Terms and Conditions
1. These terms and conditions constitute a contract between you (the Sponsor) and the Parent Association of Loreto Normanhurst (the Organiser) in relation to the sponsorship of the Loreto Normanhurst Spring Fair on 3 November 2024 (the Spring Fair). By signing the online registration form you are indicating your acceptance of these terms and conditions.
2. Acceptance and Allocation: The Organiser reserves the right to accept or reject any registration or prohibit any Sponsor from participation at its absolute and unfettered discretion with the return of any deposit paid in the event of rejection without assigning a reason for such refusal or prohibition.
3. Sponsorship packages, which may be limited in number, will be generally allocated in the order of the receipt of registration forms.
4. Allocation of sponsorship packages and stalls regardless of the preference indicated, and any alteration of the site plan is at the discretion of the Organiser whose decision will be final.
5. Registration and Payment: To confirm your acceptance of a sponsorship package, please complete the online Sponsorship Registration Form and specify the package required. The sponsorship package commences from the time the completed registration form and the required contribution is received by the Parent Association of Loreto Normanhurst and is valid until 3 November 2024 unless otherwise agreed. As spaces are strictly limited, submitting an registration form does not guarantee a place as a Sponsor.
6. Cancellation Policy: Cancellations will be accepted in writing only to the email address sponsorship.loretospringfair@gmail.com. A cancellation notice received within 3 months of the Spring Fair start date will be subject to a 100% cancellation fee. A cancellation notice received more than 3 months prior to the Spring Fair, will be subject to a cancellation fee commensurate with any benefit provided up to the cancellation date, the value of which will be at the sole discretion of the Organiser.
7. Cancellation: If the event is cancelled due to unforeseen circumstances (including a pandemic), the Organiser will not be liable to the Sponsor for any loss incurred by the Sponsor as a result of the cancellation, however, all monies paid for any sponsorship will be refunded.
8. Insurance and Liability: All Sponsors exhibiting at the Spring Fair must have Public Liability Insurance and must be able to provide this documentation to the Organiser no later than 1 month prior to the commencement of the Spring Fair. Sponsors must insure, indemnify, and hold the Organiser harmless in respect of all damages, injuries, costs, claims, demands, expenses and interest for which the Organiser may become liable. Whilst the Organiser will endeavour to protect Sponsor property on display at the Spring Fair, it must be clearly understood that Loreto Normanhurst and the Organiser cannot accept liability for any loss or damage to property sustained or occasioned from any cause whatsoever. The Organiser shall not be liable for any loss, which the Sponsor may incur as a result of the intervention of any Authority, which prevents the use of the premises or any part thereof in any manner whatsoever. The Organiser will not be liable and makes no guarantee of the number of visitors to the Spring Fair. Equally, the Organiser will not be accountable for the level of commercial activity generated.
9. Instructions and logistics information will be provided prior to the Spring Fair including site and visitor safety and emergency notification details, the hours of access including set up and removal of any display material.
10. Marketing and Communication: All material and information provided by the Sponsor must be suitable for consumption and distribution in the school environment. The format and artwork of materials will be approved by the School Marketing and Communications team.
11. Sponsors must provide all their own branded material and stall set-up. Logos and/or flyers for use in electronic media and other marketing collateral must be provided by the Sponsor in an appropriate format e.g., EPS, high-resolution JPG. The Organisers will provide Sponsors with the official Spring Fair logo to co-brand promotional material for the Spring Fair.
12. Sponsorship Packages: Please refer to the sponsorship packages in the sponsorship proposal. Any variations to the description of each package must be agreed in writing with the Organiser. Sponsorship entitlements will not commence until the registration form and payment are received and the booking confirmed by the Organiser.
13. Exclusivity: Unless otherwise expressly stated in the form, the Sponsor will not be the exclusive sponsor (of their industry or otherwise) at the event or in a publication.
