Operations Coordinator
The purpose of this position is to provide the South Carolina Tennis Foundation(SCTF) with operational and special event support. This is a part-time contract position requiring approximately 40-50 hours per month. Compensation will be $1,000 per month. Depending on the time of year, some months will require less than 40 hours and others will require more. Applications should be received no later than Friday, April 26, 2024.
Essential Position Responsibilities
Gather, enter, and/or update data to maintain donor records and databases.
Assist with donor development events as needed.
Provide administrative support for key operational activities such as the Annual Fundraising Campaign.
Work with Executive Director and volunteers to provide event coordination, planning and onsite execution of the annual Hall of Fame Banquet.
Communicate regularly with the Hall of Fame Inductees leading up to the Hall of Fame Banquet.
Handle administration of events and programs, including attendee registration and payments, RSVP tracking, vendor coordination, and issue resolution.
Attend the USTA South Carolina Annual Meeting and Hall of Fame Banquet.
Participate in SCTF board and committee meetings as assigned. May occasionally occur during the evening hours.
Coordinate grant and scholarship application process.
Support Director in managing external communications through email, social media, and website.
Coordinate printing and mailing of event and office materials including support for vendor selection and logistics.
Contribute to the improvement of operational and administrative processes and systems.
Meet weekly, virtually or in-person, with the Executive Director.
Track and submit time to Director for approval on a monthly basis.
Other projects, events, and administrative duties, as assigned.
Required Skills and Qualifications
Highly motivated self-starter, enthusiastic personality with desire to promote and grow tennis through the mission of the Foundation.
Advanced knowledge and proficiency in email communication and office automation platforms such as Microsoft Office Suite and Google online platforms with an interest and aptitude to learn new technologies, as needed.
Excellent organizational skills including ability to prioritize multiple assignments.
Ability to embrace a team environment with a desire to assist volunteers and staff in executing a successful event.
Excellent verbal and written communication skills.
Exemplary customer service and problem-solving skills.
Experience in event planning or coordination.
Ability to remain composed and professional under pressure and maintain a customer-service mindset.
Bachelor’s degree (or equivalent).
Preferred Skills and Qualifications
Experience in working with non-profit organizations, volunteers, and small businesses.
Experience working with colleagues in graphic design, sales, marketing, and communications.
Administration of backend website support and content management.
Knowledgeable about the sport of tennis.
