Vermont Suites Terms and Conditions Agreement
This Agreement ("Agreement") is entered into between Vermont Suites ("Hotel") and the guest ("Guest") upon reservation and check-in. By making a reservation, checking in, and/or staying at Vermont Suites, the Guest acknowledges, agrees to, and is bound by the following terms and conditions:
1. Reservations
1.1. All reservations must be made online through the Hotel’s official website, www.thevermontsuites.com. Reservations cannot be made via phone or at the hotel front desk.
1.2. A valid credit card is required to secure a reservation. Reservations are confirmed only when a valid credit card number is provided during the booking process.
2. Rates
2.1. All rates are quoted in U.S. Dollars and do not include applicable taxes and fees. 2.2. Rates published on the Hotel’s website or in any other promotional materials are subject to change at any time and may increase or decrease at the Hotel's discretion.
3. Check-In and Check-Out
3.1. Check-in time begins at 4:00 PM on the scheduled arrival date. Early check-in requests are subject to availability and may incur an additional fee.
3.2. Guests must be at least 18 years old to check-in. They must also present a valid photo ID and the credit card used for booking.
3.3. Check-out time is 11:00 AM. Requests for late check-out cannot be accommodated at this time. Failure to vacate the room by the stated check-out time may result in a late check-out fee of $40 per hour.
4. Payment Terms
4.1. Full payment for the Guest’s stay is required at the time of the reservation.
4.2. The Hotel accepts major credit/debit cards (Visa, Mastercard, American Express). Cash payments are not accepted.
4.3. All credit card transactions are subject to additional pre-authorization at check-in for incidentals. The pre-authorization amount may include room charges, taxes, and any additional incidental charges.
5. Cancellation and No-Show Policies
5.1. The Hotel is not responsible for weather conditions, personal emergencies, or schedule changes. Reservations must be canceled in accordance with the cancellation policies applicable to the reservation. Failure to comply with said cancellation policies may result in charges to the Guest’s guaranteed payment method.
5.2. Failure to check in on the scheduled arrival date for a reservation guaranteed with a credit card will result in a No-Show fee being charged to the Guest’s credit card. The charge amount may vary based on the cancellation policy.
6. Extension of Stay
6.1. Requests to extend a stay should be made as early as possible. Extensions are subject to availability and the same payment, check-in, and check-out policies as the original reservation. All extension requests must be made via the Hotel’s website, www.thevermontsuites.com.
7. Damage and Liability
7.1. The Guest is liable for any damage caused to the room(s), hotel premises, or property, whether by deliberate, negligent, or reckless acts. The Hotel reserves the right to retain credit/debit card details and charge for any damages incurred during the stay, including but not limited to property damage, missing or damaged items, cleaning fees, and guest compensation.
7.2. Should damage be discovered after the Guest has departed, the Hotel reserves the right to charge the Guest’s credit or debit card for any damages without limitation.
8. No Smoking Policy
8.1. The Hotel is a 100% smoke-free property. Smoking in any part of the Hotel, including guest rooms, will result in a $1,000 cleaning fee and may result in immediate eviction without a refund. This includes the use of e-cigarettes, vape pens, and other similar devices.
8.2. Guests’ reservations will be canceled, and no refund will be offered for the booking if this policy is violated.
9. Pets
9.1. Pets are welcome but must be disclosed at the time of reservation. A pet fee of $500 per stay applies. Service animals are exempt from this fee.
9.2. Pets must always be supervised and not allowed in common areas.
10. Quiet Hours
10.1. Quiet hours are from 9:00 PM to 9:00 AM. Guests are requested to respect the comfort of others by keeping noise to a minimum during these times.
10.2 Visitors are allowed in guest rooms until 09:00 PM. All visitors must be registered at the front desk. The registered guest is responsible for their visitor's conduct.
11. Safety and Security
11.1. Guests must adhere to all fire safety policies, including the prohibition of candles, incense, and other open flames. Tampering with fire alarms, smoke detectors, or other safety equipment is grounds for immediate eviction and may result in legal action.
11.2. The possession of firearms or other weapons and illegal substances is strictly prohibited on Hotel premises. Violation of this policy will result in immediate eviction and notification to law enforcement.
12. Right to Refuse Service
12.1. The Hotel reserves the right to refuse service to anyone for any reason(s) that do not violate Federal or State laws. The Hotel has a zero-tolerance policy in which it will refuse to admit or refuse service or accommodation or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by local, state, and federal law and the owners for the operation and management of the Hotel.
12.2. The Hotel will refuse service or evict a Guest for reasons including but not limited to refusal or failure to pay for accommodations; being under the influence of alcohol, drugs, or any other intoxicating substance and acting in a disorderly fashion; not complying with state liquor laws; being unable to properly supervise their children at all times; seeking to use the hotel for an unlawful purpose; seeking to bring into the Hotel a firearm, any explosive or hazardous or toxic substance that is unlawful to possess and that may be dangerous to other persons; damaging, defacing, or threatening harm to hotel property or persons; exceeding the maximum allowable occupancy of a room; or refusing to abide by the reasonable standards or policies established by the Hotel.
13. Additional Services and Policies
13.1. Parking: Parking is available for registered Guests. Vehicles parked on the premises are done so at the owner’s risk. The Hotel shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked at any parking lot.
13.2. Lost and Found: The Hotel assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. Any personal items left behind will be stored for up to 14 days. Vermont Suites is not responsible for lost or misplaced items. Guests can request the return of their items at their expense. Any food, drink, alcohol, or perishable items will be discarded immediately. Any toiletries or personal hygiene products, including makeup and perfumes, will be discarded immediately after a guest has checked out.
13.3. Housekeeping and Room Inspection: Housekeeping is provided daily. The Hotel reserves the right to enter guest rooms for reasonable purposes, such as housekeeping and maintenance, and to address or prevent violations of Hotel policies.
13.4. Alcohol Policy: Guests of legal age may bring their alcoholic beverages but must consume them in their room. Alcohol is not allowed in public areas. 13.5. No In-Room Party Policy: The Hotel enforces a strict No In-Room Party Policy to protect the comfort and safety of all Guests.
14. Terms and Conditions Updates
14.1. The Hotel reserves the right to change these terms and conditions at any time without prior notice. The revised terms and conditions will be posted on the Hotel’s website immediately. Guests are encouraged to check the latest information posted on the website to stay informed of any changes.
15. Governing Law
15.1. This Agreement shall be governed by and construed in accordance with the laws of the state in which Vermont Suites is located, without regard to its conflict of law provisions.
By confirming your reservation, checking in, and/or staying at Vermont Suites, you acknowledge that you have read, understood, and agreed to be bound by this Agreement and the terms and conditions contained herein.
If you do not agree to these terms and conditions, you must cancel your reservation and refrain from staying at Vermont Suites.
