  • CRITERIA FOR AN INVITATION

    NOTE: Family holidays and personal commitments are NOT grounds for an invitation. Select one of the following options. Criteria A, B & C must be submitted prior to the competition and criteria D, E & F must be submitted within 72 hours of the completion of the competition. NOTE: For a relay team to be considered for an invitation, the team must have withdrawn from the previous level of competition because two or more members of the team have been unable to compete due to invitation criteria as listed above.

  • Please upload the following documents:

    a) Evidence of the verifiable best performance submitted. 

    b) Evidence of their SSV (District or Division) performance from THIS YEAR prior to the missed level at which they must have come 1st, 2nd or 3rd. Note this could be the same as the Best Performance.

    c) If you are requesting an invitation for injury or illness, you MUST also upload the medical certificate.

    Note - Importantly this certificate MUST include the fitness of the student to compete in the next level of competition.

    d) OPTIONAL: Requests may further be supported by a letter from the School Principal (or Assistant Principal) on school letterhead requesting the invitation.

    This consent notice outlines how personal information will be collected & used by School Sport Victoria (SSV) as part of the School Sport Victoria interschool sport program. By completing the request form & providing details, you agree to providing the information, and for the information to be handled, collected, used & disclosed as described in this notice.

    Why is this information needed?

    School Sport Victoria (SSV) recognizes that there are circumstances where students are not able to follow the prescribed progression pathway for SSV interschool sport competitions. This policy allows schools to apply for an invitation for these students as long as they meet the criteria mentioned in this policy. Invitation requests can only be submitted by the school. 

    What information is needed?

    SSV will use the personal information provided to administer and assess requests for an invitation. This information from participants includes:  

    • First Name, Last Name, Gender, School, School level (primary or secondary), SSV School Division/Region (if required), Date of Birth, Age, Age Group and Multiclass Classification (if relevant), Medical Information (if required/relevant) & previous Swimming or Cross Country or Track or Field performance information. 

    SSV will be collecting the following contact information in order to administer the Invitation requests with support & assistance if required:

    • Sport Coordinator’s Name, Sport Coordinator’s Email Address & Sport Coordinator’s Mobile Phone Number & Principal’s Name.

    How will my information be secured?

    The personal information will be stored securely on the SSV/Department of Education servers. Only those administering the meets from SSV/the Department & those providing technical support will have access to the personal information.

    Any personal, health and sensitive information submitted as part of your participation in the meets will be handled in accordance with the Privacy Data & Protection Act 2014 (Vic) (the PDP Act), the Health Records Act 2001 (Vic) (the HR Act) and the Public Records Act 1973 (Vic). Your information will be retained & disposed in accordance with the Public Records Act 1973 (Vic). Your Information collected by the Department and SSV will be used or disclosed for the purposes stated in the Notice or where otherwise permitted by law.
