Helix Massage Policies
Please read each of the following sections and sign below to acknowledge you have read and agree to these policies.
Email & Text Appointment Reminders
Please make sure you have your correct email address and phone number on file. Email and text appointment reminders are automatically sent out, giving you time to notify us if you need to cancel or reschedule. However, it is still the client’s responsibility to remember appointments and abide by cancellation policies even if automated reminders are not received. Please make sure to add appointments to your personal calendar
Appointment No-Shows
Clients who forget or choose not to keep their appointment will be considered a no-show and charged 100% of the session fee for their missed appointment. This fee must be paid prior to booking any additional appointments. Habitual no-shows may be required to prepay for appointments or potentially be dismissed as a client.
Cancellations
A 24 hour notice is required when canceling or rescheduling an appointment (appointments scheduled less than 24 hours before the appointment time require a minimum 4 hour notice). You will be charged 50% of the session fee for any cancellations or reschedule requests received with less than the required notice. Fees must be paid prior to booking future appointments.
We understand that emergencies can arise and illnesses do occur at inopportune times. If you (or your child) have a fever, a known infection, or have experienced vomiting or diarrhea within 24 hours prior to your appointment time, we request that you cancel your session and notify your therapist as soon as possible. You will not be charged any fees for late cancellations or no-shows due to illness or emergencies. In the event your therapist is sick or has an emergency, your appointment will be canceled and you will be notified as soon as possible. You will be added to the priority list for rescheduling and accommodations will be made to reschedule you in a timely fashion.
If late cancellations or missed appointments become habitual then we reserve the right to enforce the cancellation policy fees, require prepayment for future appointments or dismiss you as a client, regardless of reasons. This will be handled on a case by case basis and discussed with each client personally.
To cancel/reschedule an appointment you may reply to the appointment confirmation texts sent through Square, message Helix Massage through our Facebook page, or text 270-225-8064 with your name, appointment details and if you would like to cancel or reschedule.
Weather & School Related Cancellations
Late cancellations due to inclement weather or last minute school closures will not result in any cancellation fees. However, please be considerate and notify us that you need to cancel as soon as you are able. Your therapist will also give advance notice if they need to cancel due to weather related issues, especially during the winter due to hazardous roads.
Late Arrivals
In order to begin your session at the scheduled time, please arrive 5-10 minutes before your appointment to allow for intake and getting settled in the treatment room. Late arrivals are subject to having the time deducted from the session, however the client will still be charged the full amount. If a client is more than 15 minutes late to an appointment without contacting the therapist, the client will be considered a no-show and the cancellation policy will be enforced. This policy ensures that appointments following yours are started on time. Out of respect for your therapist and other clients, please plan accordingly and be on time.
