    • 07. Opening Hours

    • 💡 Existing Opening Hours: If the property is currently in operation, even if not currently cooking, you must complete the "Existing Opening Hours" section. Only leave it blank if the property is vacant and not operating.

💡No Changes in Hours: If the installation or upgrade of the kitchen extraction system does not change the opening hours, enter the exact same times in both the "Existing" and "Proposed" sections.

💡Closed Days: If the property is closed on Saturday, Sunday, or Bank Holidays, select "Closed" in both the "From" and "To" fields.

💡Weekday Variations: The "Monday to Friday" field must be filled with consistent hours across all weekdays, as required for planning applications. If one day has extended hours, use the longest hours for all weekdays in this form.

💡 These hours are for planning purposes only, and any hours can be specified now. Selling hot food or drinks between 11pm and 5am requires a Late Night Refreshment Licence from the Licensing Department. If extending into this period for the first time, you’ll need this licence. Contact us for more information or to apply. If the licence hasn’t been applied for yet, it won’t affect your planning application.

    • 08. Owners (Freeholders and Long Leaseholders)
    • Common Notes for section 8a and 8b:

💡For the planning application to be valid, we will serve notice to all freeholders and long leaseholders of the affected properties, in accordance with Article 12 of the Town and Country Planning (Development Management Procedure) (England) Order 2015. This step ensures that they are informed about the application.

💡"Owner" refers to a person with either a freehold interest or a leasehold interest with at least 7 years remaining (Long Leaseholder)

💡Accurate identification of all freeholders and long leaseholders is essential for a smooth process. We obtain Land Registry title register records online through the official website and will cross-check these with any additional information you provide, adding an extra layer of accuracy. In some cases, particularly for section 8b, it may be challenging to gather complete details, but the Land Registry records are typically sufficient to meet the requirements.

💡 If the freeholder or long leaseholder is a company, please provide the company name and its address. For individual freeholders or long leaseholders, please provide the full name (first name and surname) and address.

💡 If there are multiple freeholders or long leaseholders, including family members (such as a spouse, partner, or other relatives), please ensure that all relevant details are provided. All parties involved must be notified. Wherever possible, please provide a separate email for each individual or company. To add more entries, click "+Add more" in both sections 8a and 8b.

💡 Providing an email is optional, but it is strongly recommended to reduce errors and serve as evidence of notice served, if necessary. Please make every effort to include it before completing the form.

    • 8a. Owners Of the Application Premises

Details of all freeholders and long leaseholders associated with the application premises.
    • 💡 The names and addresses of freeholders and long leaseholders are typically found in the tenancy agreement.

    • 8b. Owners of the Properties the Ducting Interacts with (if any)

Addresses of interacting properties, along with owner details if available.
    • 💡These are properties that will be directly involved in the installation of the extraction system, particularly where the system or ducting, passes through, or is attached to their external walls. This typically includes but not limited to:

      • Flats, or properties located directly above your premises where the ducting may run along or be fixed to their external walls.
      • Flats or properties adjacent to your premises where the ducting runs alongside, or is attached to their external walls.

💡If there is a property that the ducting interacts with, please provide the full address of these properties only as a minimum requirement. If, after making every effort to speak with residents and/or estate agents, the details of the freeholders or long leaseholders are still unknown, that’s okay—we will use the address to obtain this information from the Land Registry.

💡 For each property the ducting interacts with, please provide the full address, along with the details of all registered freeholders and long leaseholders. If one property has multiple owners, you can add more entries by clicking "+ Add More" and filling in the same address with the details of the additional owner(s). Wherever possible, include separate emails for each individual or company. The more information you provide for each property, the better.

💡 If the owner(s) mentioned in section 8a are the same as those for properties the ducting interacts with, please add the full address of the interacting property and re-enter the same owner details.

💡Information regarding short-term tenants is not required and cannot be used for this purpose.

    • 09. Authority Employee / Member

    • 💡This section asks whether the applicant is connected to the local planning authority in a way that might affect the decision-making process.

💡"Related" in this context means any relationship, by birth or otherwise, close enough that a reasonable person might think it could influence the decision.

💡Typically, the answer here will be "No." This is mostly a formality. If you are not employed by, elected to, or related to someone in the Local Authority, simply select "No."  (Keep the default selections "No" and "Not Applicable").

💡If you are a member of staff, an elected member, or related to someone who is, please select "Yes" and provide details about the relationship.
