    Registration for Yearly Meeting 2025

  • Yearly Meeting (YM 2025) will be held at the Whanganui Quaker Settlement, and online.

    Yearly Meeting itself starts immediately after dinner on Friday 23 May, and ends just before lunch on Monday 26 May.  The Preparation day (optional) begins after lunch on Thursday 22 May.

    Further down this form, you will have the chance to indicate whether you plan to attend online or in-person.

    Please note that a early-bird discount of 5% is available if you register by 24 April, and the final dates for registration are 8 May (if in person) or 15 May (if online).

  • If you are 26 years of age or younger, you are entitled to a 50% reduction in costs of registration, accommodation, and meals.

  • Your total cost will be reduced by 50%.  This reduction in costs wiill be taken into account when the amount you need to pay is calculated at the end of this form.

  • Note that as you are registering as an "early bird" (i.e. by 24 April) you are entitled to a 5% reduction in all costs below.  This 5% discount will be taken into account when the amount you need to pay is calculated at the end of this form.

  • A daily registration fee is charged for all those attending Yearly Meeting, whether in person or online. However you are intending to join Yearly Meeting, you need to fill in this table:

  • In-person or Online?

    (Note if you intend to attend part of YM online and part in person, please choose "In-person at the Settlement", but also email Alistair Hall (ahall@inspire.net.nz) to let us know which days you will be attending in person and which online)

  • Coming to YM 2025 online

  • Business meetings will be hybrid. Some will be participating in person at the Settlement, and others will be joining by Zoom.  People attending online by Zoom will be able to hear what happens in the room, and will be able to indicate their wish to speak, and be invited by the Clerks to speak; in this case everyone (in the room and on Zoom) will hear what they say.

  • Coming to YM 2025 in-person at The Settlement

  • Preparation Day

  • A preparation day will be held prior to Yearly Meeting, Thursday afternoon and Friday Morning.  The registration charge for attending the Preparation Day is $10.

  • Accommodation Options

     There are about seven options for accommodation for YM25: 

    Accommodation at The Settlement

    The sleeping-house. Dormitory-style $42 per night (b&b), with shared bathroom. Linen and towel can be supplied for a one-off cost of $10, otherwise BYO linen or sleeping bag, etc

    The Units. Twin-share (we'll try to give you your preference of room-mate). $58 per night per person (b&b).

    Bring your caravan/motor home. Powered site. $21 per night per person (b&b).

    Tent site. BYO everything, power available. $16 per night per person (b&b).

    Billet at the Settlement. $58 per night per person (b&b).

    Accommodation away from The Settlement

    Mt St Joseph Retreat. About 1km from Settlement. Single room. $63 per night per person.  Breakfast will be provided at the Settlement.

    Organise your own accommodation. With your friends, or commercially.

    In allocating accommodation, we will note the people who have their own transport, and who have mobility issues, and try to get a harmonious mix. Obviously, those who register early are more likely to be given their preference.

  • Meals Options


    Catering is provided at YM, at the Settlement. The lovely Tess and Grant will cater. All meals are vegetarian. Vegan options are offered most meals. Other dietary needs can be noted, and provided for in many cases.

    Breakfasts

    All accommodation options are planned to be Bed & Breakfast (b&b). That is to say, if you arrange your own accommodation, you would have breakfast in your accommodation, then come to the Settlement for the YM sessions.

    If your accommodation is on-campus at the Settlement, or at Mt St Joseph Retreat, your breakfast will be available in the Common Room at the Settlement.

    Please choose the meals you want provided, and which nights you require accommodation.  Remember that the Preparation Day starts at 2pm on Thursday Afternoon, and Yearly Meeting itself starts after Dinner on Friday

  • If you are arriving in Whanganui by public transport (e.g. bus, aeroplane) and would like a ride to the Settlement, please enter details (where and when you will be arriving, and details of the flight or bus service). Otherwise leave blank.

  • You will be contacted about transport arrangements closer to the time of YM

    Thank you for supplying the information that will help us plan for a happy and successful YM 2025.

    Your registration will be reviewed quickly. Allocations of accommodation will be made as soon as practicable. Some options may disappear when they are filled.

    As indicated earlier, early registrants are more likely to be allocated what they asked for. However, the special needs of some Friends may mean that priorities are shuffled in some cases.

     

    Technical Assistance Needed

    If attending online: We need some online participants who can do Zoom Hosting roles, during and after formal sessions. We will want to run some conviviality sessions for people online, with breakout rooms. Some assistance with this will be very welcome.
    If attending in person: In the room, some roles needed are:
        • Microphone caddying,
        • Sound managing
        • Camera tracking
        • Vision switching

    All of these can have some apprenticeship-style training, so don’t need to be scary.  Any assistance will be greatly appreciated.  Any questions about what is involved contact Michael Searle (Michael.Searle@iinet.net.au)

  • Cost and Money

  • This total includes the cost of your first accommodation preference. We ask that you pay this amount as soon as possible. If the cost of the accommodation you are allocated is different from that of your first preference, then you will either receive a refund or be asked to pay for any additional cost. 

  • Please pay as soon as you can - late completion of registration causes headaches for everyone.

    We do recognise that times are hard for many people, and we don't want to impose a financial barrier. If you are in hardship, you can approach your Meeting, who have funds to subsidise people to attend YM.

    Registration is completed when all the money is received. For anyone who has difficulty making an online transfer of money, we hope that a friend could assist the person by lodging their payment for them.
