Thank you for your interest in another Black Rock event at Sayre House. We are currently seeking vendors of all things wild, witchy and weird. We do not accept MLM or direct sales.

This is a rain or shine event so please come prepared for all weather.

Upon recieving your application with payment you will recieve an automatic reciept of your submission, check spam if you do not see it. At this time you will be registeded to vend the event. If we see any problems or issues with your application we will be in touch. Set up instructions typically go out about a week prior to the event. Please keep an eye on your email at that time for emails from Blackrockeventsco@gmail.com.

If you have not already joined the vendor facebook group you are encouraged to do so for the ost up to date information. You can find the link at blackrockeventsco.com/vendors.

You are also encouraged to make self promotion posts in the discussion portion of the event.

Please be aware there is a merchants permit required for vendors to do business in the city of Bethlehem. You will find it available for download below. The cost is $25. This is an annual permit so if you have applied for this for other events in 2025 you will not need a second one. Likewise, if you have other events planned for the season withing the city of bethlehem, such ar our paranormal event in October, this will cover you for those as well. We are required to make sure all vendors have this permit and will be sent a list of vendors not in complience prior to the event so please be aware that the city DOES inforce this.

APPLICATION PROCESS

1. Download the appropriate form for new or returning vendors.
2. Fill out the mail in forms (or utilize the online option).
3. Make TWO copies of your forms and payment information.
4. Keep one copy for yourself.
5. Forward one copy of your submissions to Dana Potts at dpotts@bethlehem-pa.gov
6. Submit original copy and your payment information to Tri-State Financial Group at:

FIRST TIME APPLICANTS

Licenses are granted on a fiscal year basis. Please note the FIRST event date of 5/10/25 to ensure the application is not applied to previous time periods. You may note this in the upper left hand corner of the application.

THESE SUBMISSIONS ARE TRACKED! PLEASE SUBMIT YOUR PERMIT APPLICATIONS EARLY TO AVOID LAST MINUTE RUSHES. Approximately 2 weeks prior to the event I will receive a list of vendors from whom the city is still awaiting applications from. Please submit your mercantile license form ASAP.

I attest that I am in fact the contact person named herein and swear that by submitting this form I agree to the following statement: I assume all responsibility and liability for my participation and hold the venue, Black Rock Events Coordination and associates harmless of all liability for damages, theft an/or other losses. I am responsible for my own insurance and liability coverage and will be held liable for any damages that arise from my participation. I understand that vendor fees are non-refundable regardless of changes to an event and that in the event of cancellation my vendor fee may be applied to other events with Black Rock Events upon approval. Refunds will not be made for a vendor's inability to attend for any reason.

ASA PACKER ROOM SINGLE SPACELower level space requires carrying equipment down stairs. Single spaces can fit one 6ft table with an additional small table or stand alone rack, clothing racks, etc. APPROXIMATELY 8-10 ft of space. YOU MUST BRUNG YOUR OWN TABLES. Tables in the room are designated for double spaces.

DINING ROOM SPACEThese spaces are small and tightly nestled in the dining room which will be a thoroughfare to the outside on the day of the event. Suitable for vendors with limited inventory, tarot readers, etc. OR vendors with larger inventory that would like to secure more than one of these spaces for things such as large displays and clothing racks. NOTE: spaces pictured are as they are set up for service. For the event, you will be provided with TWO of the tables shown to create your nook. APPROXIMATELY 5ft.

OUTDOOR PARTY TENT SPACESSpaces are approximately 8x8ft under a covered patio attached to the house. You will need to provide tables. This tent is where the music & food will be. NOTE: the image was taken in March while tent coverings were not on.

OUTDOOR 10X10 LAWN SPACESJust what they seem. 10x10 space for your EZ Up or the like on grass. I have done my best to select the most level ground possible but you may with to come prepared for slight unevenness in the ground. You provide tables, tents, chairs, etc.
