Important Event Information (Taking very Limited Food Vendors)
Day 1: Starts August 30th with about 250 people at our Career ,Business and Networking Expo. Arrive 3:30pm. The event starts at 4pm and runs through 8pm Friday evening.
Day 2: August 31st the Dashiki Fest Music Festival .Event begins at 3:30PM on August 31st, 2024 and ends at 9:30PM. Booth setup begins at 2.00PM . Booths must be completed no later than 3:30PM. Vendors are responsible for setup and tear down of booths. Any vendors who have not paid in full by August 27TH, 2024, will lose their space (no refunds/no rain checks will be given). Food vendors must provide all food and heating equipment. Every food vendor should be perpared to cater to 700 to 1000 people.This year we are exepecting a total of 8-10K people
Vendor Guidelines
REQUIREMENTS FOR ALL VENDORS:
1. All vendors are provided with a 10*10 space which can accommodate a 10*10 tent or booth, or if requested and paid for a larger size booth. If you go outside the assigned space, you will pay for additional space.
2.All vendors must provide their own tents, tables and chairs for displaying the merchandise.
3.Volunteers will be available to direct vendors to their assigned area for setup beginning two-hours ahead of the event start time. Your booth assignment, with the name of your business and booth number, will be displayed on the ground.
3.All vendors must be completely set up 30minutes prior to the event start and remain set-up and in place until the event end time.
4.Vendors will be allowed to proudly display company banners and signage to identify their business.
5.Vendors will be able to sell their merchandise and are responsible for reporting sales tax to the county.
6.All vendors are required to have a multipurpose fire extinguisher and a first aid kit.
7.All vendors requiring electricity must provide their own generator or purchase power outlets from the conventions.
8. Depending on the event, you may be allowed to drive on site or close proximity until your assigned booth. Please unload all your merchandise and then drive the vehicle to the parking lot. You are NOT ALLOWED to remain parked for more than 20 minutes. Please be considerate to all other vendors and make sure you do not interfere with someone else’s set up.
9.Vendors are prohibited from having animals within the confines of the event, except for legitimate service animals as authorized by State Statute and ADA standards.
10.“Pushing” sales to passing customers is prohibited.
While Event premises are being occupied under this agreement, Colorado African Cultural Center will provide no insurance; any insurance must be placed and paid by the exhibitor. I hereby relieve the management of the safe keeping of the property while said properties are at the event.
FOOD VENDORS
Please review the attached Colorado Department of Health Special Event Food Vendor Checklist for rules regarding outdoor cooking at special events. Protective covering/floors are required to protect vegetation and pavement.
Food and Beverages Vendors participating in any of our events must note the following:
1.Responsible for keeping the food area attractive before, during and after the event.
2.Vendor and their employees shall use every measure to protect the event site from all damages.
Vendor shall be responsible for damage caused by him or her to buildings and grounds.
3.Responsible to provide professional and courteous personnel
4.Responsible for providing fast service- no longer than a 3 minute wait for each customer
5.Responsible to ensure grease and abrasives will not be disposed of on event property except in designated garbage dumpsters.
6.Display a disclaimer with any possible food allergies
7.Responsible for their personnel’s conduct; plastic gloves shall be worn by all persons handling food. No contact with money shall be allowed by persons handling food.
8.Failure to meet requirements may lead to removal from the event and no refunds will be made.
Please submit a copy of temporary Food License from the Health Department from the county in which the event is taking place at least 2 weeks prior to the event date. This document is mandatory for your participation in the event (you will not be allowed to vend without them). If the Health Department comes on site and checks your booth, you must be compliant with their rules and regulations.
