RLA - Western PA Conference Vendor Prospectus

General Information:

The Pennsylvania Society for Respiratory Care Western Education District warmly welcomes you to our 3rd Annual PSRC West District Conference in Cranberry Twp (North of Pittsburgh).

The conference, where we expect over 200 attendees, will be a 1.5 day event with Exhibits and 10 educational topics being scheduled.

The Regional Learning Alliance (RLA) is a nonprofit, driven by their mission to provide comprehensive facilities and services to enhance learning and collaborative experiences.  

The RLA serves as Pittsburgh region's premier venue for meetings, training, conferences, classes, and more.  When you support the RLA, you are supporting regional economic vitality.  It has 34,000 square feet and can hold events up to 400 people. 

It is located at the hub of I-79 and I-76 and has two entrances (noted above).

SPACE IS LIMITED SO REGISTER TODAY!!  The Exhibit area where the PSRC will be located is able to hold up to 25 exhibit spaces and will be located in the Atrium in front of the Grand Room A and B where lectures will be held along with the breakfast break, lunch buffet and afternoon break. 

It is through your exhibition and sponsorship support to help the PSRC offer live networking and continuing educational events.

Conference Exhibitor Registration Rates and Description

Exhibition Fee - $1000 for 1.5 days.  SPACE IS LIMITED SO REGISTER TODAY!

• April 15th - 7:30 AM to 5:00 PM (Please plan to arive by 7:00 AM to be set up)
• April 16th - 7:30 AM to 12:00 PM (Please plan to arrive by 7:00 AM to be set up)
• There will be a 2-hour un-opposed time frame for exhibitors to meet with the attendees on April 15th from 11:00 - 1:00 along with any other breaks during lectures.  
• The Exhibitor Space with offer a covered 6' table with electricity and 2 chairs.
• Breakfast, lunch and afternoon break for 2 exhibit attendees.
• CRCE is available for any lectures attended by the 2 exhibit representatives as long as representatives register and complete evaluation online as required.
• Any additional representatives must register as a regular attendee.  

Speakers sponsored by an Exhibitor

• If you are interested in sponsoring a speaker please contact the Exhibit Manager ASAP, the agenda is filling and we welcome you to either offer a sponsored speaker or even sponsor a speaker we already have in the agenda.
• Exhibitors sponsoring a lecturer will receive a 15% discount on their exhibition fee.  

Additional Sponsorship for Exhibitors

There are several opportunities for additional sponsorship that are available to the first exhibitor seeking sponsorship. This sponsorship is in addition to an exhibit fee.

• Graduate Congratulation Registrations 
  
  • Sponsor the attendance fee of $25 for each of the 2026 Graduates who attend the conference.  Graduates must apply with a letter from the program to inform the conference they have completed their education during 2026 to be eligible.  Deadline for application will be 3/15/26.
  • Notice will be sent to all Western District Respiratory Care Programs. 

• April 15th AM Nutrition Break Sponsor - $500 per sponsor (2 spots available)
  
  • Announcement made at opening remarks, sign posted with breakfast.
  • Advertisement in C-Vent regarding sponsorship.

• April 15th PM Lunch Sponsor - $600 per sponsor (2 spots available)
  • Announcement made at lunch, sign posted with lunch, and 5 minutes Sponsor remarks to attendees.  
  • Advertisement in C-Vent regarding sponsorship.

• April 15th PM Nutrition Break Sponsor - $500 per sponsor (2 spots available)
  • Announcement made at opening remarks, sign posted with break.
  • Advertisement in C-Vent regarding sponsorship.

• April 16th AM Nutrition Break Sponsor - $500 per sponsor (2 spots availalbe)
  • Announcement made at opening remarks, sign posted with breakfast.

Exhibition Application

Exhibition Terms and Conditions

1. The PSRC will permit an Exhibitor to occupy their specific booth during the 2026 PSRC West District Conference from 7:00 AM on Wednesday April 15, 2026 to 12:00 PM on Thursday April 16, 2026.
2. Early set-up times will be communicated to the Exhibitors on April 13th.  RLA will determine the ability to set-up the evening before.  If unable to set-up on 14th, please be ready for set-up at 6:00 AM on April 15th.
3. The Exhibit hours will begin April 15, 2026 at 7:00 AM and end at 5:00 PM.
4. The Exhibit hours will begin April 16, 2026 at 7:00 AM and end at 12:00 PM.
5. The Exhibitor agrees to not sublet or to otherwise assign to any person whatsoever, any right to occupy space covered in this statement.
6. The Exhibitor agrees to limit all activities to their assigned booth/space.
7. Exhibitors will be issued conference badges that permit them to enter all general workshops and lectures.  Badged exhibitors are eligible for any CRCE available from sessions they attend and evaluate.
8. The Exhibitor agrees to indemnify the PSRC against and hold it free from all claims arising from loss or damage to Exhibitor’s property whatsoever cause occasioned, and wheresoever such property is located during the period in which the PSRC occupies RLA Learning and Conference Center. The Exhibitor agrees to indemnify the PSRC and the RLA Learning and Conference Center from and against all claim, losses or damages to persons or property; provided, however, only to the extend caused by Exhibitor’s negligence or willful misconduct.
9. In addition to the regular fees charged for services and facilities to the sponsor of the conference, the RLA (Regional Learning Alliance) - Learning and Conference Center may impose additional charges for excessive cleaning requirements, replacement of missing items, and damages to facilities which may include any damange caused to wall surfaces due to hanging of materials on non-tackable surfaces.  We do not allow glitter or confetti.  A $100 cleaning fee for each meeting space will be assessed for cleanup, if glitter or confetti is used.  
10. PSRC Cancellation Policy:  Any cancellation prior to 30 days notice will be eligible for a 100% refund.  Any cancellation prior to 14 days will be elibible for a 50% refund.  Any other cancellation will not receive a refund.  Written cancellation to directorofoperations@psrc.net is required.
11. Paying by check:  Checks must be received by April 1st.
