    Thank you for your interest in renting the Rec. Please complete the form below so we can process your application. Before you submit your application we ask you to confirm that there are no other scheduled events at the Rec by checking the calendar at www.diamondasonoma.com. Once you submit the rental application it will be reviewed at the next applicable board meeting, which typically take place every 4-5 weeks. If approved, a member of the Rec will contact you to provide a payment link for rental fees and to collect a certification of liability (if applicable). Then the date will be scheduled on the Rec calendar. When the date is placed on the Rec calendar the rental process is complete.
  • Member Information (Event Sponsor)

  • A member of the Diamond A Recreation Association can reserve the facility for private parties or social events, pursuant to the fee schedule and rules summarized below. Outside organizations (i.e., those not directly associated with Diamond A) may also rent the facility if it is available and if a member of the Diamond A Recreation Association agrees to be the sponsor for the event.

  • Rental Fees

  • If your Rental Application is approved, the Rec Rental & Cleaning fee is based on the number of people attending your event. Rental Fees are as follows:

    < 26 attendees: $150.00

    26 - 50 attendees: $275.00

    51 - 100 attendees: $550.00

    101+ attendees:  $1,0000

    Please note: an additional damage depots of $200 will also be required. The Damage Deposit is refundable and will be returned after the event, provided there is not damage to the facility or its contents. You will be billed for any damage in excess of $200. Members must remove excess garbage for parties over 25 people or for children’s parties where there is a lot of party packaging. If garbage/recycling is not removed the damage deposit will not be returned in full.

  • Waiver Request

  • The rental fee is waived for associations directly associated with the Diamond A Community (Diamond A Neighborhood Association, Trails Committee, Rough Riders, Emergency Preparedness Committee, Diamond A Water Board, and Architectural Review Board) for the purposes of their regular Board meetings and other meetings of general relevance to the Diamond A community.

  • Liability Insurance

  • Regardless of a waiver, liability insurance is required for:
    - All events where alcohol is consumed
    - Any event over 26 people
    - Any event where some guests are not Rec Members
    - Any event sponsored by an outside organization.

    A certificate of Liability for $1,000,000 with Diamond A Recreation Association As the additionally insured is required.

    To obtain
    - Contact you insurance carrier and request
    - If they cannot provice contact the Event Helper for a 1 day rider from North Bay Insurance. Follow the steps on the links for certification and cost.

    The Rec will ask for the liability certificate once the date for the rental is approved and tentatively held.
