1. DEPOSITS & PAYMENTS
A 50% non-refundable deposit is required to secure your event date and begin the design process. The remaining balance is due 24 hours prior to the scheduled event date.
Your date is not considered reserved until the deposit has been received and the invoice agreement has been accepted. Until that time, Miami Balloon Queen LLC reserves the right to accept other bookings for the requested date.
2. CANCELLATION POLICY & RESCHEDULING
In the event of a cancellation, payments made toward custom materials, specialty items, rentals, purchased supplies, design preparation, or completed work are non-refundable. Any remaining balance payments not allocated toward completed work or purchased materials may be considered for refund at the discretion of Miami Balloon Queen LLC if cancellation is requested at least 14 days prior to the scheduled event date.
If you need to reschedule your event, your deposit may be applied toward a new event date within 30 days of the original event date, subject to availability. If the event is not rescheduled within this timeframe, the booking will be considered canceled and a new deposit will be required for any future event.
Please notify Miami Balloon Queen LLC as soon as possible regarding any cancellations, changes, or scheduling conflicts.
3. OUTDOOR BALLOON INSTALLATIONS
Client acknowledges that outdoor balloon installations are affected by weather and environmental conditions, including but not limited to sun exposure, heat, wind, humidity, and temperature changes. These conditions may impact balloon appearance and longevity, including oxidation, deflation, expansion, or popping.
Indoor or shaded placement is strongly recommended for optimal results. Miami Balloon Queen LLC cannot guarantee balloon performance in outdoor environments and is not responsible for weather-related damage, changes in appearance, or installation conditions after setup has been completed.
4. RENTAL ITEMS, INSTALLATION CARE & LIABILITY
All items provided by Miami Balloon Queen LLC, excluding balloons and consumable materials, are rented and must be returned in the same condition in which they were received.
Clients are responsible for any damage, loss, misuse, or unauthorized handling of rental items and may be subject to additional fees.
Once setup is complete, all décor, backdrops, balloons, props, and rental items must remain in their designated location and may not be moved, altered, or removed without approval from Miami Balloon Queen LLC.
Children, pets, and guests must not climb on, pull, lean against, or otherwise interact with installations, backdrops, or rental items.
Miami Balloon Queen LLC, its owner, and assistants are not responsible for injuries, accidents, damages, or claims resulting from the use, misuse, handling, or relocation of any décor, rental items, or installation materials after setup has been completed.
5. DESIGN APPROVAL & CLIENT RESPONSIBILITY
Client is responsible for providing accurate event details, including venue information, setup location, event timeline, and any venue requirements or restrictions.
Once design details have been approved, any requested changes may be subject to additional fees depending on timing, availability, and materials required.
Miami Balloon Queen LLC reserves the right to make minor adjustments to designs when necessary due to product availability, venue limitations, safety concerns, or installation requirements while maintaining the overall vision of the approved design.
6. VENUE ACCESS & INSTALLATION REQUIREMENTS
Client is responsible for ensuring the setup area is accessible, clean, and ready upon arrival. Delays caused by venue restrictions, lack of access, unavailable setup areas, or circumstances outside of Miami Balloon Queen LLC’s control may impact installation time.
Client is responsible for obtaining any required venue approvals, permits, or permissions prior to installation.
7. PHOTOGRAPHY & MARKETING RELEASE
Miami Balloon Queen LLC may photograph completed installations for portfolio, website, and social media purposes unless otherwise requested by the client in writing prior to the event.
Client grants permission for images of the décor setup to be used for promotional purposes while respecting client privacy.

By signing below, you acknowledge that you have read, understood, and agree to the terms and conditions outlined in this agreement. You understand that these policies are in place to protect both the client and Miami Balloon Queen LLC while ensuring a successful event experience.
