TERMS & CONDITIONS
Reservation Policy - Updated for 2024
Venue Availability:
- Room requests (s) are considered on a first-come, first-served basis.
- Reservation(s) and event request(s) must be submitted in writing via email or by using the event request form on the website
- No events are planned on Weekdays between 2 pm and 6 pm, Saturdays between 9 am and 1 pm, and Sundays before 1 pm.
- The Common Place reserves the right to refuse service to anyone.
Facility Care:
All areas must be cleaned as they were before the event. This may include but is not limited to:
- Place recycling items and garbage in their respective bins
- Remove decorations from walls, tables, chairs, floors, etc.
- Be sure to keep personal items and electronic devices on your person, as TCP is not liable for lost or stolen items
- Clean-up must occur immediately following the event.
- Eating and drinking in the Sanctuary are not allowed.
- No tape, tacks, pins, nails, etc., will be used to hang decorations on freshly painted walls.
- No sharp-edged furniture, stands, instruments, etc., are to be placed or dragged on the floor as they may cause scratches.
- Use of candles, scented oils, and/or any substance that produces wax that can spill onto the
floor/carpet is strictly prohibited
- The use of matches and lighters or any mechanism used to produce open flames is strictly
prohibited
- Use of the stove is prohibited
- If the cleaning was not conducted properly, The Common Place (TCP) reserves the right to do so at the expense of the individual/organization (The Renter) using the space. The renter is also responsible for any costs associated with damages to TCP’s facility and/or property.
Safety, Security, and Set-up:
- All guests' safety, security, and well-being are the renter's responsibility.
- TCP staff must be available for the length of the event to assist in set-up, security, and oversight.
- Staff may need access to the renter’s contact information to discuss the set-up and any assistance necessary to prepare for the event.
- Staff is scheduled based on a 50:1 ratio (one staff member for every 50 attendees) to provide assistance and security for all events. The Common Place requires an additional charge of $25 per hour for each staff member added.
Supervision of Children:
- There must be one adult for every ten children present to supervise children (10:1 ratio).
- If more than one room is being used, there must be adult supervision in each room where there will be children.
- Children must only be in approved areas.
Deposits & Payments:
- All event payments are due seven business days** before the scheduled date. Full payment is required upon approval for any event booked/reserved within ten business days of the event date.
- If a deposit is required to hold the date and time of the requested event(s), the deposit is due upon approval of the application. Please note that security deposit(s) may differ for more significant events.
- Prices and/or quotes related to the use of TCP facilities do not include the security deposit. The security deposit is fully refundable 3-5 business days after the event unless:
- damage was caused by the organization renting the space (or their attendees);
- the renter exceeds the reserved time for the event;
- the renter does not cancel the scheduled event within seven business days;
Overage Fees –
- The renter is responsible for paying all fees associated with exceeding scheduled event time limits. The cost is $25 per 15 minutes.
- Payment for all events is due seven business days before the scheduled date. Full payment is required upon approval for any event reserved within ten business days of the event date.
The Common Place accepts cash, money orders, and credit/debit cards
A valid state-issued ID is required for credit card purchases
A $35 fee* is assessed for returned checks

Long-term/Recurring Renters
- Renters may reserve the facility and dates in bulk for rehearsals, workshops, classes, etc.
- All requested dates must be communicated via email. Dates are subject to availability.
- Payment for room usage is due weekly.
- Cancellations must be communicated within five business days, or the renter will be charged for the facility's use.
Consideration of other renters and tenants:
Space is limited, and we do our best to match the needs of our clients with the best possible room. Renters must respect others (and their guests) privacy, space, meetings, and property by considering their noise levels, foot traffic, minding children, etc. All reports to TCP management concerning these issues are taken seriously and may result in removal from the facility without a return of a deposit and/or legal action. Depending on the seriousness of the complaint/report, renters may be unable to reserve space again.
