In order for the Exam Conflict Request to be officially considered, students must submit this form. Emails, telephone calls, in-person meetings, and similar communications will not be considered. This process ensures fairness for all students and prevents any undue influence. Any prohibited communications will not be answered.
I. Exam Conflicts & Deferred Exams Process
Step One: The student must submit this online form with the required supporting documentation illustrating the exam conflict.
Step Two: The student will receive a confirmation email acknowledging their submission.
Step Three: Within three (3) business days, the student will receive a decision email from Dean Yannick Brookes informing them whether their request has been approved or denied.
Step Four: If deferred exam details (such as the new date and time) are not included in the initial decision email, students will receive a follow-up email from Ms. Loretta Young-Jones with their deferred exam schedule.
II. Examples of Supporting Documentation
-A letter from the medical professional performing the procedure;
-A copy of the death certificate of the deceased individual;
-An email receipt from covidconfidential@udc.edu after submitting positive test results;
-A copy of the program of service;
-A police report;
-A copy of the exam schedule with the student’s final exams highlighted; or
-Documentation showing the extenuating circumstance preventing the student from being present.
Please Note #1: Supporting documents cannot come from the student’s family, partner, friend, coworker, or similar personal contacts. Instead, documentation must be provided by the student’s direct supervisor, a clergy member overseeing the service/ceremony, a work authorization, etc. As a general rule, work-related requests and jury summons are not granted. If the uploaded document does not meet these requirements, the request will be denied.
Please Note #2: The Associate Dean of Students may rescind an approval if it is discovered that the required documentation is invalid, unclear, insufficient, or if information provided in the request is untrue.
Please Note #3: Supporting documentation must clearly identify the author and their credentials and must indicate that the conflict is for the same date and time that the exam was originally scheduled. If the uploaded document does not meet these requirements, the request will be denied.
III. Deadlines
For midterm and/or final exams, this online form must be submitted by September 1 (Fall Semester), February 1 (Spring Semester), or June 1 (Summer Term). These deadlines are firm. Emergency situations will be managed on a case-by-case basis.
IV. Exam Modality
All students are expected to take their exams in person, including deferred exams, unless the course is fully online or the professor has given written authorization to Dean Yannick Brookes for an alternative arrangement.
V. Deferred Exam Window
[For Midterms Only] Students may only request to modify their deferred exam details for academic reasons. If a deferred exam causes an absence from another course, the Office of Student Affairs will submit an Emergency Absence Waiver Request Form on the student’s behalf. Students should expect to sit for their midterm exam on the immediate next day or before the next scheduled class meeting.
Please Note #4: The professor’s midterm exam and/or classroom policies will always take precedence over a deferred exam request granted by the Office of Student Affairs.
[For Final Exams Only] Students should be prepared to sit for their deferred exam during the official final exam period and are strongly advised not to make travel plans until the semester and the official exam period conclude. The Office of Student Affairs will assign specific deferred exam dates, and these dates are final.
VI. Deferred Exam Sequencing
The general rule is to preserve what can be kept and defer the conflict. However, required courses will always take precedence over non-required courses.
