    Financial Policy

    At Barnside Veterinary Hospital we strive to provide timely, quality veterinary care for our patients. We can continue to offer such care and maintain a well-equipped, properly staffed facility only if we receive prompt payment for our services and products.

    Having a pet is a special privilege that comes with the financial responsibility of providing quality preventative & medical care. With that in mind, please read the following financial policy:

    Full payment is due when services are rendered or inventory items are dispensed.  We accept Cash, Personal Checks, Visa, MasterCard, Discover, American Express, Care Credit, Wells Fargo Health Advantage, and ScratchPay payment plans.

    Writing a check when insufficient funds are available is illegal.  A fee of $35 will be due immediately for all returned checks and the privilege of writing a check may be revoked.  Post-dated checks are not accepted.

    If you are unable to pay your bill and request a payment plan, we will process a Wells Fargo Health Advantage application for you. Wells Fargo Health Advantage is a medical credit card which provides full payment for veterinary care for eligible clients and accepts monthly payments until the balance is paid in full, with 0% interest plans for up to six months and 12.99% interest for plans up to 60 months.  You may also apply for a ScratchPay Payment Plan at any time, right from your mobile device.

    The admitting doctor, or a staff representative, will provide you with an estimate of charges for surgeries and medical admissions.  A deposit of 50% of the treatment plan’s estimated total cost of care is due upon admission of a pet for routine and non-routine procedures, surgeries or hospitalizations.  The remaining balance will be due at the time the pet is discharged.

    You may also request an estimate for routine care such as vaccines, medications, out-patient procedures, laboratory testing, radiographs, or other diagnostics before services are rendered.  If you are unable to pay for all recommended services and inventory items, the doctor can help you decide which are most important for your pet that day and which can wait until you are able to provide payment.

    If you are concerned about your ability to financially care for your pet, we strongly recommend you consider a pet insurance policy.  Barnside Veterinary Hospital clients are eligible for a 5% discount from Nationwide Pet Insurance.  Nationwide offers pet health insurance plans that cover 90% of the cost of all pet health care services, including preventatives like heartworm, flea, and tick preventatives.

    Interest charges of 1.5% per month will be applied to any outstanding balances.  Any unpaid balances over thirty (30) days past due may be turned over to a collection agency and or reported to the credit bureaus.  The cost of collections, typically one-third (1/3) of the balance due, will be added to the balance referred to collections.

    Boarding Requirements and Deposit Policy


    Clientele and Health Requirements
    All guests must be patients of Barnside Veterinary Hospital. This is a service for our clients and their pets who may require a little more attention than a kennel can offer.

    All boarding pets must have been examined by a Barnside Veterinary Hospital veterinarian within the previous 12 months.  All pets must have had a negative fecal analysis within the previous 12 months.  If a pet does not have a negative fecal test result, a stool sample will be obtained while the pet is boarding.  You will be charged for the test and any necessary treatments.

    All clients must provide proof that their pet is up-to-date on the following vaccines prior to boarding:
    Cats
    Feline Distemper (FVRCP)
    Rabies

    Dogs
    Distemper/Parvo and Leptospirosis (DHLPP)
    Rabies
    Kennel Cough (Bordetella)
    Canine Influenza H3N2/H3N8


    DHLPP, FVRCP, Bordetella, and Canine Influenza vaccines MUST have been administered by a licensed veterinarian within the 12-month period prior to boarding. The Rabies vaccine must have been administered within the 36-month period prior to boarding.

    Vaccination Time-Frame
    It is the client's responsibility to make sure that their pet's vaccines are up-to-date through the boarding dates.  You can check your pet's vaccine status anytime through your Petly Pet Portal account.

    Vaccines need time to take effect.  If your pet is overdue, the Rabies, Distemper/Parvo, and Influenza vaccines must be administered at least 2 weeks before boarding.  The Bordetella vaccine must be given 2 weeks prior [if given SQ (injection) or Oral] or 2 days (if given Intranasal)

    Reservation Requirements
    We have a very limited number of luxury dog boarding suites. The suites fill-up quickly, especially around holidays and school events.

    Please be sure to make your reservations early, but do not make your reservations until you are SURE of your intentions.

    ***The following boarding reservation requirements are non-negotionable***
    A 50% deposit is required to reserve a suite.

    If the reservation is cancelled more then 28 days from the boarding date, the full deposit will credited to your Barnside Benefits account in the form of vouchers that can be redeemed for future boarding.

    If the reservation is cancelled within 15-28 days of the boarding date, 1/2 of the deposit will be credited to your Barnside Benefits account in the form of vouchers that can be redeemed for future boarding. The remaining half of the deposit will be forfeited.

    If the reservation is cancelled within 14 days of the boarding date, the entire deposit is forfeited.

    Please do not make a boarding veservation until you are certain of your plans.  Absolutely No Cash, Check, or Credit Card Reunds will be issued.  Vouchers for future boarding are for boarding only and cannot be used toward any other products or services.  In order to receive or redeem the boarding vouchers, an active Barnside Benefits account is required.

    Prescription Approval Policy

    Barnside Veterinary Hospital will not approve faxed, emailed, or telephone prescription requests from outside pharmacies

    Why is this the policy?
    The safety of your pet is being compromised. Unfortunately, we have seen a significant increase in errors (wrong product, wrong dose, wrong directions) from many on-line and even local pharmacies. There has also been an increase in communication difficulties with trying to prevent or correct these mistakes. New prescribing regulations are already insisting on written prescription sheets for many medications.


    What are my options?
    Pick-up your pet's medication at Barnside

    2) CONVENIENCE: Call us or pick-up medication immediately at time of appointment or test results.

    Pick-up a written prescription at Barnside

    It's still your pet and your pet's medication. You are welcome to pick-up a written prescription to take or mail wherever you choose. Due to concerns about product stability and changes to your pet's needs, we generally will not write a prescription for more than 6-month's worth of medication at a time.

    Return and Refund Policy

    Prescription Items:
    Due to federal and state laws, Barnside Veterinary Hospital is not legally permitted to re-stock prescription medications. Unopened medications with intact tamperproof packaging (i.e. foil wrapper, sealed prepackaged container) may be eligible for returns in some cases. Items that were accompanied by additional doses must have the extra doses returned with the original product or their cost will be deducted from the amount of any credit issued. We reserve the right to refuse the return of any prescription medication.

    If there has been an error in the filling of a prescription, we may choose to dispose of the prescription and provide you with a replacement or place a credit on your Barnside Veterinary Hospital account. If an item qualifies for a return, it must be returned within a maximum of 30 days from the date of the purchase.


    Non-Prescription Items:
    Unopened non-prescription items in their original packaging may be returned for full credit up to a maximum of 30 days from the date of purchase. Refunds are provided via credit to your Barnside Veterinary Hospital account.


    Pet Foods and Prescription Diets:
    The manufacturers of our prescription and maintenance pet foods guarantee their products, so if you or your pet are dissatisfied with a food for any reason, you may return the unused portion for a credit to your Barnside Veterinary Hospital account.

    If you simply wish to return or exchange unopened cans or unopened bags, you may do so as long as the items are in resalable condition, un-opened and in their original packaging. All food returns must be made within 30 days from the date of purchase. Refunds are provided via credit to your Barnside Veterinary Hospital account.


    Refunds:
    All sales are considered final. Any refunds due for the return of prescription medications, non-prescription products, pet foods, or prescription diets will be issued in the form credit to your Barnside Veterinary Hospital account. No cash, check, or credit card refunds will be issued.
