Executive Board Member Applications and Appointments
Prospective board members are invited to participate on BEE Club Inc.’s Executive Board by individuals currently serving on the board. Prospective board members interested in serving on the board must accept their invitation by completing the BEE Club Inc. Volunteer Registration Form, Executive Board Member Application, and Contract. After completing the abovementioned items, new executive board members will be appointed to their respective roles for their designated term.
All board member invitations must be sent at least six months before each fiscal year's third executive board meeting, which takes place in March. New board member volunteer registration forms, member applications, and contracts must be completed and returned at least three months before the third executive board meeting of the year. All new appointments must attend the third and final meetings of the fiscal year to begin their board term. The final meeting of the year takes place in June.
Board Time Commitment and Meeting Schedule
BEE Club Inc.’s Executive Board has both four- and two-year terms. Core Executive Board Roles require a four-year service commitment. These include the following board roles:
- Board Chairperson
- Board Vice Chairperson
- Board President
- Board Vice President
- Board Secretary
- Board Treasurer
Advisory Executive Board Roles require a two-year service commitment. These include the following board roles:
- Board Development Chair
- Board Fundraising Chair
- Board Capacity Building Chair
- Board School to Community Liaison
- Board Atlanta Community Champion
All board members should expect to commit at least four hours a month and 48 hours per year of service to BEE Club Inc. through participation on the organization’s board.
The Executive Board will meet quarterly, four times a year. The third meeting of each fiscal year will be retreat style. It will be held in March, focusing on new board member training and strategic planning. It will include the completion of the following tasks:
- Conduct a SWOT Analysis
- Assess organizational goals, objectives, strategies, and tactics as outlined in the Organizational Strategic Plan
- Review and revise the Organizational Strategic Plan
- Develop the Organizational Budget for the upcoming fiscal year
- Develop the Organizational Fundraising Plan for the upcoming fiscal year
The last meeting of the year will be held in June. It will include an organizational assessment. The Executive Board will review and assess the following items:
- Current Fiscal Year Goals
- Review Financial Position Statement and Statement of Activity
- Review Organizational Budget
- Annual Report
- Board Performance
- CEO Performance
The year's first and second meetings will focus on progress reports, planning for board anniversary events, and fundraising support. These meetings will be held in August and November. The board will review the following items:
- Prior Year’s Financial Position Statement and Statement of Activity
- Prior and Current Year’s Major Donor and Gift Solicitations
- Board Anniversary Event and Fundraiser
- Prior and Current Year’s Program Reports
Board Giving and Financial Commitment
Each board member is responsible for upholding the Executive Board’s Give or Get Policy. Each board member is required to contribute $1,500 in monetary and or in-kind donations. This amount can be donated by or on behalf of the board member. Professional services can also be provided as a contribution toward in-kind donations.
