Call for Proposals: Designing resource for ARC Hub’s BIPOC Staff/Leadership Roundtable

About the ARC Hub:
The Anti-Racist Cooperation (ARC) Hub is a dedicated coordination secretariat and a resource center for the sector. Our goal is to help Canadian international development and humanitarian organizations improve their ability to integrate anti-racism and intersectional feminism into their work in the creation of resources, knowledge sharing spaces, networks of support and training. The ARC Hub is hosted by Cooperation Canada and funded by Global Affairs Canada. 
 
 
Project Overview:
The ARC Hub Roundtable resource entitled Creating Safer Spaces for Racialized Leadership and Staff - In international cooperation equips organizations with key insights, strategies, and tools to foster safer, more inclusive environments for racialized leadership and staff, as well as their partners and stakeholders. It aims to address systemic inequities and improve workplace experiences for racialized employees, based on feedback from these communities.

Scope of Work: 
The selected graphic designer will be responsible for creating a visually engaging and comprehensive 30-page resource in English, with a slightly longer version in French. This resource will capture the discussions, key insights, and outcomes of the roundtable. The design should be modern, vibrant, and captivating, helping to maintain reader engagement throughout. We aim to strike a balance between playfulness and professionalism, ensuring the resource is both dynamic and thought-provoking.

 

Target Audience:
We are attempting to reach out to the following targets in promoting our training plan: 

• Canadian international cooperation sector organizations and their staff 
  Global Affairs Canada 
• Equity professionals 
• Elected officials and political staff, particularly those responsible for foreign policy or development assistance issues. 
• Canadian social impact stakeholders: Individuals or organizations that work outside our sector but have a significant societal impact. 
• Canadian foreign policy community: Embassies, consulates, delegations, etc. 
• Our own staff members, interns, and volunteers 

 

Work Modality:
The designer/design team is expected to work remotely, providing remote support to the ARC Team. The consultant will be expected to engage using online platforms including but not limited to Microsoft Teams, and Zoom.  

Consultant experience & skills:

• Knowledge of/expertise in digital design 
• Knowledge and competence in accessible design 
• Experience designing reports 
• Fluency in English and/or French an asset 
• Work collaboratively
• Be able to manage the project and complete the project on deadline 

 
Submission Guidelines: 
Interested graphic designers are requested to submit a detailed proposal outlining their approach, timeline, and estimated budget for the project. Please include samples of previous work or a portfolio demonstrating relevant experience in report design. Proposals should be submitted to arc@cooperation.ca by August 31st 2024 at 5pm EST. 

Submissions are not expected to be overly elaborated, excluding appendices such as CV/resume and demonstration of interest. They must include: 

• Relevant Experience may include examples of past projects. 
• Proposed structure including a rough timeline of the project. Please include when you will require feedback/collaboration from the team. 
• Demonstration of interest which can be shared however you see fit 
• Financial proposal* Please indicate in your quote the budget needed to create the visual identity and communication tools. We are hoping to work with you on finding what is possible within those guidelines.

Evaluation :

Inclusive procurement considerations must be included in the selection criteria for purchasing. The goal is to provide equitable opportunities for vendors of all sizes and backgrounds, including Black, Indigenous, and people of color (BIPOC)-owned vendors as well as, vendors representing diverse gender identities and abilities, to be successful in a procurement process. Including inclusive procurement, considerations can help reduce unnecessary barriers for diverse vendors when bidding on opportunities. • Relevant experience (30%)

  • Familiarity with Canva, creating templates, etc. 
  • Familiarity working with training and workshop focused teams 
  • Creating individuality in a very traditional learning sector  
• Quality of proposed work structure describing the key elements of the approach that would be employed by the consultant in undertaking this project (30%)    
• Cost (20%)  
• Inclusion, diversity, environmental considerations, and fair labor practices (20%)

Proposals will be evaluated based on creativity, alignment with the roundtable objectives, demonstrated experience in report design, and adherence to the proposed timeline and budget. The selected graphic designer will be notified by August 31st, 5pm (ET).
