TERMS & CONDITIONS
By enrolling your child into a PS Tennis program, you acknowledge that you have read and agree to the Terms & Conditions below. PS Tennis reserves the right to amend these Terms & Conditions from time to time. You acknowledge that if you fail to comply with these Terms and Conditions, PS Tennis the reserves the right, in its absolute discretion, to terminate participation in the applicable PS Tennis program/s.
Registration
• Enrolment forms must be completed, signed and returned before commencement of lessons.
• All relevant medical information must be declared at the time of enrolling.
• It is required for your child to become a member of Western Suburbs Tennis Club for insurance purposes. Options for membership can be found at www.wstc.net.au. This must be done before your child can commence training and forms part of the registration process.
Contact Details
It is your responsibility to ensure that we always have your current contact details. Any updates can be done via email at ps.tennis@hotmail.com.
Payments
• Invoice payments must be made, in full, before the specified due date**. If payment has not been made, attendance in lessons may not be permitted until full payment.
• Lesson enrolments are non-refundable and non-transferable.
• PS Tennis reserves the right to change the day and time of the class if there are not enough participants to sustain viability of the class.
**please note there is a one-off 15% late payment fee if full payment is not received by the due date.

Refunds
No refunds will be issued due to participants' absence, or cancellation of enrolment. No credits will be issued towards the next coaching term due to participants’ absence. No refunds will be issued due to cancellation of lessons due to weather or other reasons.
Weather Conditions
PS Tennis coaches may appropriately modify lessons due to varying weather conditions. If there is extreme heat, as per the Tennis Australia Heat Policy (available at www.tennis.com), cancellation of training may occur. Lessons may go ahead in the rain if it is light enough to be deemed safe. Even if it is raining, you should not assume training will be cancelled.
Cancellations
Lesson cancellation may occur due to inclement weather, coach availability, or if the courts are unfit for use, or for any other reason, at the sole discretion of PS…Tennis.
• In the event of any cancellation, we will notify you by SMS as soon as we are able to. Sometimes this might be right up to your lesson time, depending on the factors involved.
• In the event we cancel a lesson for any reason, a credit to the value of the lesson will be applied to the following terms fees.
• You may request a makeup lesson in lieu of a credit, however the request must be within 24 hours of the lesson cancellation and are subject to the Makeup lesson provisions.
• Decisions regarding training session cancellations are at the sole discretion of the Coach and may be made right up to the time of the lesson to give every opportunity for training to proceed.
When registering your child for a spot in a session, you are confirming that day and time every week of the term. This secures a spot for your child and prevents us from offering that spot to another potential student. We do however understand that sickness or family emergencies come up, so we do offer makeup lessons, although they are subject to availability.
Makeup Lesson Provisions
• Subject to the availability of a suitable class with an available spot.
• Maximum of 2 makeup lesson bookings per term, per child.
• Students’ fees must be up to date to book in a makeup lesson.
• Makeup lessons must be taken within the current term.
• No credits will be given for non-attendance, nor will they be carried over to the next term. It is in your child’s best interest that absences are restricted to genuine reasons.
Consistency is the key to progression.
Media Consent
We may occasionally capture and share photographs or video of participants during tennis sessions, events or activities for promotional and informational purposes. By enrolling in any of programs, you grant PS Tennis and/or Western Suburbs Tennis Club the right to use such media on its official website/s, social media accounts, promotional materials, and other publications. We are committed to respecting your privacy. If you have concerns about the use of specific images, please notify us in writing at ps.tennis@hotmail.com and we will make reasonable efforts to accommodate your request. While we strive to ensure that the content shared is appropriate and in good taste, we cannot control the sharing of images by others. We encourage participants and their families to follow our social media accounts for updates and announcements. If you do not wish for your child’s images to be used in this manner, please inform us in writing at ps.tennis@hotmail.com and we will do our best to exclude your child’s images from promotional materials.
Conditions
• The health, safety and wellbeing of all coaching students and staff is paramount; all participants and parents must follow any safety guidelines and instructions given by any member of PS Tennis staff. This may include reinforcing clear guidelines.
• All participants must adhere to the PS Tennis Behaviour Guidelines. Breach of these Guidelines may lead to termination of participation in PS Tennis programs. By completing a registration form, you acknowledge that you have read and understood these conditions.
• PS Tennis and its coaches do not take any responsibility for the supervision of children outside of their allocated lesson. All participants in PS Tennis programs are required to maintain appropriate behaviour while within the Western Suburbs Tennis Club venue.
• PS Tennis reserves the right to refuse training participation of anyone suffering from, or displaying symptoms of, any illness including, but not limited to, contagious diseases. If your child is suffering from a contagious disease or infection, please do not bring them to the courts. PS Tennis and its’ coaches reserve the right to refuse entry to any child or adult displaying symptoms.
BEHAVIOUR GUIDELINES
To ensure a respectful and inclusive atmosphere, we have established the following behaviour guidelines for children enrolled in our tennis coaching programs:
1. RESPECT FOR OTHERS
• Treat coaches, fellow participants, and staff with kindness and respect. Use positive language and avoid disrespectful or hurtful comments. Be inclusive and welcoming to all participants, regardless of their skill level or background.
2. LISTENING AND COOPERATION
• Listen attentively to coaches' instructions and follow them during training sessions. Cooperate with coaches and fellow participants to create a supportive learning environment.
• Wait for your turn patiently and encourage others to do the same.
3. SPORTSMANSHIP AND FAIRPLAY
• Always demonstrate good sportsmanship, whether during training or competitions.
• Celebrate successes with humility and support others in their achievements.
• Follow the rules of the game and exhibit fair play.
4. EQUIPMENT AND FACILITY RESPECT
• Handle tennis equipment and use all facilities with care.
• Report any damage or safety concerns to a coach.
• Keep the court area clean by disposing of any rubbish in a bin.
5. PERSONAL CONDUCT
• Dress appropriately for tennis activities, wearing suitable athletic attire and tennis shoes.
• Refrain from engaging in any form of bullying, teasing, harassment or disruptive behaviour.
• Avoid the use of electronic devices during training sessions unless otherwise directed.
6. PARENT/CARER CONDUCT
• We ask that parents and carers stay off court during all training sessions. This is not only for safety reasons but also allows for all students to maintain their focus on the lesson in progress.
• Parents/carers are encouraged to support and encourage their child's participation positively.
• Communicate with coaches in a respectful manner and follow the club's communication channels for inquiries or concerns. Actions for behaviour management
Failure for any participant to uphold the behaviour guidelines may result in the following:
1. PS Tennis coaches will remind the child about appropriate behaviour and following specific instructions.
2. If inappropriate behaviour persists:
• Supervision will be increased.
• The participant may be removed from the group for a short time to give them time to reflect on their actions.
• Depending on the severity and persistence of the misbehaviour, parents are contacted.
• If a child’s behaviour does not improve despite all efforts, PS Tennis and its coaches may have to ask the parents to remove the child from the program. This is an extremely rare situation and would only ever be a last resort.
PS Tennis reserves the right to refuse or terminate enrolment if there is a breach of these Behaviour Guidelines. Any costs incurred because of any damaged property will be charged to the parent/guardian. No refund of the program fee will be provided to participants removed for breaching the Behaviour Guidelines.
