OPERATING POLICIES AND HANDBOOK
School Year 2025-2026
New Life Academy has been planned for children 1 years of age to children five years of age with the goal of helping children in their mental, emotional, social, physical and spiritual development.
ADMISSION PROCEDURES
Admission to New Life Academy is open to children from 12 months to five years of age. Interested parents should call the director of the day care and request information on the day care. Information packets have been prepared for interested parents wanting to enroll their child as well as all parents who have children already attending New Life Academy. After going over the information given to or sent to the parent, parents are asked to call the director who will set up a "Pre-Admission Conference" at a time which is convenient for both the parents and the director. The director will go over any questions that the parents may have and give a complete tour of the day care.
All required forms must be read, signed and returned to the director's office, along with the non-refundable registration fee, two weeks prior to the child's first day. Application forms include: child registration and signed Parent Admission Operating Policies and Acknowledgment form. A physician must complete the child's Alabama Certificate of Immunization and any special medical forms.
The full registration fee must be paid in advance to secure a place in any class.
TUITION RATES
All tuition is due in advance and payable on Mondays.
All tuition payments will be made on the Procare App either by debit/credit card or you may choose auto withdrawal.
There is a $3.50 technology fee for debit/credit card use.
Auto withdrawal will be submitted on Monday of each week.
Two weeks written notice is required to change status to/from full-time, part-time or drop-in. There will be a $20 fee for changing your child’s schedule. The change in schedule form is on https://academy.newlifebhm.com under “Forms”.
We cannot offer reductions in our fees for absences due to illness, school delays, closures, holidays, inclement weather or vacations.
FULL-TIME TUITION
Full time is Monday - Friday, 7:00 - 6:00. Infant (12mo-18mo) Weekly price is $225
18mo- 4k Weekly price is $185
Infants 6 months-18 months: Part time pricing is not available until the child is 18 months and/or they transition to the toddler room.
PART-TIME TUITION (Part time pricing not available until 18 months)
Part-time is for children who are enrolled on a regular weekly basis for 2-5 days per week.

PART-TIME DAYS
A minimum of two days per week is required for part-time attendance. Regardless of attendance, the fee must be paid. If the child will not attend on a regular schedule (i.e. Tuesday and Thursday) each week, the day care office should be notified by Thursday of the days the child will attend the following week. Two weeks written notice is required to change status to/from full-time, part-time. The change in schedule form is on https://academy.newlifebhm.com under “Forms”.
DROP-IN FEE
A child who wishes to occasionally attend our center is considered to have drop-in status. Two days notice is required for drop-in attendance. The drop-in fee of forty five dollars ($45.00) per day is payable in advance. Two weeks written notice is required to change status to/from full time, part-time or drop-in.
LATE TUITION
Tuition fees not received by Wednesday are considered past due. A thirty five dollar ($35.00) late fee per child will be added to the weekly tuition and must be paid immediately along with the tuition currently due.
All accounts must be current by the last school day of the week. Please see administration if your account is delinquent to work out a payment plan. The child's name will be removed from enrollment after tuition has not been paid for two weeks. In order to re-enroll; tuition must be paid to a current status; all late fees must be paid.
NON SUFFICIENT FUNDS POLICY
(1) There will be a $35.00 handling fee on all non sufficient funds or returned checks/cards
(2) We will contact you regarding the NSF and run the payment again by Friday of that same week.
(3) Any parent who has two or more returned checks, NSFs or card declined within a 3 month period will be required to make a payment plan with Administration.
REGISTRATION FEE
A registration fee is payable upon registration of each child for admission to New LIfe Academy Daycare. This fee is non-refundable and is required prior to enrollment to guarantee an opening for your child.

The full, annual registration fee amount is due on September 1 of each year regardless of enrollment date or attendance status. Pro-rated registration fees will be allowed only when a child enrolls after January 1st. Fees must be paid whether the child attends on a full-time, part-time or drop-in basis.
RECEIPTS
All receipts are online accessed by signing onto your procare account.
Your payment history should be reviewed carefully. It is the responsibility of the parent to make sure each payment is applied to the time period and purpose for which it is intended.
VACATION
A one-week tuition-free vacation is permitted September 1,2025 through September 1, 2026. The child cannot attend the center and be granted a vacation week the same week. The vacation week must start on Monday and end on Friday.
A two-week written notice to the director is required for this vacation. Vacation forms are online at https://academy.newlifebhm.com under “Forms”. Please submit the form two weeks before your vacation. If another week is taken during the year, the parent is obligated to pay the tuition fee if the child is to remain enrolled. The center can only grant one week's free tuition per child for vacation. A written notification must be submitted online two weeks in advance.
HEALTH OF CHILDREN
The center can only accept healthy children. If symptoms of illness are observed, the child will not be allowed to stay at the center. If symptoms of illness are observed before coming to the center, parents are asked to keep their child at home. Symptoms that are a cause for keeping a child at home or a parent being called to come and get a child include: cold; sore throat; cough; fever (100.0° or higher); upset stomach; vomiting (unable to keep formula or food down); earache which causes pain and discomfort; red eyes which are contagious (also known as pink-eye); chills; headache; skin eruptions; loose bowel movements (regardless of the reason); head lice; or any reaction to any shots the child may have received at the physician's office. These symptoms may be with or without fever. A fever is considered to be a temperature of 100.0° or above. The axillary temperature (under the arm) is taken and one degree is added to determine the child's temperature.
A CHILD CANNOT BE ALLOWED TO REMAIN AT THE CENTER WITH A FEVER_(100° OR HIGHER) REGARDLESS OF THE REASON.
Parents will be notified to pick up the child immediately if signs of illness occur during the day. Parents are required to pick up the child within the hour. Care will be provided for the child until the parent arrives.
Children may not return to the center after a communicable disease until the doctor has released the child and all symptoms have disappeared. The child must have a doctor's written approval stating it is safe for the child to return to the center, The doctor's permission slip must be submitted to the director before the child returns to the classroom.
In the event of an accident or illness requiring emergency medical attention, the child's parents will be called immediately. If necessary, and only if the parent cannot arrive immediately, the child will be taken by a staff member and the Paramedics of the Birmingham Fire Department - who have agreed to provide emergency care and emergency transportation for the child and staff person - to the emergency room of Children's Hospital.
Parents should have the signed Medical Release Form that was located in the registration packet. NLA will have a copy on file in the NLA office. It is the parent's responsibility to keep the Medical Release form current in the daycare file.
Parents should report to the director any illnesses or exposures to communicable diseases outside the center in order that the director can alert parents and take necessary measures.
Parents are required to obtain a blue medical form from their child's pediatrician. The Blue Immunization card is given to all children 2 months of age or older. The original Alabama Certificate of Immunization form must be kept in the child's file in the day care office. Parents are required to keep their child's medical form current. Whenever a child's file is not up to date with all necessary medical information and immunizations, a reminder letter will be sent to the parent. It is the parent's responsibility to bring the updated health records to the day care office.
Your child can return to school after being sick if they are:
Fever free for 24 hrs without medication
Free of vomiting/diarrhea for 24 fours
*Hand foot and Mouth: 5 days quarantine from school (very contagious)
Any child who does not have a current Blue Form on file in the day care office will not be allowed to attend day care until the form is updated.
HEALTH OF STAFF
All staff will adhere to and follow all of the above sickness policy. Our staff will take all precautions to keep our classrooms germ free.
ACCIDENT REPORTS
In the event a child is injured while at daycare, qualified personnel will determine if the injury is an emergency or if the parent needs to be notified. Regardless of the extent of the injury, a written report will be provided. If another child was involved or caused the accident, the name of the other child will be kept confidential by day care staff.
DAILY REPORTS
Daily reports concerning each child will be given to all parents. The teacher or child care attendant will provide parents with updates through the Procare App concerning the child's daily schedule, all activities of their child's day, eating, sleeping, toileting, educational activities and any other comments. Each report should be carefully reviewed to see if any supplies (diapers, wipes, snacks, etc.) are needed.
MEALS/SNACKS
We asked that all children bring a prepared lunch every morning. Due to the amount of children, please cook all meals before school. We can reheat for up to a minute. Please provide bowls/plates/utensils.
All snacks/juice/milk must be provided by the parents and each item will need to be labeled.
Formula and Breast Milk: all formula and breast milk bottles will need to be prepared at home. Please bring the correct amount of bottles for the hours your child will be at the center that day. If any milk is spilled or unsuitable to drink the parents will be notified immediately and ask to provide their child with more milk.
HOLIDAY POLICY
New Life Academy Daycare will be closed for holidays, Full tuition fees are due the weeks in which holidays occur. The Center's holidays for the 2024-2025 school year are as follow: (printed separately)
INCLEMENT WEATHER POLICY
Canceling school is a complicated decision that affects students, staff and families. We will do everything we can to keep the school open, but our main goal is to keep our families and students safe.
The primary criteria we consider when making a decision include:
The safety and well-being of students and staff
Severity of the weather (extreme cold, flooding, etc.)
Timing of weather (overnight, weekend, etc.)
The ability for cars to travel safely
We continually monitor the forecast from the National Weather Service, and the administrators meet in order to make the best decision for students, staff, and families.
In the event that school is canceled due to severe weather, NLA makes every attempt to notify families as soon as possible. Full-day school closure decisions will be made no later than 6 p.m. the day before or 7:00 a.m. the day of if conditions have become more hazardous than expected overnight. After-school and evening cancellation decisions affecting after-school activities will be made by 1:00 p.m. that day.

Parents can help by making sure their contact information, as well as emergency contact information, is kept current. Full tuition is due for the days the center must close due to inclement weather.
WITHDRAWAL
A two weeks written notice to the director is required before withdrawing a child from the center. Tuition must be paid in full for these two weeks.
Re-entry into the center cannot be promised or reserved for someone wanting to withdraw his or her child for the summer or for any length of time. If a parent wishes to enter their child into the center after withdrawing them, they must place their name on the waiting list, and the child may re-enter only if there is a vacancy and/or their name has come up on the list. In order to reserve a spot in New Life Academy, a new registration fee must be paid.
TEMPORARY WITHDRAWAL
In order to withdraw temporarily, two weeks written notice is required. This applies to anyone who takes an extended vacation of more than two weeks or anyone who does not need day care during the summer, such as teachers. If two weeks notice is not received prior to temporary withdrawal, full tuition for those 2 weeks will be required.
To re-enroll, two weeks notice is preferred but at least one week notice is required. The parent may advise the re-enroll date by calling the day care office. If at least one week notice is not received, a spot cannot be guaranteed for the child.
ILLNESS REDUCTION
Tuition will be reduced by ten percent (10%) if a child is absent due to illness for two weeks consecutively. In order to qualify for a reduction in fees, a statement from the child's doctor must accompany the child upon returning to school. Also, a child must remain away from the center while sick in order to qualify for reduction in fees due to illness.
DELINQUENCY IN PICKING UP A CHILD/LATE PICK UP FEE
A late pick-up fee will be charged for a child left after 6:00 PM. The rate is ten dollars ($10.00) after the first minute past 6:00 p.m. and $10.00 every five minutes thereafter.

This fee is to be paid immediately to New Life Academy Daycare. Otherwise, your child's tuition account will be delinquent.
Parents and children are not allowed to remain in the center after the center closes. Parents may not hire employees of New Life Academy Day Care to remain with their child after the center has closed and all daycare administrative staff has left the center.
ARRIVAL AND DEPARTURE PROCEDURES
New Life Academy Daycare will be open Monday through Friday from 7 AM to 6 PM. Upon arriving, the child must be accompanied to the Center and into the classroom. The parent must sign the child in, The child must be picked up from his/her room by the parents. Parents must sign the child in and out each day on the Procare App. This is required when a child is brought into a classroom and before leaving the classroom with the child. The full signature of the parent or guardian is required on the form. Initials are not acceptable.
Parents are asked to not drop off children between 10:30 am - 2:00 pm. This will allow teachers to keep students on a consistent schedule and it will help the classrooms to run smoothly. It will insure that all students are in their appropriate classroom at a reasonable time to facilitate maximum education. Exceptions will be granted for doctor appointments and other emergency situations.
Once a child has been signed out, the child should not be allowed to run in the halls or to visit other classrooms. No toy should be removed from any classroom. Children should not be allowed to remove riding toys from a room nor should they be allowed to ride them in the halls. All toys are to remain in the room to which they have been assigned at all times.
Whenever a child is to be picked up for the first time by anyone other than the parent, they are required to provide the teacher with the child’s pick up number. It will also be necessary to provide picture identification. Children will be released only to properly identified persons who are listed in the "Child Release" section of the Parent Agreement form. The name of the person(s) who may call for the child must be kept current in the file by the parent. Parents must notify administration or the teacher anytime a child is to be picked up by someone other than themselves.
All children MUST be picked up no later than 6:00 PM; otherwise, the parent will be responsible for paying the late fee. (See the late pick-up fee information on the preceding page.)
FAMILY PICTURE ON FILE
Each parent enrolling a child in our center for the first time must submit a picture of the child and the child's parents. These pictures will be placed in the child's file.
CHILD'S CUSTODY PAPERS
In the event of a divorce, a copy of the section of legal papers concerning the custody of the child must be given to the director to be placed in the child's file. The daycare must be notified immediately of custody issues affecting those who are authorized to pick up a child. It is very important that we have in writing who will be able to pick up the child and that the staff of New Life Academy Daycare knows this person.
FAMILY STATUS
Parents are required to notify the Director, in writing, of any changes in family status (divorce, separation, serious illness, remarriage, change in workplace or home) and these changes are to be placed in the child's file in order that it remains current at all times. All information will be kept confidential. It is very important that the child's file be kept up to date with necessary telephone numbers, addresses, etc.
PARKING PROCEDURES
Parents are asked to pull under the overhang or park in one of the designated parking places. Parents are asked never to block traffic. Parents are also asked to lock their car and to take their wallet, billfold, handbags and other such items with them regardless of how long they will be in the center.
When entering and exiting the school facility, parents are asked to be extremely careful and drive very slowly.
ENTERING AND EXITING THE BUILDING
Parents are asked to never allow anyone other than church personnel, New Life Academy staff or other parents in when entering the building. Parents are asked to report to the daycare office if anyone is lingering outside, in front of or around the building.
SMOKING POLICY
We at NLA are committed to providing a smoke-free environment for children, staff members, and child care providers. Due to hazards from exposure to second-hand smoke, it shall be the policy of this child care facility to provide a tobacco-free environment for children, staff members, child care providers, and parents.
NLA maintains a smoke-free environment. Smoking and the use of tobacco products are prohibited at all sites, including buildings, grounds, company-owned vehicles, parking garages and lots (cars parked in child care lots) at all locations, and other facility-owned, leased or sub-leased locations. This applies to all staff members, child care providers, parents, visitors, contractors, subcontractors, volunteers, and other guests in the child care buildings, grounds or properties.
NLA adheres to the following guidelines: All applicants for employment will be informed of the smoke-free policy prior to the applicant accepting an offer of employment. Staff members, child care providers, parents, and visitors will be notified of the policy. Appropriate smoke-free signage will be posted. This child care facility will make tobacco cessation treatment programs available to staff members, child care providers, parents, and visitors using the cdc.gov/quit quitline as a referral resource.
HEALTH AND MEDICAL INFORMATION
The health record (Blue Form/Certificate of Immunization) is issued by the child's pediatrician and must be completed and signed by the child's doctor. This record must be current. It is the parent's responsibility to keep the records up to date. A letter will be sent to parents reminding them of expired forms. An original, up-to-date Blue Form must be in every child's file at all times as required by the Health Department of Jefferson County. The form must be a State of Alabama Certificate of Immunization; forms from other states are not acceptable.
ADMINISTERING MEDICATION
Prescription/Non-prescription medicine can be given to your child. The prescription must accompany the medication in its original container. A measuring device must also be provided.
Non-prescription medicine must be in the original container and must be accompanied by its own measuring device. The prescription for over-the-counter medication must have the exact name of the medication and specific dosage requirements, including amount and time.
An authorization for administering medication/medical procedures form must be completed and signed by the parent before prescription medicine will be given to your child. The form must indicate specific dosage requirements, including amount and time. “As needed" is NOT acceptable instructions for administering medications. This form is valid for one week only and is invalid at the end of the week. These forms are located in each classroom and are required by Alabama Department of Human Resources. Blanket authorization forms are prohibited.
If the child needs to continue taking the prescription/ non prescription medicine after a week, a new form must be completed and signed. If this form is not completed and signed, we cannot administer the medicine.
Whenever possible, parents are asked to limit the number of doses given at daycare by scheduling doses in the early morning before coming to day care or in the afternoon after the child is picked up.
POSITION OF SLEEPING INFANTS
In accordance with recommendations from the American Academy of Pediatrics, each infant younger than twelve (12) months will be placed in a supine (on his/her back) position for sleeping. This applies to all infants.
BIRTHDAYS AND SPECIAL OCCASIONS
Each child's birthday may be celebrated at the center. All the children would enjoy parents bringing snacks (cookies, cupcakes or a cake) so that the child's class may celebrate as a group. Parents need to coordinate with the teacher on what time is best.
PHYSICAL ACTIVITY POLICY
Children will go outside daily. The only reason they will not be allowed to go outside is inclement weather such as rain, extremely cold or extremely hot weather. It is a State requirement that children go to the playground and spend time outside each day, weather permitting.
All children will have at least 45 mins of active play each day.
INFANT CLOTHING AND INFANT ITEMS
Parents are allowed to bring a Velcro swaddle or sleep sack for babies under 12 months old. Blankets are not allowed for babies younger than 1 year old. For babies 12 months or older, the parent may provide a blanket.
CLOTHING
Children should wear comfortable clothing suitable for indoor and outdoor play. Children are encouraged to help themselves as much as possible. Therefore, clothing should be easy to get on and off. Children's shoes must be comfortable. Each child must have a complete change of clothing (underwear, shirt, slacks, socks) at the center to be used whenever a child has gotten his/her clothes dirty or wet. The child's name must be marked on each article of clothing.
NECESSARY ITEMS
ALL ITEMS MUST BE LABELED WITH CHILD'S NAME.
ALL EATING AND DRINKING UTENSILS MUST BE TAKEN HOME AND WASHED EACH DAY.
Parents are required to bring in the following items necessary for their child's care:

All items, including all bottles, must be labeled with the child's name. A permanent magic marker may be used. The center will not be responsible for any lost items.
ITEMS BROUGHT INTO THE CENTER
Parents are asked not to bring or send toys. Absolutely NO toy guns or knives are allowed into the center at any time.
Absolutely no safety pins, coins of any kind, rings, carrings, small jewelry, small hair clips or any other small items are allowed. Since small items are choking hazards for small children, parents are requested not to allow these items to come into the center with their child, either in their bags or on themselves.
Snacks that are a choking hazard (grapes, hard candy, etc) should not be brought into the center. If grapes are sent as a snack, they must be cut into small pieces. If these items are sent, they will not be given to the child and the item will be returned to the parent.
CAR SEATS
Parents bringing in car seats may leave them in the front entrance lobby or in the area to the left before entering into the preschool wing. Please do not leave your child's car seat in the hallways.
DISCIPLINARY PRACTICES
Discipline will always be consistent and fair. Children will always be told when they have misbehaved and positive reinforcement will always be used. No verbal abuse, derogatory remarks or physical punishment will be used. If a child does not seem to be following instructions or has been disruptive to the classroom and teacher or attendants, then the child will be told in a kind but firm voice of his or her mistake.
A child may sit in time-out for misbehaving. The length of time will be limited to a minute for every year of his/her age.
If a child becomes disruptive to the classroom and/or the center, the director will ask the parents for a conference.
The center reserves the right to release any child from enrollment at NLA if a child is unnecessarily disruptive to the classroom and center as a whole.
TOILETING PRACTICES
The staff will begin toilet training toddlers when the child is able to communicate his/her need to use the toilet. The staff will work together with parents to determine when to initiate toilet training procedures and to ensure a consistent and relaxed toilet training process.
SCREEN TIME
Screen time will be limited to 30 mins a day. All programs watched will be educational and will provide a learning experience.
NAPPING AND RESTING
Infants will be allowed to follow their own sleep/rest pattern. Toddlers and children will have a rest/nap period every day after lunch.
COMPLAINTS
If there should ever be a complaint, misunderstanding or concern, parents are requested to immediately address the situation with the director.
PARENT/STAFF RELATIONS
All parents are requested to keep relationships with the staff on a professional level. All conversations held with staff members are requested to be kept brief and pertain only to the interest and concerns of the child. This is so the staff members will not be unnecessarily detained or distracted from their work responsibilities concerning all children. Any concerns the parents may have should be immediately brought to the director's attention. Parents are to maintain a professional level of interaction with the staff.
ABSENCES
All children must be accounted for each day. If a child will be absent for the day, parents are asked to call the office and inform the day care of the reason for the child's absence. If the child will be absent for a few days and you know in advance, please call the school and alert administration and your child’s teacher.
PARENTS VISITING INFANTS
Parents wishing to visit their infants during lunch or any other time may do so. The parent is welcome to sit in the lobby and spend time with their child. Older siblings are not allowed in the infant classrooms at any time.
VISITING
Parents of children enrolled in the center are welcome to visit any time during the day, as long as it is not disruptive to the child or the child's classroom. Older siblings are not allowed in the infant classrooms at any time.
Visitors are welcome to the center only if the director escorts them. A parent may not bring in a visitor unless the director escorts this visitor. A visitor is anyone who does not have a child enrolled at New Life Academy Daycare.
A parent may not pick up and hold an infant or child other than their own.
OUTSIDE INSTRUCTORS
The Director must be informed if there is a need for any outside instructor (physical therapist, speech therapist, etc.) to visit a child during the time he or she attends New Life Academy Daycare. The parent is to notify the Director in writing at least one week in advance of the proposed visit. Notification should include the name of the organization, the name(s) of the person(s) authorized to instruct the child as well as the time and date of the visit. The instructor must have a picture identification to be copied for the child's file.
ALLERGIES
All parents are requested to fill out the allergy form, within the registration form, concerning any allergies your child may have. The information about your child's allergies will be kept in the child's file in the office and in the child's classroom.
PROMOTIONS
We, as a child development center, are concerned with the best possible care and development of all children involved. The Director will determine when a child of any age will be promoted. Parents will be notified of the promotion by New Life Academy Daycare staff.
EMERGENCY EVACUATION
Our building is equipped with a fire security alarm. This is in all the classrooms as well as throughout the building. The Emergency Evacuation diagrams are posted in all rooms.
THE CENTER RESERVES THE RIGHT TO RELEASE ANY CHILD FROM ENROLLMENT AT NEW LIFE ACADEMY DAYCARE FOR THE FOLLOWING REASONS:
(1) Parents do not meet their financial agreement
(2) A child is unnecessarily disruptive to the classroom and the center as a whole
(3) Parents do not cooperate with New Life Academy Daycare Operating Policies
(4) At the discretion of the Director
