Mount Isa Show Expression of Interest

About This Form

By completing and returning this form you are submitting an Expression of Interest to assist the Mount Isa Agricultural Show Society to facilitate the Mount Isa Show in exchange for a predetermined donation amount.

The Scope of your preferred activity is listed below; if you have any questions please contact the committee- mountisashow@gmail.com or PO Box 2145, Mount Isa QLD 4825.

The committee will then take all received applications into consideration. Applicants will be contacted, and the outcomes advised by 31 May ; successful applicants will then be invited to meet with the committee to formalise the agreements.

Volunteer Roster

• A list of volunteers is to be submitted to the committee, at least ten (10) days prior to the event.
• It is requested, due to the nature of works to be undertaken, that volunteers have a minimum age of 12.
• If children aged 12-16 are included on the roster, a responsible supervising adult must be in attendance all times. Site Induction
• A minimum of two (2) representatives, one (1) being the Team Leader, must attend a site induction at Buchanan Park Events Complex. ▪
• Site access passes will be issued to the persons attending the induction to distribute to the volunteers, along with a volunteer waiver. With the team leader responsible to give all completed forms to the Show Secretary

Payment 

• An Invoice must be submitted to the Mount Isa Agricultural Show Society, within after 7 days of the Show Weekend, clearly stating the name of the organisation, bank account details and the agreed contribution amount.
• Payments will only be made by EFT.

Cleaning of the amenities- Toilets & Amenities- Kalkadoon Arena Precinct including VIP Lounge area, Xstrata Pavilion, Centre Track & Porta Loos

• Site and Consumable Cupboard keys will be handed to Team Leader, by Site Coordinator ontheir first visit to site. Key Register will need to be signed when taking and returning the keys

Monday to Thursday prior to the show weekend- The toilets in Pavillion & centre of track these locations must be cleaned (swept & mopped) thoroughly on a 2 times times daily basis, including seats being wiped down. ( Along with others being used by campers)
▪ Suggested timeframes are 7am & 6pm
▪ Hand basins to be wiped over, and all rubbish removed.
▪ Consumables replenished as required
▪ Showers are to be thoroughly cleaned and bleached each morning before 8:30am and each evening between 6pm - 7pm

Show weekend -Between the hours of 9am and 11pm, the all toilets in these locations must be cleaned on a 1-2 hourly basis, including seats being wiped down
▪ Hand basins to be wiped over, and all rubbish removed
▪ Consumables replenishment as required
▪ Showers are to be thoroughly cleaned and bleached each morning and each evening (before 8:30am and each evening between 6pm - 7pm)

▪ VIP Lounge to cleaned on Saturday of the Show weekend between 2pm – 3pm

Sunday - Monday after the show- Starting at 9am, ensure that Porta Loos are in a sanitary condition, ready for relocation by Site Coordinator, ready for waste disposal and transportation.
▪ Final Cleaning of all facilities to be done between 12 Noon – 5pm in all these locations. These areas must be thoroughly cleaned, including the bleaching of showers, and all rubbish removed in preparation for hand over back to Council.
▪ Cleaning of toilets in the Centre Track must be cleaned after all the Transit Travellers (Showman Guild Side Show Alley Travellers) leave the area. Suggest cleaning to be done from 1pm onwards

Cleaning – Show Grounds 
Friday & Saturday show weekend -                                                                         ▪ All areas within Buchanan Park Events Complex, including the Pavilion and surrounding grounds, including Vendor sites, Sideshow Alley and surrounding grounds, the camping grounds, the car parks, the Horse Events Arenas and surrounding grounds are to be kept rubbish free
▪ All areas within the Kalkadoon Area Precinct, including Bronco Branding Camping Area, Music/Entertainment area and Forecourt, inside and outside the arena, the seating area, behind the chutes, along the grassed seating areas, and along the fence lines, are to be kept rubbish free
▪ During the hours of 5pm and 10pm the VIP room and Main Seating areas, within Kalkadoon Area are to be constantly monitored and rubbish removed as required
▪ Excluded Areas are the Mount Isa Race Club Building and the Racetrack; if there is debris on the Race Track it is to be reported to the Site Coordinator, with priority ▪ Site Coordinator will make contact when Wheelie Bins are ready to be distributed around the Buchanan Park Events Complex grounds, as per the map provided, with bin liners placed inside each Wheelie Bin.
▪ Between the hours of 9am and 4pm monitor ground rubbish on a regular basis and have it removed to a waste receptacle with priority
▪ Suggested timeframe is 9am, 12noon, 3pm
▪ Empty each Wheelie Bin on a twice daily basis, with the waste removed to the Skip bins
▪ Suggested timeframe is 10am and 4pm
▪ New bin liners must be placed inside each Wheelie Bin each time they are emptied
▪ Between the hours of 8am and 10pm all areas of the Buchanan Park Events Complex grounds are to be kept rubbish free
▪ Ground rubbish is to be constantly monitored, and removed to a waste receptacle with priority
▪ If a wheelie Bin becomes full it must be emptied into the Skip Bin with priority; this means that each bin may be required to be emptied more than twice per day
Sunday after show                                                                                             ▪ 8am to 12pm, all Wheelie Bins are to be emptied, cleaned/washed, and returned to theconcrete pad in front of the pavilion to await council pick up.
▪ All ground rubbish / debris to be collected and disposed of in the skip bins provided
Monday after show                                                                                             ▪1pm to 5pm, final inspection of grounds for any remaining rubbish / debris to be collected and disposed of in skip bins before their removal and site handback to Council.

Wristbands

Friday & Saturday - show weekend 

Prior to 8am, on both days, Volunteers are required to check in with the Gate Coordinator.
▪ 2-3 persons are to man the Front Gate, from 8am on both days, for the purpose of assisting patrons with the application of their wristbands as they enter the Complex.

Competitors Gate Ticket Sales
▪ Prior to 7am, on both days, the Back-Gate box, containing a Float, Wristbands, stationery and Gate Entry Fee display, must be picked up from Treasury at the Main Office. This may also include an EFTPOS machine for electronic transactions.
▪ 2 persons are to man the Back-Gate, at all times, from 7am to 7pm, to collect Gate Entry fees from Competitors and spectators and issue the appropriate wristbands, where passes have not been pre-purchased. It is requested that a record of all wristbands sold is kept.
▪ At 7pm, on both days, the Back-Gate box is to be returned to Treasury with all items accounted for

Bump In (A)

Saturday prior to the show  8.30am-5pm    

• Remove all items from the show containers & place in areas as per show society site coordinatore direction- chairs, tables, signage, bollards, bird cages, art stands, photgraphy stands, horticulture stands, hessian, pavillion boxes etc                     
• Errect temp fencing & install hessin, errect photography & art stands
• Hang signs
• Fork lift licence,& ewp licence required 

Bump In (B)

Thursday Prior to the show at a pre arranged Time

• Set up of marquees
• Set up Mount Isa Show Stage
• Distrubition of wheelie bins
• Set up Bronco Branding rail & stock fence
• Set up Bar areas
• Lay convayer belt on Track

 

 Bup Out

Sunday after show  8.30am-5pm

• Remove all hessian of fences & fold neatly
• Remove all signage   
• Remove conveyer belt off track dismatle photography & art stands 
• Pack all items into show containers- chairs, tables, signage, bollards, bird cages, art stands, photgraphy stands, horticulture stands, hessian, pavillion boxes etc
• Pack up bar stock for return                                                                 
• Pull down & pack up marquees, power cords, lighting                               
• Fork lift licence,& ewp licence required
