4. Sharefile Inventory Management Method
Contact An Auction Team Member to establish a Sharefile link for your upcoming auction by emailing: auctionteam@onlinepros.com.
Please provide details about the types of items you intend to sell. Based on this information, we will place the relevant forms and procedural guidelines into the Sharefile folder for your reference and use.
All Forms provided including the Auction Description Worksheet and Auction Location Logistics Form must be completed in order to conduct a successful auction.
All photos must be uploaded into the Sharefile folder in a jpg format. Please renumber photos to match Lot #'s. When using multiple photos for one lot please number 1-1, 1-2, 1-3. (Please do not place photos within a pdf, word, or google drive format.)
Once all auction detail is finalized and uploaded into the Sharefile folder provided contact the Auction Team. A team member will review and communicate with seller if additional information is required.
The Auction Team will supply a proposed Auction Timeline Form for seller. Please review and let a team member aware if any revisions are needed. If all is well please sign, print, date, and scan back to the auction representative at your earliest convenience.

5. Best Inventory Management Practices
Palletize or sort auction surplus in rows with similar items leaving ample room for bidder preview and removal.
Provide detailed Item descriptions Including: Mfg., Model, Qty., Color, Voltage, Hp., Hz., and Condition if available.
Capture 1 frontal photograph of general items and multiple photographs of higher end items including tractors, zero turn lawn mowers, portable classrooms, commercial ac, etc. (If a manufactures plate is available please take a photo of it for viewing and informational purposes.)
Each lot will follow in numbered order sequence starting with Lot #1, #2, #3, etc. Multiple locations can work in a different numbering sequence. Location 1: 1-99, Location 2: 100-199, Location 3: 200-299, Location 4: 300-399.
Lot numbers may be computer generated with plain white paper. Please tape the lot number on the side of the item so that the lot number will not dominate the photograph.
Items That You Cannot Sell by Public Auction: Propane Tanks (By themselves), Air Conditioning Freon (For Vehicles or Home), Used Mattresses, Vehicle or Bus without a Certified Texas Title, Trailer without a Certified Texas Title, Registration Receipt, or Manufactured Certificate of Origin or Certificate of Origin for Vehicle, Boat, Boat Motor, or Boat Trailer without a Certified Texas Title, Food, Cigarettes, Alcohol, Used Paint (Lid has been opened), Used Cleaning Products (Lid has been opened), Used Oil, Fuel Tank with fuel inside (Must be cleaned out), Used Laboratory Glassware, Hazardous Material or Containers, Counterfeit Items, Stolen Items, Firearms, Ammunition, or gun related accessories.
Operational Videos
Seller may provide a 30-45 second video for any equipment for marketing purposes. Some items that sell well with a operational video: Tractors, Lawnmowers, Shop Tools, etc.
If using iphone download video directly from icloud and drop into Sharefile. An emailed video will show too much distortion online. Make sure to verify which lot # per video number.
