This is the application for Naka-Kon 2025, hosted by Naka-Kon Japanese Cultural Education Association. We are an entirely volunteer-run organization and we greatly appreciate that you want to help us run Kansas City's premiere Japanese culture and anime convention.

Please fill out the form in its entirety so that we have the most accurate and up-to-date information for you. If a particular question does not apply to you, put "N/A."

You must be at least 18 years old by the start of the convention.

Please note that after February 14, 2025 your application will no longer be considered without previous arrangements being made.

Director Expectations Summary:
- All Staff Expectations
- Attend entire convention (Thurs pre-con to Mon post-con)
- Oversee sector, manage staff, complete assigned tasks
- Maintain log of official business (calls, emails, meetings)
- Attend Monthly Director Meetings and/or provide monthly updates in meeting slides
- Attend bi-monthly Staff Meetings
- Help with setup/cleanup (unless approved absence)
- Professional conduct at all times
- Maintain inventory records (updated regularly)
- Have at least 1 local D or AD for your sector, or be willing to travel to Kansas City at least 1 month prior to the event for errands and inventory
- Develop task timelines and meet deadlines
- Ensure staff log hours and fulfill commitments
- Communicate with staff regularly (monthly to weekly)
- Use convention email system for official communication, respond to emails within 7 days
- Don't take on tasks from other departments without approval
- Resign in writing if unable to fulfill duties
- Maintain confidentiality at all times
- Don't share confidential info with unauthorized people
- Protect staff/attendee personal information
- Forward info requests to appropriate department'
- Handle conflict with maturity
- Address disagreements internally
- Contact HR or the Board if needed

Staff Expectations Summary:
- Must be age over the age of 18 by the start of Naka-Kon 2025
- Attend bi-monthly staff meetings
- Keep information shared in meetings/emails confidential.
- Don't share personal information of staff or attendees.
- Forward outside information requests to Director or info@naka-kon.com.
- Maintain a professional and courteous demeanor while on duty.
- No recreational drugs or alcohol use in excess during the convention
- No recreational drugs or alcohol use at all while actively staffing or representing staff
- Dress conservatively and maintain hygiene (shower daily, deodorant,clean clothes).
- Attempt to eat twice daily, sleep 8 hours daily, and prioritize health.
- Do not use use staff status for unauthorized access, benefits, or contracts
- Convention duties take priority over personal activities
- No abusing staff privileges (e.g., giving away t-shirts, accepting tips).
- Follow hotel room rules (no alcohol/drugs, parties, overnight guests, etc.)
- Communicate with your director or HR if you have any concerns
- Attend entire convention, volunteering at least 20 hours
- Track hours using hour tracking form
- Attend the final staff meeting 1 week before the convention
- Help clean up after the convention
- Respond to email to your Naka-Kon inbox within 10 days

Upon prior written approval by Naka-Kon, I may receive reimbursement for expenses incurred in activities authorized by Naka-Kon. I authorize Naka-Kon Japanese Cultural Education Association to use any photograph, film, or videotape taken of me during my participation as a volunteer without compensation in any publication or promotional material prepared and distributed by Naka-Kon Japanese Cultural Education Association or Naka-Kon or any of their affiliates. I further authorize Naka-Kon Japanese Cultural Education Association and Naka-Kon to make a thorough investigation of my background to verify any and all information provided, including but not limited to obtaining work references, educational records, and personal history. Such reports may include a criminal history background check as well as information relating to my character and general reputation. The General Staff Guidelines include references to certain benefits that the volunteers may enjoy by performing the duties of their volunteer position. By agreeing to act as a volunteer for the purposes of the Naka-Kon Japanese Cultural Education Association, I acknowledge and agree that in the event that circumstances occur that are outside of the control of the Board of Directors of Naka-Kon that such benefits may not be provided to me. I acknowledge and agree that this document does not provide any guarantee of any benefit and that the Board of Directors of Naka-Kon has the complete discretion to withdraw any benefits referred to in this volunteer agreement or pursuant to the General Staff Guidelines. I understand further that if I elect to purchase equivalent items Naka-Kon is not responsible for reimbursement or enforcement of all staff rules within those spaces. (Please Initial)*
