EXHIBITOR INFORMATION
REGISTRATION - In order to be included in all conference materials, this form and full payment must be received when signing up. Submissions that are incomplete, illegible, or missing required attachments may be returned and may not be considered. All exhibit locations and packages are on a first come, first serve basis. All exhibit locations to be determined by NARPM Atlanta.
EXHIBITOR BENEFITS - In order for exhibitors to take full advantage of all their benefits, we require that all materials be submitted by the designated deadline. If materials are received after the deadline, the Trade Show committee cannot guarantee the exhibitor will receive all listed benefits. It is the sole responsibility of the exhibitor to ensure the committee receives the necessary files or information prior in a timely manner.
DISPLAYS - Exhibitors mustonly use their assigned booth space and must not disturb other exhibitors. Tabletop displays / Pop-Up displays MUST fit within the 6' table space provided. At the Trade Show Chair's discretion, exhibitors may be asked to remove their pop-up or floor display if it is too large for the space, obstructs another exhibitor’s space, obstructs an exit, or obstructs a walkway. Hanging banners are not permitted.
SECURITY/LIABILITY - NARPM Atlanta and NARPM®, and it’s members, agents, and employees, and the venue shall not be liable for any injury, loss or damage incurred by exhibitor or to an exhibitor’s property through theft, fire, accident or any other destructive cause, whether the result of negligence, or otherwise. The exhibitor, at the exhibitor’s expense, is responsible for all repairs and damage.
SHIPPING INFORMATION - Shipping and storage of exhibit materials to the hotel is at the exhibitor’s option and expense. To ensure that materials are properly received and distributed, exhibitor’s must follow the venue guidelines provided. The Shipper’s return address should include shipper’s name, address, and telephone number. The recipient must sign off on the charge slip upon delivery of packages.
COD Shipments will not be accepted. Venue is not responsible for materials sent and not delivered.
Due to limited storage space, please do not send boxes more than two days prior to the conference.
EXHIBITOR RAFFLE - Exhibitors are encouraged, but not required, to bring giveaway prizes for the Exhibitor Drawing at lunch on the last day. Typically, exhibitors who participate bring a bowl or other container to collect business cards and use the business cards as the raffle entries.
LODGING ARRANGEMENTS - It is the sole responsibility of the exhibitor to arrange lodging needs through the host hotel, and it is solely at the exhibitor’s expense.
Please visit the conference website to book your reservation in order to receive the special Group Rate. Rooms are available on a first come first serve basis and the Group Rate is not guaranteed after it is sold out.
EXHIBITOR PROMOTIONAL PIECES - It is not permitted to place any promotional pieces outside your exhibit space during the conference.
EXHIBITOR FUNCTIONS - Exhibitors must not schedule functions, meals or classes that conflict with any Southern States Conference events without prior written approval by the Southern States Conference Committee Chairs. Should exhibitors schedule an event that conflicts with the conference schedule, the exhibitor shall be asked to leave the Trade Show and registration funds will be forfeited.
