Dear Applicant, 

Thank you for your interest in attending Austin Witchfest! One of our main goals is to provide a space to vend occult-related merchandise, services and divination readings, which is why your presence is essential. Please review and complete this application in it's entirety before submitting.

Note: Submission does not automatically guarantee approval.
You will be notifed in a future communication about your approval status. If approved, there will be a one-time, nonrefundable fee* in order to secure your space and a Paypal link will be sent where you can make payment. 

Important Dates:
Applications are due by Friday, January 31, 2025.
Approval notices will be sent by Sunday, February 2 2025.
Payments are due by Friday, February 28, 2025.

*A full refund will be given only in the event of festival cancellaton. 

COVID-19 Safety Protocols:

While tending to your booth, we recommend masking, but this will be at your discretion. We also recommend that you bring hand sanitizer, wipe down your booth/wares (if safe to do so) periodically and offer touchless payment options whenever possible. Most importantly, if you feel ill or are experiencing any Covid-19 symptoms, please let us know and do not come to the festival! Refunds for booth fees will be reviewed on a case-by-case basis.

Booth Types:

Organization booths are $20 for a 10x10 space. This type of booth is intended for informational purposes only. Occult-related products and services should not be sold.

Divining booths are $50 for a 10x10 space. This type of booth is intended for giving divination readings only. Occult-related products and services may be sold, but limited to a single table/display.

Merchandise booths are $75 for a 10x10 space. This type of booth is intended to primarily sell occult-related products and services. If space permits, readings are also allowed. 

Double booths are $150 for a 10x20 space. This type of booth is open to vendor needs and works well for those that wish to sell products, services and give divination readings, or for those that need additional space for their merchandise. The availability of 10x20 spaces is limited and not guaranteed.

Custom booths are booths that fall outside the 10x10 and 10x20 sizes. Pricing will vary and be case by case. Every effort will be made to accommodate your custom size, but may be limited due to space. Please fill in your size request below and someone will be in contact with you to discuss. 

Selling Food/Beverages:

Food and/or beverages cannot be sold, however, samples may be offered so long as it is directly related to your business. Samples are limited to 1 oz for food and 3oz for beverages.   

Selling Blades:

Weapons, including blades, of any kind are not permitted to be carried on the premises. If you will have this type of merchandise (athames, dirks, swords etc.) in your inventory, you must provide the buyer with a claim ticket for the blade and the blade must be walked to the box office at the front of the building which can be claimed by the buyer upon exit. Austin Witchfest and Palmer Event Center staff will work with you to make sure this is is a seamless process. 

We understand that managing a booth can be exhausting for one person and you may want to bring helpers to assist. It's okay if you don't know exactly who will be helping you just yet or if your helpers change between now and the festival. We will finalize the list of helpers as we get closer to the festival date. Approved applicants and their helpers do not need to purchase festival tickets, however, those arriving after the festival has started will be charged admission if they are not propery listed. 

Please limit the number of helpers to the minimum needed to effectively run your booth. An excessive listing of helpers may result in not all of your helpers getting approved. 

Tell us about your organization, business, service and/or type of reading(s) you will offer! The description and links you provide are what will be published on our media platforms, so make sure you are being clear, concise and professional. This is what attendees will be reading and/or viewing after all!

For merchandise vendors, please upload photos that accurately depict the merchandise you will selling. These will be reviewed by the Austin Witchfest Board of Directors and used to help determine final selection. 

Incomplete applicatons or applications that do not contain photos will be discarded.

Canopies and Covers

Per the City of Austin's fire code, there are restrictions on how we can group booths depending on if they contain anything considered a "tent". Their definition includes pop-up canopies with any kind of covering (top and/or sides). 

Please indicate if you will have this for your booth so we can group you accordingly. If you put up a canopy top or firewalls, but did not indicate so here, you may be asked to remove them at the festival as we will have limited options, if any, to relocate you last minute. We must remain compliant with the fire code or the entire festival could be shut down. 

Electricity

Electricity will not be provided at the venue. You must bring your own source of electricty such as batteries and/or portable electric generators. 
No gas or propane.  

Additional Terms and Conditions: 

1. Upon approval and receipt of payment a 10x10, 10x20 or custom space will be reserved for you depending on what has been applied and agreed upon between you and Austin Withfest. 
   
   
2. Tables, chairs and other furniture will not be provided by Austin Witchfest or the Palmer Events Center. It is each booth operator's responsibility for the setup, operation and teardown of their booth. 
   
   
3. You agree to not hold Austin Witchfest Inc. or the Palmer Events Center liable for any lost, stolen or damaged property.  
   
   
4. You are not permitted to share your booth with other organizations or vendors without express approval of Austin Witchfest. Each organization/vendor must complete their own application. Anyone in violation of this will be asked to leave immediately and may be banned from future festivals. This does not apply to Co-ops.  
   
   
5. You are not permitted to have fire, such as burning candles or incense.
   
   
6. You are not permitted to bring outside food and drink into the festival. All food/beverages must be purchased through event food staff. 
   
   
7. Setup.
   Drive-in setup will be Friday, May 9, 2025, 7pm-11pm.
   Due to the number of booths attending the event, specific timeslots will be assigned to each to limit congestion. At your specified time, you will be given access to the service yard which has a ramp allowing you to drive into the exhibit hall and unload. You agree to unload as efficiently as possible and then move your car to allow room for other traffic coming in at timeslots after yours. Those taking an excessive amount of time to unload may be asked to move, even if they have not finished, and walk in their remaining items. Plan accordingly. If you miss your timeslot window, we will try our best to accomodate you, but it may require that you park and walk your things in. A limited number of rolling carts will be available, but it is first come, first serve. 
   
   Walk-in setup will be Saturday May 10, 2025, 6am-10am.
   Driving into the exhibit hall will not be permitted on the day of the festival. Booth operators will need to park and shuttle in their things. A limited number of rolling carts will be available, but it is first come, first serve. Parking in the service yard is not guaranteed.    
   
   Tear-down will be Saturday May 10, 2025, 7pm-11:59pm.
   Drive-in teardown will be staggered, row by row, just as setup was, however, many vendors find it is more efficient to walk out their setup. A schedule will be provided closer to the festival date.  
8. Parking.
   The service yard can accomodate around 70 vehicles and may be available to park in during the festival at no charge. It is not contracted space, however, so should another event be taking place in Hall 1, the service yard will need to be shared. Vendors that have trailers will be given priority since it is harder for them to navigate parking garages and can leave their trailers in the service yard overnight by filling out a form with the Palmer Events Center. 
   
   For those unable to park in the service yard, parking is availabe in the overflow lot for fre, and the main parking garage next to the Palmer Events Center at a rate of $10 per vehicle. Austin Witchfest will reimburse booths for one parking fee on the day of the festival, provided they submit a request for reimbursement post-festival. Requests for reimbursement of more than one parking fee per booth, or other parking fees outside of the parking garage, will be reviewed on case by case basis, but as a general rule, will not be approved.
   
   

9. You are encouraged to promote Austin Witchfest, especially on social media. The more attendees, the better for everyone! 

10. Animals are not allowed, except for service animals.

11. Smoking is prohibted within all indoor spaces.

12. The dress code is family friendly. Anyone in violation of this (including helpers) will be asked to change. Those that cannot change will need to leave the festival and come back with proper attire.
