TRAVISSO – FACILITY RENTAL REQUEST

Thank you for your interest in having your event at the Palazzo at Travisso. In order to ensure your event is a success, please review the following guidelines regarding renting and utilizing Travisso’s Amenities. Travisso’s amenities rules and policies are always in effect and apply during rental periods. The attached application form must be filled out in its entirety for all events.Reservations are on a first-come, first-served basis and the areas and times may not be shared if a prior, conflicting reservation has been made.
Members interested in the rental of facilities must fill out the online application form to request approval. RESERVATIONS ARE NOT APPROVED UNTIL YOU HAVE PAID AT THE AMMENITY CENTER. Areas available for rental are the Toscana Room and Pavilion. The pool is not available for rental, nor may it be used during a private event. Each area constitutes one rental.
Rentals are approved for the current calendar year only, up to 3 months in advance. At the time the reservation is made, a check or money order (no cash), for the security deposit ($300.00), and the payment ($150 for one space) must be delivered to the Lifestyle Director or Community Manager, along with completed paperwork and, if applicable, insurance certificate(s).
Each Member renting the Amenities must sign and execute a Facility Rental Request. Regardless of whether the Facility Rental Request is executed, the Member is bound by the Facility Rental Request, which is incorporated herein by this reference.
Upon receipt of the completed application form, payment of the security deposit ($300.00), and payment ($150.00) and all required additional documentation, the Lifestyle Director will verbally approve or send an email confirmation of your approved event, date and time.
Claimed reservations not posted and evidenced by a fully executed Facility Rental Request form may not be honored. Members may not access a reserved space prior to their scheduled time, nor remain in the reserved space after their scheduled time.
A reservation may be refused, at the sole discretion of the Board of Directors, with no reason being given. A reserved event may be terminated during its execution if, in the judgment of the management, it poses a threat of harm or danger to property, other Members or their guests, or loss of quiet enjoyment by other Members of the Travisso Community.
General Room and Facility Rental Guidelines Members may reserve the Toscana Room and Pavilion to use those areas on an exclusive or semi-exclusive basis. Unless otherwise directed by the Travisso association, only Members may reserve the Amenities for parties and events. Rental of a specific room/area ONLY includes the reserved room/area, and does not include the use of any other Travisso Amenities (including the pool). Any gathering that includes 10 people or more is considered a private event and must be approved by the association.
Members may NOT reserve the pool, nor may they use the pool during their private event.
Members Only: Travisso Amenities (including adjacent restrooms) may only be rented by residents and renters who live within the Travisso Community Development (“Travisso”).
o Members are responsible for all Guests.
o Members must be present for the entirety of the event.
o Members must be in good standing with Travisso.
Rates and Deposits. The rental rates and deposits for use of the Amenities are as set forth in Travisso’s rules (and stated herein). The payment and deposit will secure the rental time, location and date. To receive the full refund of the deposit within (14) days after the party, the renter must:
o Remove all garbage, place in dumpster and replace garbage liners
o Wipe down all tables, return chairs to the carrier and fold up all tables
o Sweep, mop and/or vacuum the rented area
o Take down all decorations or event displays (no decorations or displays are allowed to be placed on Toscana walls at any time); and
o Otherwise clean the rented Amenities and restore them to their pre-rented condition,
and to the satisfaction of the Travisso Management Team.
Failure to complete any of the above stipulations will result in a fine of $50 per infraction. The
Board of Directors reserves the right to review the refund policy on a case-by-case basis. A pre and post walk through checklist, for each event, will be completed by both the Member and the Management team In the event a Member’s use of the reserved facilities exceeds the time reserved, the Member will be billed $100.00 for each 60-minute period past the reservation time.
Prohibited Decorations: The use of confetti, glitter, loose sparkles/table scatter pieces, rose petals, rice, or other small materials that can fall to the floor or blow away is prohibited. All other decorations must be removed by the Member before the end of rental period. No decorations are allowed to be affixed to the Toscana room walls.
Food & Drinks: The Member entering into this Facility Rental Request may bring in his or her own food and beverages. If the Member desires to have alcohol available at the event, the Member must notify the Lifestyle Director in advance. Event general liability insurance may be required for events serving alcohol and from all catering services. Use of propane to heat or cook food is prohibited.
Set up/Break down: Members are solely responsible for the set up and break down of the event. At no time will furniture from one area of the Palazzo be relocated to another area.
Computation of Rental Time: The rental time period is inclusive of set-up and clean-up time.
Duration of Events: Unless otherwise authorized by the Travisso association, each rental shall be for six hours. No rentals will begin before 9:00 am or extend past 10:00 pm.
Available Hours: Only two rentals per day will be permitted. Two additional hours may be purchased at $50/hour with 7 days prior notice approved by the Community Manager and/or Lifestyle Director. Additional hours purchased must be within the 9:00 am-10:00 pm time frame and run concurrent with rental time. All private rentals, including clean up, at the Palazzo must be completed by 10:00 pm.
Cancellation Policy: Reservations must be cancelled at least 7 days in advance in order to guarantee a refund of the room payment and deposit.
Usage: Rentals are for private use only i.e. birthday parties, anniversary parties, baby showers.
o No open access to the public allowed
o No profit generating opportunities allowed
o No soliciting
o No promotion of business
o No onsite sales
o Usage of the Palazzo sound system and screens is prohibited
Order of rentals: Rentals will be considered in the following order:
o Declarant
o Board of Directors
o Developer marketing and sales events
o Association events
o Charters Committee meetings and events
o Clubs/Classes
o Private events
Capacity. The capacity limit of each room shall not be exceeded at any time.
Noise. The volume of live or recorded music must not violate applicable County noise
ordinances, or unreasonably interfere with residents’ enjoyment of their homes.
Bounce Houses & Other Structures. Bounce houses and similar apparatus are not permitted on
Travisso property.
Insurance. Additional liability insurance coverage will be required for all events that use catering
services, or for other events that the Travisso association determines in its sole discretion should
require additional liability insurance. The Travisso association is to be named on these policies as
an additional insured party. A copy of the contractors insurance must be provided 72 hours
prior to the event.
Surveillance Cameras. In use by Travisso Community Association at all times.
Room and Facility Rental Fees
The member may rent the Pavilion or Toscana Room at the following rates:

Indemnification
The Member agrees that by submission of the rental application, he/she will be held liable for all damages, losses and expenses incurred by Travisso caused by the acts and/or omissions of the Member, or any of his or her guest, agents, officers, directors, employees, consultants, or similar persons. Further, Member agrees to indemnify, defend and hold Travisso harmless of all claims, suits, judgments, damages, losses and expenses, including but not limited to court cost, expert witnesses, consultation services and attorney fees, arising from all acts and/or omissions of the Member, or any of his/her guests, agents, officers, directors, employees, consultants, or similar persons.
Nothing contained in this rental policy or rental application shall constitute or be construed as a waiver of the Palazzo at Travisso’s limitations on liability.
Insurance Requirements
The Travisso reserves the right to require additional liability insurance coverage for any event that it determines, in its sole discretion, to need such liability coverage.
