Data Sharing for Safeguarding — Guidance & Principles

The Information Commissioner's Office (ICO), the UK’ s data-protection regulator, explicitly states that data protection law does not prevent organisations from sharing information when required to safeguard a child — provided the sharing is lawful, fair, proportionate, and underpinned by a defined lawful basis.

The ICO’s “10-Step Guide to Sharing Information to Safeguard Children” sets out good practice for organisations handling safeguarding data: define the purpose, share only what is necessary, ensure secure systems, document decisions, and regularly review policies and procedures.

In sport and youth-work contexts, obligations to safeguard children and young people supersede purely administrative concerns about data privacy — i.e.“if you have reason to believe a child is at risk, you must share what you need to. ” This principle applies equally to clubs, coaches, welfare officers, and administrators.

If the situation arises that we feel for safety your data will be shared, you will be notified in advance and informed of which authority the information will be shared with.
