-hour period.


    “I don’t have enough information and most volunteer roles aren’t interesting”
    Most people are motivated to volunteer by personal gratification and having a meaningful experience. We utilize volunteers to make sure we are matching their skills and experience to the roles that we have available. Your time with us should be fun and exciting. If you aren’t excited about your project, let us know so that we can find something more enjoyable for you to do.
    “No one asked me to” 


    One out of 4 people say they don’t volunteer because no one asked them to; so let’s ask!

    Employers and schools can help with asking as well. High schools and colleges are already requiring volunteer service, and many employers are offering paid time off to volunteers or including it as a part of their wellness plans.

    Our mission is to prevent the following societal problems such as lack of literacy and numeracy, college preparedness and job readiness, through a medium of out-of-school programming and homework help supported with mentorship, life skills, travel and career development. We are here to promote the highest level of opportunity to individuals of all social and academic levels with a goal of improving quality of life for communities internationally. 
     
    Through the development of future partnerships and our programs, we fulfill every facet of our mission and make a meaningful impact on Chicago communities. 
     
    HISTORY


    Rebecca Everlene Trust Company is a 501c3 and serves as a pillar of support in Chicago by providing positive educational reinforcement to families. It is named after the owner’s grandmothers, Rebecca Spaulding and Everlene Daniels Chambers, and has been active for 10+ years. It is run by volunteers, with the exception of Kid Watcher staff, which is a mixed group of volunteer and paid staff.
     
    Rebecca Everlene Trust Company has been in business since 2012 and is a tri-recipient of the Best of Chicago Award for outstanding performance and being a green company. We offer virtual companionship to families who want to keep their little ones educationally entertained, in addition to tutoring and services that promote financial literacy. Our experienced Kid Watchers, tutors and mentors provide STEAM-based learning, with personalized entertainment, while parents work from home, cook dinner, sleep in on Saturdays, or enjoy a glass of wine.
     
    Its owner has 13 years of experience as an online professor and is highly experienced with distance learning. Each year, our volunteer capacity exceeds 1200 volunteers with a running total of 37000 people who have sought project opportunities with our nonprofit. We have approximately 170 active volunteers currently assisting with projects, and we provide them with opportunities of substance tailored to the field of work that they plan to pursue as a career.

  • As a new volunteer, it will take time to adjust to your new surroundings and the way that things operate here at Rebecca Everlene Trust Company. This handbook is designed to help you adjust to your new role and answer questions about the policies, procedures and expectations at Rebecca Everlene Trust Company.
     
     
     

  • ABSENCES + LATENESS


    Volunteers are critical to Rebecca Everlene Trust Company. If you cannot make your volunteer shift for whatever reason, please notify our staff as soon as possible.
     
    You are here because you have agreed to work 3 hours for five days during a 7-day work week, which equals out to 15 hours per week. If you are an international students vying for OPT, you must work 20 hours per week, no exceptions. You may work those hours any time of day between 12 midnight and 11:59pm.
     
    All voiceover work must be submitted within 7 days of assignment.
     
    We also have a 24-hour response time policy. If anyone reaches out to you with questions, you are required to respond within 24 hours. If you are unable to provide a full response, you must acknowledge the request and can respond in full when time permits.

  • Sign-in timesheets help us track your volunteer hours. Please sign in on Clockify when you begin your volunteer service and sign-out when you are finished and have someone sign your sheet on the day that you volunteer. Confirmation of hours for volunteerism will not be provided if the hours aren’t documented in Clockify. Some or all of the rules outlined below may also apply to participants other than students.

     
     

  • Confidential Information

  • We have an obligation to our clients to maintain their confidentiality and respect their privacy. Every client served by Rebecca Everlene Trust Company has the right to confidentiality. That being said, however, every volunteer must use his or her best judgment. If you are aware of a client issue that requires immediate help, please inform the Volunteer Manager.
     
    As you work with the staff, information of a confidential matter may be shared with you. You must not share this information with anyone who does not have a professional right or need to know it. This applies to making copies of any Rebecca Everlene Trust Company records, reports or documents without prior approval. Release of any confidential information to unauthorized persons can result in dismissal from your service.

  • Dress Code


    Rebecca Everlene Trust Company has a casual dress code, but we ask that your attire be neat and conservative if you are scheduled for a meeting where you must be on camera. If staff feels your attire is out of place, you may be asked to change into proper attire.

  • Exit Interviews


    In instances where a volunteer voluntarily leaves, Rebecca Everlene Trust Company would like to discuss your reasons for leaving and any other impressions the volunteer may have about Rebecca Everlene Trust Company. If you decide to leave, you will be asked to grant us the privilege of an exit interview. We hope that the interview will help us part friends, as well as provide insight into possible improvements. All information will be kept strictly confidential and will in no way affect any references that Rebecca Everlene Trust Company will provide to another agency.

  • Standards of Conduct


    By agreeing to volunteer with us, you have a responsibility to Rebecca Everlene Trust Company and to you fellow volunteers to adhere to certain guidelines for conduct. Rebecca Everlene Trust Company tried to keep rules to a minimum. The purpose of the rules is not to restrict your rights, but rather to be certain that you understand what conduct is expected and necessary. When each person is aware that he or she can fully depend upon fellow volunteers to follow the rules of conduct, then our organization will be a better place to volunteer for everyone.

  • Substance Abuse


    Rebecca Everlene Trust Company has no desire to intrude into its volunteers’ personal lives. However, both on-the-job and off-the-job involvement with any mood-altering substances can have an impact on our agency and on Rebecca Everlene Trust’s Company ability to achieve its objective of safety and security. Therefore, all volunteers are expected to report to the agency free of the effects of any mood-altering substances.
     
    The possession, sale, or usage of mood-altering substances while volunteering is a violation of safe volunteer practices and will be subject to dismissal.
     
    Volunteers who show signs or evidence of having consumed alcohol and/or drugs will not be permitted entrance to communicate online with others from Rebecca Everlene Trust Company and access to accounts will be deactivated. Violators will be dismissed from all volunteer programs.

  • Termination Policy

  • Rebecca Everlene Trust Company is an at-will agency and has the right to terminate a volunteer without cause, but will always consider the cause leading to the termination. In general, failure to adhere to policies of Rebecca Everlene Trust Company is cause for immediate release.
     
    Grounds for immediate dismissal may include, but are not limited to:


    - Gross misconduct or insubordination
    - Reporting for a volunteer assignment under the influence of alcohol or drugs
    - Theft of property or misuse of agency funds, equipment or materials
    - Falsifying statements on the volunteer application or during the interview process
    - Illegal, violent or unsafe acts
    - Abuse or mistreatment of clients, volunteers or staff
    - Releasing confidential information
    - Unwillingness to support and further the mission of the organization

  • Weather Conditions: It is the volunteer’s responsibility to be aware of weather conditions that may prolong time spent on projects. Employees should plan accordingly and make every effort to arrive at meetings on time and complete projects according to schedule.

  • Training Period: The training period of a volunteer’s assignment is very critical. If the volunteer misses any work during the training period, this could affect their ability to properly perform their work during production. Time missed during the training period may be subject to discharge.

  • Resignation: If you need to resign from your position, please give the RET and Human Resources as much notice as possible. If you are not able to return to work, please contact RET at your earliest convenience. If you do not call and do not continue to work on your assigned project, it will negatively affect your rehire status for future projects.

  • Layoffs: RET will try to give as much notice as possible when volunteers will be laid off. Unfortunately, due to the nature of our business, we are not always able to give as much notice as we would like. Typically, we lay temporary volunteers off gradually as work tapers off. Your supervisor will notify you as soon as possible of your layoff date.

  • Transfers: You are to complete your current assignment before you are eligible for transfer, unless reassignment is agreed to by the outgoing and incoming managers based on business necessity.

  • General Provisions
    *This section applies to all affiliates (volunteers and employees)
     
    Background Checks
    Volunteers that will be working with children and who have regulatory requirements are required to get a criminal history background check prior to volunteering. If a criminal history is present, offenses will be evaluated on a case-by-case basis as works best for the agency.

  • Unacceptable Activities
    Generally speaking, we expect each person to act in a mature and responsible way at all times. However, to avoid any possible confusion, some of the more obvious unacceptable activities are noted below. Your avoidance of these activities will be to your benefit as well as the benefit of Rebecca Everlene Trust Company. If you have questions concerning any volunteer or safety rule, or any of the unacceptable activities listed, please see your volunteer project manager for an explanation.
     
    If a volunteer violates any rules established by Rebecca Everlene Trust Company, including the following rules, that person may be subject to discipline up to, and including, immediate discharge.


    - Willful violation of any agency rule; any deliberate action that is extreme in nature and is obviously detrimental to Rebecca Everlene Trust Company.


    - Willful violation of security or safety rules or failure to observe safety rules or Rebecca Everlene Trust company safety practices; failure to wear required safety equipment; tampering with Rebecca Everlene Trust Company or safety equipment.


    - Negligence or any careless action that endangers the life or safety of another person.


    - Possession or consumption of alcoholic beverages is prohibited at any Rebecca Everlene Trust Company event designed for the participation of minors.


    - Possession or use of all illegal drugs or other illegal substances is prohibited.
    Excessive tardiness or absenteeism.


    - Unauthorized possession of dangerous or illegal firearms, weapons or explosives on agency property or while on duty.


    - Engaging in criminal conduct or acts of violence, or making threats of violence towards anyone on agency premises or when representing Rebecca Everlene Trust Company; fighting, or horseplay, or provoking a fight on agency property, or negligent damage of property.


    - Insubordination or refusing to obey instructions properly issued by your volunteer project manager.


    - Threatening, intimidating or coercing fellow volunteers on or off the premises - at any time, for any purpose.


    - Theft of agency property or the property of fellow volunteers or clients; unauthorized possession or removal of any agency property, including documents, from the premises without prior permission from management; unauthorized use of agency equipment or property for personal reasons; using agency equipment for profit.


    - Dishonest, willful falsification or misrepresentation of your application for volunteering or other volunteer records; alteration of agency records or other agency documents.


    - Breach of confidentiality of personnel information.


    - Malicious gossip and/or spreading rumors; engaging in behavior designed to create discord and lack of harmony; interfering with another volunteer on the job; willfully restricting volunteer output or engaging others to do the same.
    Immoral conduct or indecency on agency property.

  • Specific Provisions for Students

    Periods of Non-Attendance for Students
  • A student may be employed under federal work study during a period of nonattendance, such as a summer term or an equivalent vacation period, as long as they are planning to enroll for the next period of enrollment and have demonstrated financial need for that period. 

  • Termination cont.
    Supervisors shall discuss any problems with the student employee if he/she is not performing in a satisfactory manner. The student should then be given a chance to improve. Problems that should be addressed may include, but are not limited to the following:
    • Absence without notice
    • Excessive tardiness
    • Violation of department’s rules and regulations
    • Failure to work a reasonable percentage of hours granted on contract
    • Loitering on the job
    • Failure to fulfill job responsibilities in a satisfactory manner

    If the supervisor and the student are unable to resolve differences, it may be necessary to terminate a work study student.

    Immediate dismissal may be issued for any of the following violations, but not limited to:
    • Job abandonment (three consecutive workdays where the employee has not called or reported to work)
    • Excessive absences
    • Dishonesty and/or theft
    • Verbal or physical abuse to a supervisor, personnel, or another work study student
    • Abuse of equipment or property
    • Excessive failure to attend classes
    • Disclosure of confidential information to unauthorized parties
    • Falsifying hours worked

  • Unemployment Benefits

  • Employment at Rebecca Everlene Trust Company is provided under a program of financial assistance to students and will not be covered for unemployment benefits per section 511.15 of the New York State Labor Law.

  • Responsibilities of the Student Employee

  • Any job is a serious obligation and your performance, attitude, and conduct should reflect this. Wherever you work, organizations strive to create an atmosphere of courteous and efficient service to the public. Any student who accepts a job accepts the responsibilities of maintaining professional standards and agrees to do the following:


    • You will not begin work until all required paperwork is completed accurately and submitted.
    • Understand that a Student Employment Position is a job. The money paid to the student must be earned on an hourly basis.
    • Cooperate in creating a work schedule that leaves enough time aside from work and classes to do homework and study for exams. Once a work schedule is established, the student is responsible for working those hours.
    • Report to work on time and notify their supervisor if this is not possible due to extenuating circumstances. Note: Permission to be absent must be granted by the student’s supervisor.
    • Know and perform in a satisfactory manner the duties of their position as explained by their supervisor.
    • Clock in and out for each shift. Electronically sign for your hours worked at the end of each payroll period.
    • Establish a good working relationship with the supervisor and all other department members.
    • Conduct yourself in a professional manner. Maintain the confidentiality of college records and other information they may see or hear.
    • Keep socialization to a minimum. Taking or making personal phone calls, Instant Messaging and texting are not permitted during work hours. Socialization that lowers efficiency and productivity is not acceptable.
    • Represent their office or place of employment well. The student worker may be the first contact that a person has with a job site. How a person is received leaves a lasting impression.
    • Show initiative. The student should learn all they can about the area or department in which they are assigned. The more a student worker knows about the area, the more valuable they will become.
    • Have a positive attitude. Be cooperative and show a willingness to learn. Your work reflects your attitude and level of competency.
    • Dress appropriately for your job. Discuss any questions on attire and grooming with your supervisor.
    • Inform supervisor of any plans to end employment. Two weeks notification is recommended.

  • Student Confidentiality

  • Student employees may be required to sign a student confidentiality statement. The statement states that students understand that they have the responsibility to keep any and all information seen or heard in the performance of their duties confidential. Student employees may not copy, remove, or allow unauthorized access to institutional documents, files, or mailing lists.

    Any violation of this confidentiality agreement will result in immediate dismissal.

  • Working More Than One Job

  • While Financial Aid and Scholarships does not encourage students to hold multiple Work-Study positions, you may, with prior approval from Financial Aid and Scholarships, work more than one job at the same time. You cannot work more than twenty hours in any week while classes are in session.

  • Having Trouble Deciding

  • If you can't decide which job to take, remember that the goal of Work-Study is to provide a "real life" work experience while you are in school. It may not always be possible, but the ideal Work-Study position would be related to your educational goals or career interest.

    If you're a business major, for example, you may want to look at jobs that provide office or accounting experience. If you're studying sociology, one of the "Community Service" positions might be perfect.
    The final decision is yours. In fact, that's the secret of making Work-Study work for you. There are a variety of challenging positions and opportunities to learn, and the sooner you get started, the better your chances of finding the right Work-Study job.
