2025 VENDOR GUIDELINES “West Texas Super Show”

VENDOR INFORMATION
Vendor space is 15 x 20 which includes a total of 4 passes per day. ALL Vendors shall provide their own booth, please specify if you have a trailer or stand-alone tent. Trailers must be measured from the front of the hitch to the end of the trailer. Vendors that exceed the allotted space must purchase two spaces, if correct measurements are not submitted this will result in relocation of booth space and fees will apply. For vendors with pop-up tents, please ensure your tent meets fire code and fire extinguisher guidelines. For any questions, contact the Fire Marshall office at 432-257-0524. You must provide your own water hoses for hook up. We do not provide those for you. Vendors are responsible for their own booth maintenance and services.
Electrical wiring will be provided, ONE 110 amp only with 20 amp breaker (Additional fee of $100.00 from more than a 110 amp). You must provide your own extension cords, electrical adapters/converters/components. Only three 220 amp set ups and four vendors per box with 110 amp supply. More than that will result in an electrical hazard. Damages will include costs to repair electrical poles, boxes, food spoiling, and vendor relocations.
Showbiz West Texas and the Ector County coliseum are not responsible for any accidents or theft of equipment in your area. All vendors are responsible in making sure that their area is free from any obstacles that might lead to an accident. Additionally, it is suggested that vendors s provide your own liability insurance to cover your area, business and for your customers. NO PRE-COOKED food will be allowed on premises. If you have any questions concerning the Health guidelines, please call the Ector County Health Department at 432-498-4141 ext. 1009. Showbiz West Texas and the Ector County Coliseum are not responsible for any actions the Ector County Health Department may take against you. All organizations must adhere to the Ector County Health Code, including sink and hot water requirements. All food vendors must purchase their own health permit two weeks prior to the event.
Vendors CANNOT sell cokes or bottled water, NO EXCEPTIONS. All refreshments are sold strictly by Fiesta West Texas, revenue from these items cover event expenses and advertising, ultimately helping minimize costs to you as a vendor. Ice chests and water stored in gallon containers are permitted, no plug-in water coolers.
ALCOHOL: The Odessa Jackalopes have the sole rights and permits to sell alcoholic beverages on the premises. Consuming, selling, or bringing outside alcohol that is not purchased through the Coliseum is considered a liability and may result in fines and legal ramifications. If alcohol is found on the grounds it will result in immediate removal from the event, no refunds, and you will be responsible for all fines and fees that incur.
Outside food is not allowed within Coliseum gated grounds. In an effort to promote food vendors we ask that outside food be consumed in vendor parking area during the event.
ALL PRODUCTS MUST BE SOLD FROM BOOTH ONLY. ABSOLUTELY NO OUT OF BOOTH SALES!!! Vendors will not be invited back to events for failure to comply with guidelines. All concession booths are outdoors. No spaces will be reserved without remittance. FIRST COME... FIRST SERVE. Showbiz West Texas has the right to refuse any vendor.
