    Application for the Office of Corresponding Secretary

    Delta Sigma Theta has a reputation for selecting effective leaders who have laid the foundation of the Sorority. You have the opportunity to continue this tradition within the Chester Alumnae Chapter by identifying and recommending qualified candidates for election. The available positions, their terms of office, and the required duties of all positions are listed below. The Nominating Committee invites you to recommend capable candidates for the offices and positions listed below for the term of 2026 - 2028.

    ELIGIBLE FOR RE-ELECTION TO THE SAME POSITION

    For one (1) 2-year term

    President*, Vice President*, Corresponding Secretary, Recording Secretary, Financial Secretary, Assistant Financial Secretary, Treasurer, Assistant Treasurer, Internal Audit Chair

    Ineligible for re-election and ineligible to run for any other elected office/position

    One two-year term

    Nominating Chair**, Nominating Committee Member (4 positions)**

    Special Notes: *To be nominated for the office of President or Vice President, a soror must meet the following criteria:

    Has been a registered delegate at a minimum of one (1) of the last 2 National Conventions and one (1) of the last 2 Regional Conferences.

    **The Nominating Committee, comprised of the committee members and the chair, are identified as an Elected Committee and are not officers of the Chapter.

    Duties of the Corresponding Secretary as Outlined in the Policies and Procedures

    1. Assists the President with the official correspondence of the Chapter.

    2. Reads correspondence to the membership.

    3.Sends meeting notices to the membership.

    4. Picks up the mail weekly from the Chapter's post office box and makes the President aware of all incoming correspondence.

    5. Advices the Chapter President of all correspondence received before distributing to chapter officers and committee chairs.

    6. Distributes committee correspondence to appropriate chair or designee.

    7. Provides a log of National, Regional, state and local correspondence at Executive Board meetings and to members at business meetings.

    8. At the direction of the President, sends written notice at least ten (10) days prior to the election of chapter officers, election of committee chairs and members, vote to proceed or not proceed with membership intake, and voting on the acceptance of applicants into the sorority. Written notice may include email, USPS, or other appropriate forms of communication deemed acceptable by the Regional Director.

    9. Responsible for obtaining, maintaining and securing all yearly correspondence in a permanent file/folder.

    10.Performs other duties as noted in the Chapter Management Handbook and as directed by Grand Chapter.

    11. Responds to all correspondence of the chapter as authorized by the president.

    12. Retains a file containing all correspondence, except for financial records, received by the chapter and a copy of the repy or action taken with copies to the president.

    13. Collects bank statements and forwards unopened to the chapter president.

    14. Take minutes in the absence of the Recording Secretary.

    15. Keeps updated current addresses of all members and visiting sorors on file.

    16. Provides mailings to members without online access.
