  • 2. For 2024, you MUST provide detail on what you will be selling at your booth (or type "none" if you are informational only). As mentioned on our website, we receive more vendor applications than we can accommodate given our space and visitor numbers.

    For that reason, our event will be more heavily curated than in years past to ensure that we have a good variety of vendors for our guests and to ensure limited competition for your sales.

    Non-food vendors can provide general information like "crocheted items" or "crystals and stone jewelry" along with a general range of pricing.

    Food vendors, whether prepackaged or prepared, MUST provide a menu and a fair estimate on your pricing. If you are not ready to commit to a menu, please wait to apply until you are.

    Note: You do not need to specify flavors. For example: "tacos" is fine, we don't need to know "vegan carne asada soy tacos". But "Mexican food" is not specific enough. 

    Included in your list, MUST appear a $7 or less item. We feel strongly that if we are able to advertise the ability of guests to try a lot of vendors that we'll improve attendance.

    If you do not send us a menu with pricing including the $7 item, we'll return your application.

            • *Prepackaged food items are fully shelf stable foods that require no heat or refrigeration. Examples include, but are not limited to, cookies, jerky, or croutons. Contact us if you are unsure of your category. Please note that, if you are doing food sampling, the Southern Nevada Health District will require that you have a permit with them in order to do sampling. 

              **Nonprofit spaces are extremely limited. We will be curating nonprofit spaces based on the best fit for the Vegas VegFest audience.

            • TERMS AND CONDITIONS

              (You are signing a contract. Read this information thoroughly and save a copy for your records.)

              1. Vegas VegFest is a “rain or shine (or even hail!)” event. Should any contingency interrupt or prevent the holding of Vegas VegFest, including but not limited to excessively inclement weather, war, terrorism, or lockouts, Vegas VegFest shall in no way be liable to vendors and refunds will not be offered. Should any contingency prohibit the event from taking place as scheduled, Vegas VegFest coordinators will make their best effort to reschedule the event.

              2. Vendors are required to be open on Saturday, September 28, 2024 by 11a.m. and to be staffed and operational continuously through 6 p.m. Set-up times and load-in information will be sent the week prior to the event. Food vendors should expect that the Southern NV Health District may be on site prior to 11am. Set up by 10am is HIGHLY recommended.

              3. VEGAN: All products sold, promoted, or given away must be vegan. Vegan means no animal products including flesh, fat, broth, gelatin, egg, dairy, or honey. Please consult Vegas VegFest with any questions regarding what is or isn’t vegan. Any vendor found selling items that are not vegan at Vegas VegFest will be immediately dismissed from the festival with no refund given and banned from future events.

              4. Alcoholic beverages or items containing alcohol, marijuana, or other related substances may not be sold.

              5. Clark County will not allow the sale of merchandise at the event that offends community standards or depicts illegal drug use or paraphernalia.

              6. All vendors are required to have appropriate permits, licenses, and insurance.

              7. Vendors shall only exhibit, sell, or give away merchandise, literature, and services specified in the initial application. Exhibitors shall not sell or give away food or beverages without prior approval. Vegas VegFest reserves the right to deny sale of items not listed in the initial application. 

              Water sales are prohibited.

              8. Clean-up must be complete by 8PM. Exhibitors are solely responsible for setting up and tearing down their exhibit space and removing all related trash.

              A $250 cleaning fee may be assessed to any areas not left clean. Food vendors note: your area must be free from food stains. Plan to bring adequate ground coverage if needed.

              9. Booth space placement will be determined by Vegas VegFest. Sponsors, based on level of sponsorship, will be given priority placement. Booth spaces will be provided upon arrival at the event on the morning of September 28, 2024.

              10. Exhibitors will not interfere with the safety, success, and effectiveness of Vegas VegFest. This includes, but is not limited to, behavior, display materials, literature, venue equipment, or operations, unusual odors, or extending beyond exhibitor space and/or blockage of public passageways. Exhibitors may not solicit/sample to/or petition attendees beyond the confines of their booth. Music and/or recordings must not interfere with neighboring booths.

              11. Vendor may not sublease their space, including renting, sharing, donating or in any way allowing another company or person to display or advertise in an exhibitor’s space.

              12. INDEMNIFICATION: Contractor agrees, by accepting this agreement, regardless of coverage under any insurance policy, to pay all costs necessary to indemnify, defend and hold CompassionWorks International, Vegas VegFest, and Clark County harmless from all claims, demands, losses, actions, attorney’s fees, cost and expenses based on or arising out of any acts, errors, omissions, fault, or negligence of contractor or its principals, employees, subcontractors or other agents while performing services under this contract.

              13. Exhibitors participate in Vegas VegFest at their own risk. Security will be provided (as a courtesy) for the vendor booths throughout the duration of the public open hours of the event only. Vendors agree to make no claim for any reason against event coordinators, Vegas VegFest, CompassionWorks International, or Clark County for loss, theft, damage, or destruction of goods, nor for injury to themselves, employees, volunteers, or visitors incurred at the event. 

              14. No animals are allowed at Vegas VegFest. Certified service animals accepted. Emotional support animals do not qualify.  

            • Additional Terms and Conditions for Food Vendors

               

              1. HEALTH PERMITS: Food Vendors or Tasting Booths must obtain a temporary food establishment (TFE) permit from the Southern Nevada Health District (SNHD) unless you are otherwise appropriately permitted by the District as an annual itinerant or mobile vendor. You will not be allowed to open if you do not have an appropriate health permit. Please contact SNHD with any questions.

              Health District Regulations must be followed during the event. Food booths have been and WILL be shut down for failing to adhere to SNHD regulations and refunds will not be provided to those forced to shut by SNHD or Vegas VegFest for Health Department violations. 

              Please note that Vegas VegFest must file an "event coordinator" permit with SNHD prior to your filing of a TFE permit. We endeavor to do this approximately 3 weeks prior to the event, and will notify you by email when we have done so. At that juncture, you will file your TFE permit.

              2. Potable water is available on a limited basis. However, water is not immediately adjacent to the food booth area. Please bring a cart or other means for transporting water to your booth.

               

              3. A grey water receptacle and trash dumpster will be available at the back of the event. As stated in the general Terms and Conditions above, you are responsible for keeping your space clean, including ensuring the ground remains clear of food and grease stains. Any space not left clean will be assessed a $250 cleaning fee.

               

              4. Please note that water sales by food vendors are prohibited. Water sales are conducted by Vegas VegFest for the benefit of Vegas VegFest. 

               

              5. All food vendors must use recyclable and/or compostable service ware. No Styrofoam will be permitted.

               

              6. We require every prepared food vendor to offer one item that costs $7 or less so that visitors may sample a wide variety of offerings at the festival.

            • PAYMENT

              Reminder: Payment of your vendor fees does not guarantee that your application will be accepted.

              All applications are contingent upon approval by Vegas VegFest. We will let you know if you have been accepted within two weeks of payment. If your application is not accepted, your payment will be refunded in full.

              IMPORTANT: payments by credit card will read "CompassionWorks International" on your bank statement. CWI is the nonprofit that runs VegFest. Any reversal fees that result from a challenge on the amount because you didn't recognize that CWI is Vegas VegFest will be passed on to you.
