Nordic School Group Booking Policies
Deposit and Payment Policy
DEPOSIT
UPON BOOKING: 50% of the total invoiced amount will be due upon booking to secure date and time requested.
An invoice will be provided with your confirmation email and 50% payment will be due upon reserving your date and session time.
FULL PAYMENT
Final payment and student counts will be due 48 hours before arrival date.
*NOTE: Your final student count will be used to adjust the invoice and therefore your final amount due.
PAYMENT METHODS
We accept credit cards and cheques as form of payment.
If utilizing a Credit Card (preferred method for expediting payment and securing requested activity date):
Let us know a convenient date and time arrange a time to call you. Credit card information collected, and invoice payment will be applied during our phone call.
If your School prefers to make payment via cheque, we will be unable to process your booking request until it has been received by our accounting department.

CHANGES/CANCELLATIONS
CHANGE OF DATE
If you need to reschedule your school group lesson or snowshoe tour, we can do so up to 2 weeks before your scheduled activity date.
Note: Requested rebooking dates are dependent on availability.
CHANGE OF GROUP SIZE
To ensure appropriate instructor/guide ratios are met, we will adjust student counts dependent upon timing of notification:
48 hours before the activity date: Final student counts will be collected.
We understand that numbers fluctuate, please contact us as soon as possible to adjust as necessary.
CANCELLATION
We understand that unforeseen circumstances arise, and cancellations sometimes are inevitable. Please let us know soonest at nordicgroups@cypressmountain.com if you are unable to attend your reserved session date and time.
More than 2 weeks’ notice: Full refund of deposit less 10% admin fee
Less than 2 weeks' notice: 50% deposit is non-refundable.
No Show: Forfeit 100% of booked value.
CANCELLATION DUE TO INCLEMENT WEATHER
Please contact us prior to your trip if you are considering cancelling due to unfavorable weather which results in school or facility closure. Cypress Mountain Nordic area operates in inclement weather such as heavy snow, rain and extreme cold. Our staff are prepared to adapt programs in variable weather.
Admin fees and/or loss of deposit will apply if we are notified within 48 hours of your scheduled activity.
Cypress Mountain reserves the right to cancel and reschedule booked dates including but not limited to:
Adverse weather-related closures
Limited natural resources (snow base)
Unforeseen circumstances that limit the ability to provide a safe and beneficial environment for learning.
Cancellations made by Cypress Mountain due to adverse weather conditions will not be penalized. We will make every effort to reschedule your school group booking to another available date.
BOOKING CONFIRMATION
Upon booking with Cypress Mountain Nordic Groups, an email will be sent confirming your booking and pre-arrival information. With this email:
Review your confirmation email and booking details.
Review the information packet containing:
Important pre-arrival information
Helpful checklist
Ski gear rental sizing information (if skiing)
Lunch order form (if reserving)
WITH YOUR RESERVATION YOU ACKNOWLEDGE AND ACCEPT THE TERMS AND CONDITIONS SET FORTH BY OUR POLICIES STATED ABOVE
