  • Space Assignments:
    All space assignments will be made according to the date the application is received.

    Terms of Payment & Cancellation:
    Full payment must be received by October 6, 2025.  Written notice of cancellation is due by October 6, 2025. There will be a $200 administrative fee for all refunds processed.
    No refunds will be granted after October 6, 2025.

  • RULES AND REGULATIONS

  • 1. ELIGIBILITY TO EXHIBIT
    Companies involved in providing education, supplies, and services to the medical profession: pharmaceuticals, instrumentation, practice management, publications, computer software, and so on.

    All products must be directly related to the practice of surgery or medicine and approved by SUO AADO OPDO in its sole and absolute discretion. Exhibitors shall not exhibit products or services other than those described in the application and approved by SUO AADO OPDO.

    A product that is an "investigational device or drug" must be clearly marked as such. Exhibitors must ensure that, with respect to all such devices or drugs only permissible preapproved dissemination of scientific and educational information is provided at the exhibit. Appropriate disclosure and cautionary notices must be included with the devices or drugs.

    All products and services exhibited at SUO AADO OPDO shall comply with FDA rules and regulations. For additional information, contact: FDA, 888-463-6332, www.fda.gov

    An exhibitor shall not, in any manner, directly or indirectly, imply that a SUO AADO OPDO endorsement or approval of exhibitor's product or service has been given merely because SUO AADO OPDO approved such product or service for display at the Combined Meeting.

    The use of logos, seals of approval, trademarks, or other similar property rights that are in disuse may not be used in connection with any product or service or advertising material displayed or disseminated at the exhibit.

    Application deemed ineligible by SUO AADO OPDO will be returned with full payment.

    2. EXHIBITOR REPRESENTATIVES

    Exhibits must be staffed at all times during the exhibit hours. Each exhibiting company is allowed name badges as part of its booth space rental fee, provided that the exhibitor representatives are registered in advance. Only exhibitors with name badges will be permitted to enter the exhibit area during hours of installation and dismantling. No children under 16 years of age will be allowed in the exhibit hall area at any time.

    3. FAILURE TO OCCUPY SPACE

    Space not claimed by 5:00 pm on Thursday, November 21 for which no special arrangements have been made with SUO AADO OPDO, may be resold or reassigned by SUO AADO OPDO without obligation to refund exhibit fee or to assign the exhibitor to another space.

    4. LIABILITY

    In the event that the exhibition is cancelled, postponed, or relocated on account of fire, strikes, government regulations, casualties, Acts of God, or other causes beyond the control of SUO AADO OPDO, the exhibitor waives any and all damanges and claim for damanges and agrees that the sole liability of SUO AADO OPDO shall be to return to each exhibitor the exhibitor's booth rental payment.

    5. INSURANCE

    Insurance on all exhibits is the responsibility of the exhibitor. SUO AADO OPDO or SUO AADO OPDO Management will not assume any responsibility for property loss or damange to personal property, as stated in the section on limitation of liability.

    Exhibitor shall at its own cost and expense provide general liability insurance in an amount not less than $1,000,000. This insurance should recognize SUO AADO OPDO and The Triological Society as an additional insured.

    6. SPECIAL RESTRICTIONS

    Giveaways are permitted only if approved in writing by SUO AADO OPDO prior to the meeting.

    Any activity in the exhibit area is strictly prohibited. Fire hose cabinets and exits must be left accessible and in full view at all times. Decorations and displays must either be of nonflammable material or be treated by an approved fire prevention method. All display material must be flame proofed and is subject to inspection by the Phoenix Fire Department. No flammable fluids or substances may be used or shown in booths.

    Displays may not be dismantled nor any packaging begun before 5:00 pm on Saturday, November 23.

    7. SECURITY

    SUO AADO OPDO cannot guarantee or assume any liability against loss or damange of any kind but will endeavor to protect exhibitors by locking the doors after convention hours and providing a security guard.

    8. SIGNS/ANNOUNCEMENTS

    No signs, posters, or brochures will be allowed anywhere in the hotel except within each exhibitor's booth. No signs or other articles are to be fastened to walls or electrical fixtures. The use of thumbtacks, tape, nails, screws, bolts or any tool or material that could mark the floor or walls is prohibited.

    9. ENFORCEMENT OF RULES AND REGULATIONS

    The Rules and Regulations of the SUO AADO OPDO Exhibition are intended to bring order and dquity to all parties involved. In addition to being subject to restriction or termination of an exhibit, exhibitors who violate regulations could be prevented from exhibiting at future meetings. SUO AADO OPDO reserves the right to restrict or terminate an exhibit without notice if an exhibitor violates any of the Rules and Regulations contained herein. In the event of such restriction or eviction, SUO AADO OPDO is not liable for any refunds, rentals, or other exhibit expense.
