Location/Site
New Venue: Kaiapoi Park, 1 Smith Street, Kaiapoi
An application for a stall does not guarantee you space at Kaiapoi Christmas Carnival. The organisers reserve the right to allocate stalls based on the best interests of the event. This includes ensuring a wide variety in the type of stalls at the event.
Each site has a 3m frontage. If you require more space than this, you will need to book more than one site. If using a gazebo, tent or similar outdoor shelter should note that any poles, supports, guy ropes, pegs etc. will not be permitted on paths, walkways or outside the allocated stall are If your stall exceeds the allocated site size, you will be charged extra
Pack in:
Saturday, 7th December from 7.00am to 8.30am. All vehicles must be removed by 8.30am no exceptions. The Event is planned to take place between 9.30am and 2.30pm. No Parking in the Kaiapoi Rugby Club Car Park
Pack out:
Saturday from 3pm Stalls must be up until 3pm and dismantled after trading at this time. Any equipment or goods not removed will be at the Stallholder’s / Vendor’s risk.
Parking: All vehicles must be removed from the Park by 4.00pm. No vehicles or trailers will be allowed at the site after this time.
Stallholder Conditions
a) The Stallholder / Vendor undertakes to comply with all regulations and bylaws applicable to the site including but not limited to: The Fair Trading Act, the Consumer Guarantees Act, the Building Act 1991 and the Health & Safety at Work Act 2015 and indemnifies the Kaiapoi Promotions Association from all claims, costs and damages arising whatsoever for breach by the Stallholder.
b) Stalls must be kept clean and tidy. Waste disposal, including fats and liquid waste, is the responsibility of the Stallholder at all times. If the Festival has to remove litter from your stall site after pack out you may be charged.
c) The location of stalls will be at the discretion of the management.
d) Kaiapoi Promotions Association management has overall control of signage, materials and products sold or displayed at the event.
e) Please note that any signage, material, or products may be refused, including those entirely at the discretion of Management.
f) Site Fees are to be sold in multiples of 3x3m please ensure you order enough room for your site. The Site Fees include a non-refundable component of a $25 administration fee on your first site.
g) Site confirmation will be via email, and an invoice will be issued to you. This invoice must be paid within 7 days of receiving it.
Refunds:
Refunds will be issued up to six weeks prior to the event, your refund will be the cost of your site minus an administration fee.
Checklist
Food items are permitted in this area, but limited to baking, preserves, confectionery, etc.
We encourage you if you are not selling any items, your group to join this as part it is a fantastic way to recruit new members and promote your group.
The event is an open-air event and goes ahead unless the weather makes it unsafe to proceed. It is the stallholder’s responsibility to bring appropriate shelter for their stall, including the necessary gazebo and/or table weights.
The event organisers reserve the right to cancel in the event of unsafe weather conditions or if required due to a change in the national Alert Level and/or if there are restrictions on social gatherings. There is no cancellation date if the event is cancelled due to one of these reasons.
Security:
Security will be provided at Kaiapoi Park during the Carnival; however, cash security remains the Stallholder/Vendor's responsibility at all times.
Rubbish and Recycling
Non-recyclables must go into the skip containers provided – not on the ground. Recycling bins will be placed at appropriate positions around Pioneer Park. Please do not take these for your own site.
Signage
Signage, including banners, should be mounted above head height on the site. The frame for the banner must be free-standing. Health & Safety Please note that under the Health & Safety at Work Act 2015, you are responsible for the safety of visitors and staff (including volunteers), in and around your site.
All cables to be buried or covered with suitable matting, all cooking facilities must have appropriate firefighting equipment and first aid provisions.
All moving parts and hot/cold surfaces out of the public reach.
Advertising
Your site fee does not include individual brand advertising, other than our general promotion of the carnival. You may be approached by numerous media publications, seeking your support for their various promotions and advertising supplements. We encourage you to partipate in any of these if you wish.
