In the interest of great communication, we ask all advisory teams to confirm procedures for working together. Please read the following guidelines carefully. It is expected that this form will be filled out by all Post-Graduate Researchers (PGRs) and TT Supervisors before you begin supervisory meetings.

I have had an intro meeting and/or written exchange with the PGR, and we agree to work together for the following year according to the expectations set by TT and LJMU.We will meet monthly, excluding Transart breaks—December 15-Jan 15 and August 1-31—totaling 10 meetings per academic year (or, if split TT advisement: 5 meetings per year for each TT advisor). Meetings can be held in any configuration after an initial meeting with the full team—to be determined with student.We will agree on regular monthly meeting times. All meetings will take place at a reasonable timezone for all participants.If I cannot attend a meeting, I will give 24 hours cancellation notice to the entire supervisory team and reschedule right away, except in case of emergency.I will reply to emails within 10 days—even if it is only to say the message has been received and a fuller response will follow. (In this way, no one is worried or rushed.)I recognize that under the TT Leave of Absence policy, PGRs can pause their research and supervisory meetings at their discretion for up to 12 months during the course of their study. The PGR will email projects@transartinstitute.org of LOA stop and start dates and complete e-Doc requirements.PGRs: I will communicate all LJMU systems issues regarding milestones, registration, forms and e-Doc issues to my LJMU Lead Supervisor by email and copy projects@transartinstitute.org.PGRs: I will complete all expected LJMU milestones and TT requirements and keep up to date on my degree progress.TT Supervisors: I will stay up-to-date on my PGR's Creative Research Blog and communicate actively about their progress.If there are communication issues or other concerns among my team, I will proactively reach out to chella@transart.org.

Please note: First-year PhD students are required to submit Programme Approval via LJMU eDocs in early January. This deadline is the first major degree requirement in the program, and it is set automatically in eDoc. As this deadline falls within a Transart break (December 15 - January 15), it has caused students major stress in the past. If you are advising first-year PGRs, please make sure to discuss this requirement in advance of the Transart break, ideally in November, to make sure that your supervisee will be ready for submission in January. Please note that it is understood at LJMU that Transart PGRs might not meet deadlines that fall during Transart breaks, and students have been given an unofficial flexibility regarding this deadline.
