    All product promotions must take place in the designated exhibit space or “virtual exhibit room” that is separate from the “main meeting space” where the accredited Continuing Education (CE) activity takes place.

    Presentation of promotional materials, including standards related to product-specific advertisement and other product promotion, before, during, and after this conference must conform to all applicable continuing education (“CE”) standards set by the Accreditation Council for Continuing Medical Education (ACCME). Compliance with all applicable laws and regulations is required of every organization that participates in and or supports the independent educational activities organized by the Binaytara Foundation.   • Terms and conditions:


    Exhibit fee is non-refundable if cancelled by the exhibitor: No refund or credit will be issued if the company/representative is unable to participate in the meeting for any reasons beyond the control of the Binaytara Foundation including technical issues, missed flights, family emergencies, or other changes in circumstances.

    Exhibit Credit: The Binaytara Foundation may issue an exhibit fee credit (to be used for future exhibits) in some extra ordinary circumstances if the scope of the educational activity for which the exhibit fee was paid changes (for example: the meeting dates are changed, the meeting format is changed from in-person to virtual and vise-versa, or the activity has been canceled), and the exhibitor is not able to participate in the meeting as a result of that change of scope.


    Change of Scope: The Binaytara Foundation will make every effort to notify the exhibitors immediately when the decisions to change the scope of any meeting is made. These change of scope notifications will be sent via email to the company representatives who are listed on this attached form or the representative who initiated the exhibit request. It is the responsibility of the representative to ensure that their email system is configured to accept email communications from the Binaytara Foundation.    

    Registering as an additional attendee: All company representatives must be registered to attend the meetings. Healthcare providers employed by the industry must register as an industry employee and pay the industry registration fee regardless of their roles in the company.

    CME Credits for industry employees: Healthcare providers employed by the industry can register as an attendee through the Binaytara Foundation learning managment system if they wish to obtain CME credits. All industry employees must pay the industry registration fee regardless of their roles in the company.

    Credit Card Fees: Effective January 1, 2021, a 3% credit card fee will be added to all exhibit payments made with credit cards. We prefer ACH payments of exhibit fee when possible but we can also accept checks as a form of payment. If you would like to pay with a credit card, that option is available but you must pay a 3% credit card processing fee.

    No exhibit can be confirmed until the payment is received. 

  • INFORMATION REGARDING INDUSTRY EMPLOYEE REGISTRATION AND NUMBER OF BADGES PROVIDED:

    • The exhibit fee covers registration for up to 2 representatives. Additional reps of a sponsoring/exhibiting company can register at a discounted rate applicable to each conference if registered by the early-bird registration deadline.
    • General Exhibitors can not swap personnel - each rep who plans to be on-site (even if they are only coming to setup/dismantle) are required to be registered and must pick up their badges before entering the exhibit, breakout, or meeting space. The only exception to this rule is for the third-party setup/dismantle companies hired by the exhibiting/sponsoring companies.
    • If your company plans to hire a third party setup/dismantle company, please provide that information to our team and reserve a time for their arrival for setup/dismantle.
    • Platinum, Gold, Silver, and Bronze sponsorships offer registration for more than 2 reps. Please refer to the sponsorship prospectus for the number of exhibit registrations included in your sponsorship. Any additional representatives beyond those will need to pay a registration fee to attend the conference.
    • Industry employees who are not registered as exhibitors, product theater sponsors, or conference sponsors may not engage in product promotion activity with any attendee or faculty of the conference at the venue - if your company did not buy exhibit table or did not sponsor the conference, please refrain from engaging in any sales/promotional activity. We will charge you the general exhibit fee if you are found to engage in any promotional activity (including handing out product brochure/flyer).
