2026 STANDARD AGREEMENT
Purpose
This agreement is the standard participation agreement for vendors, makers, educators, growers, service providers, community partners, and other participants taking part in ICT Treehuggers markets, sales, community activations, garden events, fundraisers, and related vending opportunities. This agreement may also be used to document prior participation in an ICT Treehuggers event. A retroactive submission documents the participant's statement of involvement and contribution; it does not rewrite, replace, or override any prior agreement about property custody, pickup deadlines, consignment, donation, payment, or disposition.

3. PRODUCTS, SERVICES & ACTIVITIES

ICT Treehuggers may decline or remove unsafe, illegal, counterfeit, discriminatory, exploitative, hazardous, or mission-conflicting products, services, activities, or conduct.
The participant is responsible for permits, licenses, insurance, food-safety requirements, labeling, sales tax, and other legal or regulatory requirements that apply to their activity.

A vendor or booth fee is payment for participation and is not automatically a charitable donation. Cash donations should be processed through the designated ICT Treehuggers donation/payment system when a charitable receipt is requested.
5. IN-KIND DONATIONS & CONTRIBUTION ACKNOWLEDGEMENT

ICT Treehuggers may acknowledge receipt of donated property but does not determine, certify,
or appraise the donor's tax value. The donor is responsible for substantiating value and
obtaining independent tax or appraisal advice when needed.
Volunteer time and donated services may be tracked as participation or service contributions,
but ICT Treehuggers does not represent them as charitable property donations for tax-receipt
purposes.
6. PROPERTY, INVENTORY & CUSTODY
Unless ICT Treehuggers expressly accepts documented custody in writing, each vendor or
participant remains responsible for their own inventory, merchandise, property, tools, equipment,
jewelry, displays, cash, payment devices, and personal belongings.
If you brought it, you remain responsible for it unless ICT Treehuggers specifically accepts
documented custody of it.
Participants are responsible for securing, monitoring, loading, transporting, and timely removing
their property unless a separate written arrangement states otherwise.
ICT Treehuggers is not a storage provider and does not guarantee security against theft, loss,
damage, weather, customer handling, or unauthorized removal.
Property may be assigned one of the following documented statuses when applicable:
• OWNER PICKUP
• CONSIGNMENT
• DONATED
• FAMILY / PERSONAL HOLD
• RECYCLE
• DISPOSE
• ICT TREEHUGGERS REDISTRIBUTION
If the ownership, status, or disposition of an item is unclear, the participant must ask rather than
assume.
7. PICKUP DEADLINES & REMAINING ITEMS
A written pickup deadline may be established for each event or project.
Pickup Deadline:
If the participant does not retrieve OWNER PICKUP items by the agreed deadline and ICT
Treehuggers has not agreed in writing to continued storage or custody, remaining items may
move into the documented disposition process established for that project. Depending on the

prior agreement, this may include donation, recycling, disposal, fundraising, redistribution, or another approved disposition.
No item remains indefinitely reserved after a pickup deadline unless a separate written agreement says otherwise.
Additional hauling, storage, delivery, special handling, or extended management may require an additional fee agreed to in writing.
8. CONSIGNMENT/REVENUE SHARE
Any consignment or revenue-share arrangement must be agreed in writing before sales begin and should identify:
Which items are included
Who owns the items before sale
Pricing authority
Direct costs that may be deducted
Percentage or fee due to each party
Payment timing
Unsold-item pickup deadline
What happens to items remaining after the deadline
No revenue-share percentage should be assumed from a different event, vendor, or Legacy project.

Unless specifically provided in writing, vendors must bring and secure their own canopy, weights, tables, chairs, racks, lighting, extension cords, batteries, displays, payment setup, and other needed equipment.
Utilities, storage, shelter, Wi-Fi, electricity, refrigeration, water access, weather protection, and overnight security are not guaranteed.

10. SAFETY, CONDUCT & COMPLIANCE
Participants agree to:
Follow reasonable safety and site instructions.
Maintain a respectful, non-harassing, nondiscriminatory environment.
Keep their area reasonably clean and safe.
Immediately report hazards, injuries, conflicts, missing property concerns, or unsafe conditions.
Remain responsible for the conduct of their team, helpers, and guests.
Comply with applicable food, health, licensing, insurance, tax, labeling, and business requirements.
ICT Treehuggers may remove a participant for unsafe, disruptive, unlawful, discriminatory, threatening, harassing, exploitative, or mission-conflicting conduct.
11. RISK, LOSS & LIABILITY
Participation may involve outdoor conditions, lifting, loading, gardening, tools, crowds, vehicles, weather, uneven surfaces, market activity, and other ordinary community-event risks.
To the extent permitted by law, the participant accepts responsibility for their own inventory, equipment, property, team conduct, customer disputes, and business operations and understands ICT Treehuggers does not guarantee attendance, sales, exclusivity, security, utilities, weather continuation, or protection from theft or loss.
Nothing in this agreement is intended to waive rights or responsibilities that cannot legally be waived under applicable law.
12. MEDIA & DOCUMENTATION
ICT Treehuggers may photograph or document public-facing event activity for organizational reporting, outreach, fundraising, education, and historical records, subject to any specific media restrictions communicated in writing.
If a participant is responsible for a minor or another individual who should not be photographed or recorded, they must notify the organizer before participation and follow the event's media-consent process.
13. PAST / RETROACTIVE EVENT DOCUMENTATION
For past events, the participant may use this agreement to document:

Any requested contribution acknowledgement
A retroactive submission is a record of the participant's statement. ICT Treehuggers may compare it against existing photographs, inventory sheets, payment records, messages, agreements, and other event documentation before issuing any organizational acknowledgement.
Retroactive submission does not by itself establish ICT Treehuggers custody of property, ownership of property, a charitable contribution amount, a payment obligation, or liability for missing or uncollected items.
14. CANCELLATION & EVENT CHANGES
Participation fees are generally non-refundable unless ICT Treehuggers cancels the event or a separate written agreement states otherwise.
ICT Treehuggers may change, postpone, relocate, shorten, or cancel outdoor or community events because of weather, safety, site conditions, partner requirements, or circumstances outside organizational control.
15. ACKNOWLEDGEMENTS
By signing below, the participant confirms that:
I have provided accurate information to the best of my knowledge.
I understand I remain responsible for my inventory and property unless ICT Treehuggers expressly accepts documented custody in writing.
I understand pickup deadlines and remaining-item rules may apply.
I understand vendor fees, cash donations, in-kind donations, volunteer service, consignment, and Time Treasure Talent exchanges are different participation categories.
I understand ICT Treehuggers does not determine the tax value of donated property.
I understand project-specific payment, revenue-share, consignment, storage, or custody terms must be confirmed in writing.
I agree to follow ICT Treehuggers safety, conduct, property-handling, and event requirements.
