This agreement between the Renter and Inspire Cayman Training Ltd. (hereinafter “ICT”) defines the terms and conditions for rental of the ICT Training Room. This Agreement includes a Rental Contract which is incorporated and forms part of this Agreement.
The following terms and conditions govern the use of the meeting room rental. Renters agree to abide by these rules as a condition of use.
1. MEETING ROOM PRIORITY AND SCHEDULING
a. The ICT Meeting Room is open to all groups, associations and organisations.
b. ICT reserves the right to refuse rental to any group, association or organisation.
c. Please be advised meetings of ICT take priority. Rental of the ICT Meeting Room will be on a first come, first served basis.
d. Meetings may not be scheduled more than 3 months in advance.
e. The Meeting Room will be available during the normal business hours of 8:30 a.m. to 5:00 p.m. on week-days, moreover, separate rental rates apply to after-hours use and for weekend rentals at the rates published in the rental agreement.
f. Rental rates and terms may be changed periodically by ICT.
2. MEETING ROOM RULES AND REGULATIONS
a. All individuals, groups, associations and organisations must complete a Meeting Room Rental Contract at the time the room is reserved. The room rental fee is required at the time of reservation.
b. The use of the ICT Meeting Room in no way implies or suggests sponsorship or endorsement of the organisation or approval of the programme content by ICT.
c. The ICT building and meeting rooms are for business related purposes only. No personal events are to be scheduled for the building.
d. The ICT Meeting Room is located within the ICT’s office. Meeting activity for all participants is restricted to the rented room facility and restrooms only. Use of phones, desks or other items in the offices of ICT staff and its sub-tenants is prohibited.
e. Hours of use must include the amount of time needed for setup, function, and clean-up.
f. Arrangements for setup must be made with the administrative staff in advance. This includes requests for equipment, number and placement of tables and number and configuration of chairs.
g. ICT Staff does not operate any equipment for groups. It is the responsibility of the group to have a competent, trained person there to run the equipment.
3. ROOM SET-UP AND EQUIPMENT
a. The ICT meeting room comfortably caters for up to 20 persons
b. Meeting room rental rates include the following:
• Meeting/Conference – 10 Tables and 20 Chairs
• Data Display (70” Promethean Board)
• High Speed Internet Access (wireless)
• Podium
• Power/data connections
c. At an additional rate, the following amenities may be arranged:
• Coffee (Includes: cups, powdered creamer, sugar, napkins)
• Easel, Flip Chart & Markers
• Telephone
• Catering (refer to section 6)
4. LIABILITY AND SECURITY
a. Renters are responsible for any and all damage to the facilities and/or contents, equipment, furniture, fix-tures and other property. Any and all damage or equipment issues must be reported to the ICT staff immediately.
b. Renters will be charged to cover the full cost of repair and/or replacement cost of any damage to the facility and/or its contents, equipment, fixtures and other property.
c. ICT is not responsible for items belonging to the Renter or Renter's guests that have been left at the premises, are lost, stolen, and/or damaged during the rental period. Renter and renter's guests as renter's permitted invitees, release ICT from any liability for loss or damages to such property.
d. It is understood, ICT is in no way responsible for any personal injuries, property damages or other liabilities that may be incurred during use of their facility. Renter agrees to release indemnity and hold ICT harmless of any such damages.
5. CLEAN UP
a. The meeting room and restrooms must be left in the condition it was received. Renters are to ensure that all materials brought to the meeting area are removed from the premises, and all food and beverage brought into the building are removed and/or properly disposed of in appropriate trash receptacle(s). A clean-up fee will be charged if warranted.
b. ICT, in its sole discretion may refuse to rent to, or terminate the recurring rental agreement of renters who do not comply with this clean-up provision.
6. CATERING
a. Food and Beverage may be arranged by ICT from an approved caterers list or brought in by renter.
b. All costs incurred from arranged catering will be charged to renter.
7. MISCELLANEOUS
a. No adhesive tape, tacks, nails or staples are to be used on the meeting room walls and/or furniture.
b. No candles, open flames, or confetti are allowed.
c. Smoking is not permitted in the building.
8. CANCELLATIONS
a. Cancellations must be received 2 weeks prior to the date of usage. It is understood that after which, all payments are non-refundable.
