Food Truck Requirements
1. Food Trucks must comply with the Lethbridge Fire Prevention Bureau and Alberta Fire Code policies, including but not limited to:
a. Food Trucks with an exhaust hood and fire suppression system are required where the production of smoke, heat, and grease laden vapour occurs.
b. Food Trucks are required to have a fan interlock ensuring that the exhaust fan can only operate when such closures have been opened.
c. Upon request of LDE or the Lethbridge Fire Bureau, Food Trucks must provide proof of a fire inspection being completed within the current year. Including fire extinguishers and suppression systems being inspected and approved.
2. Food Trucks must comply with all Alberta Health Food Safety Regulations, including displaying their Mobile Food Handling Permit/Sticker.
3. Food Trucks must recognize that Alberta Health Services Inspectors may show up at any time to inspect Food Trucks/setup.
Food Truck Appearance
1. Signage and menu boards should be easily visible to the guests with clearly displayed prices.
2. All signage should be professionally made and in good condition.
3. Food Trucks must have signage that clearly displays their business/truck name and a contact phone number.
4. Food Trucks shall take every reasonable step to keep the areas surrounding their truck free of debris/garbage/food waste.
5. Garbage and recycling should be disposed of in appropriate receptacles. Large amounts of garbage and cardboard must be disposed of off-site by the operator.
6. Generators should be placed out of public reach and view.
Beverages
1. Coca-Cola is the exclusive provider of non-alcoholic beverages at Lethbridge & District Exhibition. No competitor beverages are permitted, and limited beverage exceptions (lemonade, slushies, etc.) may be made at the discretion of LDE. Additional communication, if required, will be provided to the Vendor prior to their application being approved.
2. All pre-packaged, bottled or canned non-alcoholic beverage products sold on-site must be purchased through Lethbridge & District Exhibition. Further details for the beverage ordering process will be provided in the Welcome Package, closer to the event.
3. Food Truck Vendors are not permitted to sell alcoholic beverages.
General Terms & Conditions
1. All Food Truck vendors must have a valid copy of their Certificate of Insurance, providing proof of $2 million general liability, inclusive of bodily injury and/or property damage.
2. Food Trucks will be permitted to leave the grounds each night, after Whoop-Up Days has closed for the day. Food Trucks will not be permitted to leave the grounds until event hours end and the public has dispersed.
3. Early access to the grounds each day will be available for re-stocking Food Trucks. Further details about the process for restocking Coca-Cola products will be provided closer to the event.
4. All Food Trucks must be self-sufficient. Power and water hook ups are not available. Water for filling buckets/tanks will be available in select locations and must be arranged in advance.
5. Vendors will not be permitted to choose their locations. LDE reserves the right to move Food Truck locations, if required, up to the event move-in.
6. Idling is prohibited.
7. All Food Trucks/MCO’s must place drip trays/mats under the vehicle’s engine and drivetrain. Trays and mats must also be placed under external equipment such as smokers, BBQs, etc.
8. Food Truck Vendors are responsible for the removal of grease, oil and other cooking materials from LDE grounds during and after the event.
9. Vendors are not permitted to sublet or share booth space with any other business or Vendor.
10. Vendors must always wear their badges while on-site.
11. Security will be effect from move-in until conclusion of move-out.
12. Parking is not included for Vendors. Vendors are encouraged to park off-site to leave parking spots available for guests.
13. No animals are allowed in the booths, Food Trucks or left in vehicles.
14. No smoking of cigarettes, vaping or marijuana is permitted inside the buildings or within booth spaces/Food Trucks.
15. Forklifts will be available on-site if required. Forklifts are available to lift from 3,500lbs to 8,500lbs. Vendors requiring forklifts will be required to pay additional costs and should book ahead for early move-in and later move-outs.
16. Food Truck Vendors are not permitted to sell cotton candy and lemonade as West Coast Amusement has exclusivity on this product.
17. No Food Truck Vendor will have exclusive rights to products. Other Vendors will be allowed to sell similar products; however, LDE will do its best to ensure that a good mix is established.
18. Vendors acknowledge that all right, title and interest in video(s) and/or photograph(s) taken at the event, being original works, belong to Lethbridge & District Exhibition for marketing purposes.
19. No threatening or aggressive behavior to marketplace management, security, members of the public, or other Vendors will be tolerated.
20. Management may at any time, in its discretion, reserves the right to cancel the participation of any Vendors, remove the Vendor, and/or its employees/workers from event grounds for any violation of this contract, and/or to cancel Food Truck participation if Vendors are intentionally breaking the contract terms agreed upon.
21. Vendors are to wait for an approval confirmation prior to contacting the office to submit payment.
22. Payment must be received in full by August 8, 2024, or booth spaces will be released to waitlisted Vendors.
23. Vendors must be fully moved in by August 20, 2024, at 11AM or will be considered no-shows. Refunds will be not issued for no-shows and booth space will be sold to waitlisted Vendors.
24. All cancellations prior to August 8, 2024, may be subject to a 25% fee in lieu of administrative costs.
25. Food Vendors cancelling participation after August 8, 2024, will forfeit all monies paid.
26. All cancellations must be made in writing via email to LDE at the contact information listed below.
Prohibited
1. Cooking in tents.
2. Straw or hay bales.
3. Concession carts or sidewalk stands.
Damage & Liability
The Food Truck Vendor will bear full and direct responsibility to reimburse LDE for any repair, replacement, or excessive cleanup costs incurred through damage to the venue, grounds and its fixtures during the event hours and move-in/move-out.
