Equestrian Camps Terms & Conditions and Camp Code
Equestrian Camps Terms and Conditions are there to protect you, the instructors and the venues we use. When you purchase a camp place or a gift voucher you are agreeing to these terms and conditions and bound to up hold them from the time of booking.
Definitions
Deposit: The amount payable per attendant to Equestrian Camps at the time of booking to secure a place on camp. This is non-refundable under any circumstances and will secure that place up until the date that final payments are due. If final payments are not made on the required date, your place is no longer guaranteed and may be offered to someone else.
Final Payment: The final amount payable per attendant to Equestrian Camps due on the date stated on the event page, it may be paid before the due date but not after. This is non-refundable under any circumstances after the final payment date has passed. Anyone who has cancelled within 30 days of the final payment date will not be expected to pay this. Cancellation after this due date will mean that the attendant is still liable for the full payment for the camp. If final payments are not made on the required date, your place is no longer guaranteed and may be offered to someone else.

Attendant: A member of the general public attending the Equestrian Camps event with their own or hired horse, as a spectator, a guardian or invited speaker.
Guardian: Those attending to accompany any rider under the age of 18
Booking & Payment
The Attendant has agreed to pay a deposit and a final payment by the due date.
Final payments must be paid in full 4 weeks before the event date.
If final payments are not received 4 weeks before the event date your deposit will be forfeited and your place lost.
Please treat your booking like a holiday and arrange for your own holiday insurance to cover the costs in the event of a cancellation
Your place is not transferable
Cancellation
If the Attendant wishes to cancel for any reason their deposit will be lost. If they cancel after the final payment date they will be liable for the total cost of the camp. No refunds of final payments are given after the closing date. No refunds of deposits are available under any circumstances subject to the cancellation policy below.
Deposits and camp fees are non-refundable IF THE ORGANISERS cancel an event at short notice due to forces beyond our control although we will try to reschedule and honour your payments wherever possible.
The Organiser reserves the right to cancel the Event at any time if conditions may cause Health & Safety issues. This is at the discretion of the Organisers.
There will be no rebates or deductions for early departure, late arrival, missed lessons or talks or for providing your own hay/haylage or bedding.
Cancellations accepted by email equestriancampssw@outlook.com – cancellation messages by text, facebook message are recognised providing you have received a reply and acknowledgement from the organiser
Forms
All registration forms must be completed online and be accompanied by a deposit. Forms received without deposits will be discounted and the place opened up to other clients.
Whilst at camp
Your groups will be made up in accordance with the information that you have provided on the form. Once decided the groups cannot be changed.
Anyone under 18 years who attends an Equestrian Camps event must be escorted at all times by an adult over 18yrs with the exception of the 11 – 17 year olds camp.
Equestrian Camps and their attendees takes pictures and videos at camp which are then published on social media. We reserve the right to publish all images/footage unless you have ticked the box on the form stating otherwise.
It is your responsibility to review all communication from Equestrian Camps as we issue them in your interest. If you agree will also send you information about other camps or events that we are organising in the near future but will not use your information for any other purposes in line with our privacy policy.
We do not guarantee to give you specific trainers, times, stabling etc when requested - we put the timetable together on a best endeavours basis, no guarantee is made, implied or offered to meet any preference you have requested.
Instructors, speakers, menus and riding schedules are subject to change without notice. No refunds will be made if this happens.
No rider is allowed on the Cross Country Course or in any of the schools unless accompanied by and instructor who has been employed to teach you by Equestrian Camps.
Correct riding attire must be worn at all times when mounted and correct footwear wore whenever handling horses at camp.
Hardhats to current British standard with chinstrap fastened, boots with a small heel and grip. Body protectors must be worn at all times on Cross Country Courses but at riders discretion when riding in the schools. Failure to comply with this may result in you being asked to leave. The BS quality standards that we accept are EN1384 OR BS PAS 015 and higher.
Speakers, demonstrators or experts invited to camp are operating under their own insurance and Equestrian Camps takes no responsibility for any future arrangements you make with them or for any discussion or teachings you may gain from time spent in their company.
Gift Vouchers purchased for attendance of a camp with Equestrian Camps expire after 12 months and are sold under the same terms and conditions as all other camp spaces.
Data Protection: By booking on and accepting these T&C's you must understand that information you are giving will be held in accordance with the Data Protection Act 1998 but may also be made available to Insurers and other concerned parties in the event of any injury or accident. This includes sharing of any confidential medical information you have shared with Equestrian Camps - we will share this in confidence with our coaches at our events to make sure they know of any risks or previous injury’s. This also affects any claim in respect to your horse attending or bringing to camp any disease.
Attendants must comply with all reasonable instructions given by Equestrian Camps and must observe all regulations issued by Equestrian Camps for the Event.
If the Attendant is in breach of these Terms and Conditions Equestrian Camps shall be entitled to expel the Attendant, without incurring any liability or refund.
Riders & Horses must keep to designated areas.
Equestrian Camps reserves the right to ask anyone to leave at any time or not allow entry to any person who is not a member of camp or not following the camp code and terms and conditions
If you are under 18 years of age, a guardian must accompany you. At all times, children must be supervised by the accompanying guardian.
Please ensure that your tack fits correctly and is suitable for the lessons you have signed up for. Your instructor may ask you to adjust or remove anything that they feel is causing unnecessary suffering or endangering the horse or rider in any way. No refunds will be given for lost lesson time in these situations.
Attendants must take full responsibility for any damage caused by themselves, their guests and their horses. Third Party Insurance is recommended.
Each horse is the responsibility of its owner/rider, and all activities are undertaken at your own risk.
Possession or consumption of illegal or performance enhancing drugs for horse or humans will result in an immediate expulsion that camp without a refund.
Health & Safety and Equine Welfare
The Attendant shall comply with all fire, health and safety rules, regulations and emergency procedures outlined by the Organiser and the Venue.
A horse must have an up to date vaccination certificate and Passport that has been validated by the signature and date stamp of the a veterinary surgeon. The vaccination certificate must accompany the horse to Equestrian Camps events and the rider is responsible for producing it on demand. There are exceptions to this at certain venues please ask before attending.
Equestrian Camps is not liable for any skin conditions, contagious infections or diseases borne whilst at camp. If any horse is showing symptoms when you arrive at camp a vet will be called at your expense to check for undiagnosed illness and could be taken off site in order to minimize risk to other horses. There are no quarantine facilities on the majority of the sites.
Any horse deemed unsound by the trainers may be excluded from lessons and no refund offered.
Attendants must notify the Organisers of any issue relating to their horse that may be relevant to Health & Safety within the Event. (i.e. biting/kicking/stallions etc). Equestrian Camps will not be held responsible for Attendants being injured by their own or other rider’s horses.
Event Premises
The Attendant is liable for any damage caused by them or their guest to property belonging to the organiser, the owners of the event premises or any other Attendants. This includes breaking any facility owned equipment and any damage caused to the facility by you or the animals in your charge.
Any damage caused by The Attendant must be reported immediately and will involve payment whilst at the event from the Attendant to the Venue to fix. Damage includes but is not limited to, broken show jumping poles, fillers and wings, fences, fence posts, gates and gateways.
In the event of inclement weather some venues may switch or cancel disciplines. The impact of this generally affects the cross country lessons. Cancellation at events of the use of that area (or others) is a decision made either by the venue themselves or Equestrian Camps. This decision to cancel is based on health and safety. This could affect other lessons taking place, as arenas may have to be shared out to accommodate everyone. This decision is only made in exceptional conditions.
If the facilities are not left as you found them you will be charge a fee of £10.00 plus the cost of any repairs.
Camp Code
Please respect the facilities we attend and leave no litter around, pick up droppings left on walkways, yards and verges
Please don’t impair the enjoyment of other camp users in any way by allowing your dog to run loose, playing loud music or leaving generators running after 10.30 pm for example. Please use your common sense and consider others at all times.
Anyone seen or heard endangering others, being non-supportive of or unpleasant in any way to any horse or person will be asked to leave.
No Parking within 10ft of the person next to you on the camp ground. There is plenty of space, crowding each other is unnecessary and also dangerous.
We have a very strict no judgement policy and whatever you might think of someone else’s horse, riding, equipment etc is not to be discussed at camp. Everyone is on a journey and doing the best that they can.
Any abusive language is not welcome and will not be allowed.
The Attendant may bring dogs along to the camps but only with prior notice and with the understanding that they are not to be left unattended in cars in hot weather or tied to vehicles. They must be kept on leads at all times. The owner must clean up after the dog and must ensure that it is not a nuisance to anyone else attending camp or they may be expelled without refund.
The Attendant must not smoke in or near any venue buildings and must ensure that any cigarettes are completely extinguished and disposed of correctly.
Attendants are advised to not enter into stables, corrals, trailers or horseboxes or ride horses that are not their own property.
