General Terms
- I understand that the age for Adventure Camp is 6th-12th grade. It is each church’s decision for their own guidelines to be rising or completed.
- I understand that group leaders/chaperones are to be provided by each group. Crowders does not supply chaperones for groups (see more information under the Responsibilities section).
- I understand that this is overnight with lodging and meals provided.
DEADLINES, PAYMENTS, and CANCELLATIONS
I understand and agree to the following deadlines and prices:
- I understand that I must pay $50 per spot at the bottom of this form to hold camp spots. I understand that the signature on this form and my payment must both be valid to hold my spot. No more than 10 spots may be cancelled from my reserved spots at any time.
- I understand that if I book a private week of camp (25 spots), NO spots may be cancelled/removed from my invoice at any time, even if less than 50 people from my group attend.
- 2024 Camp Fee: $399 per person for Adventure camp.
- April 15th: Final cancellation deadline. All spots cancelled after this date must STILL be paid for in full. As stated above, no more than 10 spots may be cancelled after my deposit has been paid. As stated above, if my church has booked a private week of camp, NO spots may be cancelled.
- May 15th: Final Balance is due. Payment must be received by Crowders Camp by this date. Late fees apply ($100 if payment is 1-7 days late, $200 if payment is 8-14 days late, $300 if payment is 15+ days late.) If payment is not received by the first day of camp, my group will not be able to attend camp.
- 3 weeks before your camp date: Final numbers and gender breakdown due. All waivers must be submitted online by this date to guarantee dietary needs and T-shirt sizes.
I understand and agree to the following payment terms:
- I understand that final payments must be made via check to P.O. Box 1, Lowell NC 28098.
- I understand that once I have paid my $50 deposit per spot, the deposit is always nonrefundable and is always non-transferable to another group or another event. Although deposits cannot be refunded at any point, if I cancel spots before my cancellation date, the deposit on cancelled spots will be credited to my overall total account balance.
- ***I understand that my group may not lower & cancel more than 10 spots from their original numbers before or on the cancellation date. I understand that this is because Crowders Camps is unable to fill spots if mass amounts of spots are dropped before camp. ***I understand that NO spots can be cancelled if my group has booked a private week of day camp.
- Spots may be added according to availability. If spots are not available, your group will be added to our Waiting List.
- I understand that my group will not be able to attend camp if my balance is not paid in full.
- I understand that to cancel spots, I have to email the camp admin (kayla@crowderscamps.com) no later than 11:59 P.M. EST on April 15th. After my cancellation date, all spots reserved must be paid for in full on the Final Balance Due date.
Emergency and Weather Cancellation Policies
- I understand and agree to Crowders Camps National Disaster/Emergency Cancellation Policy, which states that in the event of a disaster, health related emergency, act of terror, or any other event outside the control of Crowders Camps that cancels a camp, Crowders Camps will be unable to return my deposits once paid. Crowders Camps purchases equipment, hires staff, and has nonrefundable vendor fees based on my registrations. I understand that if a Crowders Camps camp week is cancelled, I will not receive a refund of my deposits at any time (unless Crowders Camps themselves are able to obtain refunds from their cooperating vendors) and that I am still responsible for any remaining balance I have.
- I understand and agree to Crowders Camps Weather Cancellation policy, which states that deposits will not be refunded if Crowders Camps is forced to cancel a camp due to weather conditions. If an event is hosted as scheduled and my group cancels or reduces numbers due to weather conditions, I understand that I will not receive a refund of my deposits at any time and that I am still responsible for any remaining balance I have.
Responsibilities
- I understand that once my deposit is paid and my terms and agreement are signed, I will receive an online sign-up link for my group as soon as it becomes available. This online sign-up includes the following for each participant:
- Participation Form
- Allergy and Dietary Need Form (Medical Form)
- I understand that the above forms must be submitted for every camper and leader three full weeks prior to my camp date. I understand that my group will not be able to attend camp if we do not have all of our online forms filled out. I understand that if my forms are late, dietary accommodations may not be availabile, and T-shirt sizes may be incorrect.
- I understand that Crowders Camps cannot guarantee any dietary accommodation for any campers who turn in their medical forms late. I understand a $15 fee will be charged to any campers indicating they need a vegetarian or gluten free meal plan. This charge is to cover the cost of special food purchases and preparation.
Other Responsibilities
Chaperones, First Aid, Conduct, and More
- Each group attending camp must bring their own leaders/chaperones. Each group's primary leader must be 21 or older. All other leaders must be over the age of 18 (with the exception of a junior leader being pared to an of age leader).
- I must have a chaperone for each gender of students attending. (ex. If i am only bringing males, I only need male chaperones)
- I am responsible to bring appropriate first aid supplies for my group. See the section on Liability.
- I understand that all Crowders Camps attendees must exhibit appropriate, Christ-like behavior while participating in Crowders Camps activities, and abide with all of the camps Code of Conduct.
- I understand that I am responsible for any property damages to the camp caused by my church/group. I understand that I/our group will be held responsible for all expenses incurred due to these damages. I will be notified of damages by the Crowders Camps staff at the end of the camp week, unless discovered prior to this time. I understand that our group will be charged for the amount of any damages, but not less than the $250 damages fee.
- I understand that depending on the status of COVID-19, our church may have responsibilities to screen our campers and leaders for COVID symptoms and/or COVID-19 exposure to keep camp healthy. These responsibilities may change over time. I agree to abide by and enforce any COVID-19 policies set in place by Crowders Camps as pertain to my group.
Use of Logo
Now Outreach, Inc. (operating as Crowders Camps) grants summer camp groups with a signed terms and agreement document permission to use any name or logo of Now Outreach, Inc in any marketing materials of the summer camp group. This permission may be revoked at any time, and shall automatically end without further written notice once the summer camp event at Crowders Camps is ended or if the event is cancelled at any time.
Liability
- I understand there are inherent risks associated with transportation, offsite excursions, woods/lake property, due to the Crowders Mountain state park and the dangers associated with this. I agree to have my church abide by and follow all standards, procedures and instructions provided by Crowders Camps personnel, lifeguards and/or Crowders Camps staff.
- I understand that Crowders Camps may not have medical staff onsite. I understand that the group leader/church will be responsible for getting a camper or leader medical attention if needed. I understand that my church is responsible to bring a reasonable amount of first aid supplies for our own group, and that limited supplies are available from Crowders Camps. Crowders Camps staff is trained in basic first aid and CPR, but this does not replace emergency medical care.
- If someone does not have insurance and I allow them to come to camp, I understand our group/church is taking responsibility for any medical fees incurred. I understand that Crowders Camps is not responsible for ANY injuries or incidents that happen while attending camp.
- My church agrees to hold Crowders Camps harmless and to indemnify Crowders Camps from any damages or costs as a result of inappropriate behavior on the part of any adult leaders or students of our group. We understand the safety and security of our students is the ultimate responsibility of our leadership.
