    2024 Calendar Year
  • Thank you for your interest in hosting your writing group at Writing NSW.

    This form will help us consolidate room requests and better understand your group interests, aims and requirements.

    This form should be completed by the group convenor and will take approximately 10-20 minutes to complete.

    Please note this form cannot be paused once it has been started.

    To save the loss of any work, ensure that you have the following information ready before proceeding:

    • the details of a secondary convenor
    • whether your group is meeting in-person or online
    • meeting date requests for 2024
    • the group's goals & admission requirements
    • the full names of all group participants 

    You will receive a confirmation message once your application has been successfully submitted. Writing NSW will then contact you in mid-January 2024 once your room bookings have been approved.

  • Second Preference

    To our best ability, we will try to reserve your first preference. However, as Writing NSW is home to over 20 writing groups, this is not always possible.

    Please let us know a second preference for your 2024 meetings.

  • Room Preference

  • Our available spaces for writing groups are:

    • Judith Wright room (ground floor, wheelchair accessible)
    • Patrick White room (ground floor, wheelchair accessible)
    • Henry Lawson room (upstairs, not wheelchair accessible, 15 people max.)

    If you would prefer to meet online, you are welcome to use our Writing NSW Zoom account, pending availability.

  • Provide a full list of your group members. This can be done either by listing member details on form or by uploading a member list.

    Please not it is the convenor's responsibility to ensure all participants remain members of Writing NSW while involved with the group.

    For In-person writing groups
  • By submitting this application, the convenor agrees to:

    1. Ensure all members of the group are financial members of Writing NSW at all times.
    2. Provide Writing NSW with a list of all group members and to update it in writing when members join or leave the group.
    3. Provide Writing NSW with the name, phone number and email address of a replacement group convenor or secondary group convenor (who will be Writing NSW’s point of contact with the writing group) should the convenor no longer undertake the task.
    4. Provide Writing NSW with at least one week's notice if the group will not be attending a scheduled meeting.
    5. Provide Writing NSW with at least one month’s notice if the group will no longer be meeting at Writing NSW.
    6. Accept that Writing NSW is, on occasion, subject to external paid bookings and Writing NSW events, therefore, the group may be required to move from their preferred meeting room on short notice, or meetings to be rescheduled to an alternate date, or cancelled with or without notice. Additionally, the group may not be able to meet at the required time and date on every scheduled occasion throughout the calendar year, subject to availability.
    7. Leave the meeting space in a clean and tidy state with all furniture returned to its original configuration, unless other arrangements have been specifically made. This includes the arrangement of tables and chairs.
    8. Wash any cups, mugs, plates or cutlery belonging to Writing NSW used by the group before leaving.
    9. Ensure that the Writing NSW building is left locked and secure if the group is the last to leave.
    10. Be responsible for holding a unique access code necessary to gain access to Writing NSW during particular days and times and agrees not to provide the code to any other person whatsoever. Should another person require a code, they will be allocated by Writing NSW on a per-need basis, by request.
    11. Provide a short description of the group for the Writing NSW website and keep Writing NSW informed of any changes.
    12. Comply with any precautionary measures related to COVID-19 that Writing NSW puts in place.

  • Acceptance of Terms & Conditions

    For Online writing groups.
  • By submitting this application, the convenor agrees to:

    1. Ensure that all members of the group are financial members of Writing NSW at all times.
    2. Provide Writing NSW with a list of all group members and to update it in writing when members join or leave the group.
    3. Provide Writing NSW with the name, phone number and email address of a replacement group convenor or secondary group convenor (who will be Writing NSW’s point of contact with the writers’ group) should the convenor no longer undertake the task. 
    4. Provide Writing NSW with at least two weeks' notice if the group will not be attending a scheduled meeting.
    5. Provide Writing NSW with at least one month’s notice if the group will no longer be meeting on the Writing NSW Zoom account.
    6. Accept that Writing NSW, on occasion, may require the group meeting time to be cancelled without notice, or meetings to be rescheduled to an alternate date or cancelled with notice.
    7. Accept that, on occasion, the group may not be able to meet at the required time and date on every scheduled occasion throughout the calendar year because Writing NSW, on occasion, has scheduled and unscheduled works and maintenance that affects their server and online communications, and/or your software or devices are not recognised by the software provider’s (Zoom) security monitoring system.
    8. Never share the login details for Writing NSW’s online Writing Groups Zoom account.
    9. Do not use the Zoom account for other purposes other than your scheduled meeting.
    10. Do not use the account at times other than scheduled or you may interfere with another group’s meetings.
    11. You may not post, modify, distribute, or reproduce in any way copyrighted material, trademarks, rights of publicity or other proprietary rights without obtaining the prior written consent of the owner of such proprietary rights.
    12. Provide a short description of the group for the Writing NSW website and keep us informed of any changes.
