VPC PRIVACY POLICY

VPC retains the information supplied on this form for administrative purposes only.
No member information is provided to, or shared with any outside sources except where required by Canadian or B.C. law.
A complete membership list is only available to the club executive members on an as needed basis.

All applications will be processed by the membership committee.
Applications may be reviewed at any time by the VPC Executive as required.

Membership runs from September 01 ► June 30 each year.
Renewal memberships are due and payable in September of each year.
New members dues are payable in full, at the time of membership application.
(Dues for new members ONLY joining later in the season, may be prorated at the discretion of the membership chair.)

VPC COMMUNICATION TO MEMBERS

Email is our main form of communication to update members.
Members can unsubscribe from email communications at any time by sending a request to vernonphoto.news@gmail.com

VPC - CODE OF CONDUCT
(Reviewed by Executive - July 2025)

1. All VPC members and guests are to be respectful and be supportive of others.
2. The offering of feedback for images that are being reviewed or discussed shall be supportive, constructive and in no way deliberately negative or used as a form of personal attack.
3. Any offensive behaviour including but not limited to, racism, prejudice, discrimination, sexism, bullying, harassment, inflammatory remarks, inappropriate actions or disclosures, unauthorized use of confidential VPC information, by VPC club members or guests is not permitted.
4. If such instances occur, they will be confidentially dealt with as quickly as possible, by the VPC Volunteer Executive, their legal representative or designated VPC members as necessary.
5. A private interview, if necessary, with the member(s) concerned will be held.
   The interviewing members can for the duration of the instances suspend the member(s) until they agree to act in a reasonable manner.
6. However, if it is found that the member(s) conduct or re-occurring conduct makes their continued membership untenable, then the VPC Volunteer Executive will have the power to expel the member(s) in question without recourse or refund of dues paid.
7. This Code of Conduct will be reviewed annually by the VPC Volunteer Executive.

VPC MEMBERS IMAGE RIGHTS

• Member’s images are their own intellectual property.
• ALL components of any image submission to VPC must have been captured or created by the submitter.
• Submitting an image for evaluation, review or exhibition grants VPC the right to display the image at meetings and in the club website online galleries.
• The submissions do not grant VPC the right to use the image for any other purpose without the member’s express oral or written permission.
• Website gallery images will be removed as soon as is reasonably practical, upon written request by the contributor (request to vernoncamera@yahoo.com)
  

VPC LIABILITY RELEASE FORM

This form is a legal document.

Read and understand this form before accepting.
If you have any questions or are unsure of any statements here, consult qualified legal advice (Lawyer or Solicitor).
Once you have accepted this statement, you cannot make any claim of any kind against the club for any injury, loss or damage to you or your equipment.

Any litigation involving the parties to this Release shall be brought solely within the Province of British Columbia and shall be governed by and interpreted solely by and within the exclusive jurisdiction of the Courts of the Province of British Columbia and no other jurisdiction.

By accepting this statement, you accept the sole and absolute responsibility for your own personal safety and for your property while taking part in Club activities.

By accepting this statement, you also acknowledge that the activities of the club have inherent risks and hazards and are arranged and led by volunteer, amateur personnel.

You forever and absolutely release VPC, it's volunteer executive, other members, guests and participants from all responsibility for any accident, injury or loss you may suffer or sustain by taking part in any activity, including a 'field trip' or outing organized or associated to the club at any location that you attend.

In consideration of being allowed to take part in any activities of the VPC, I hereby freely and voluntarily accept full and absolute sole responsibility for, and I forever and absolutely release and discharge VPC, its Volunteer executive, other members, guests and volunteer outings leaders from any injury, loss, damage, or cost that I may suffer or sustain, including property damage and personal injury, incapacity or death.

This release shall be effective and binding on myself and my heirs, next of kin, executors, administrators, successors, assigns and personal representatives.

I, the undersigned, declare that I am at least 19 years old or, if the person participating in the activity is under 19 years of age, then I am the legal guardian of such participant and accept this statement on their behalf.

VPC MEMBERSHIP APPLICATION SIGNATURE

I have executed the entirety of this membership agreement voluntarily, and this agreement shall be effective and binding on myself and my heirs, next of kin, executors, administrators, successors, assigns and personal representatives.

I have read, understand, agree with and will follow the VPC Code of Conduct.
I have read, understand and agree to the VPC Members Image Rights.
I have read, understand and agree to the terms of the VPC Liability Release.
