TRANSPORTATION AGREEMENT (PLEASE READ)

For Insurance/Liability Purposes we prefer to book our transportation, buses, etc. in most cases.

Transportation for Memphis Youth Arts Initiative to booked performances is essential to ensure that our young artists can participate in these valuable opportunities and is required. Reliable transportation guarantees that all participants, regardless of their personal circumstances, can attend performances safely and on time.

This support not only facilitates their engagement in enriching cultural experiences but also demonstrates our commitment to providing equal access to the arts, thereby fostering inclusivity and community involvement.

Investing in transportation ensures that logistical barriers do not hinder the growth and development of our talented youth.

We travel by two methods with cost paid by booking Client/Agent:

Charter Bus (Preferred Partner, must be booked at least 24 hours before)
a. LOCAL: $800.00 includes up to 5 Hours within 50 miles ($125.00 extra each hour)
b. OUT OF TOWN (51 miles or more) cost based on itinerary, destination, and length of stay, A Quote will be sent.

Rental Van (Only available when booked at least 3 weeks in advance)

LOCAL (70 Miles or Less)
a. Weekday- $400 Day plus Fuel Surcharge ($75 Full Tank)
b. Weekend- $875.00 Full Day plus Fuel Surcharge ($75 Full Tank)

Out-Of Town (71 Miles or More)
a. Weekday- $400 Day plus Fuel Surcharge & Mileage
b. Weekend- $875.00 3-Day plus Fuel Surcharge & Mileage

ANY BOOKING REQUIRING A DRIVER TO DRIVE MORE THAN 10 HOURS IN ONE DAY OR STAY ON DUTY LONGER THAN 15 HOURS REQUIRES AN OVERNIGHT STAY FOR THE ENTIRE GROUP AND DRIVER. IN SOME CASES WE CAN ADD AN ADDITIONAL DRIVER TO MAKE TURNAROUND TRIPS FARTHER THAN 5-6 HOURS AWAY FROM MEMPHIS, TN.

ALL LODGING AND HOTEL COSTS MUST BE PAID BY THE CLIENT INCLUDED WITH TRANSPORTATION. MEAL PER DIEM PER PERSON TRAVELING WILL ALSO BE ADDED TO THE COST AT FEDERAL GOVERNMENT RATES PER IRS.GOV FOR DATES OF TRAVEL AND STAY.

Payments for performances/appearances and transportation must be made no later than 3 days before the event once the request is approved. In the event of inclement weather or cancellation of the event, the requestor agrees to reschedule our group for another date/event. Under very unlikely circumstances will any refunds of any donations be given. Please consider that we are a non-profit organization and all revenue earned goes to continue the work of our mission and vision.
