Thank you for choosing KAJN Tax Services. We’re committed to providing professional, accurate, and ethical tax preparation services designed to help you meet your tax obligations and maximize your eligible credits and deductions.
This letter outlines the terms of our engagement, including our responsibilities, your responsibilities, fees, policies, and important notices. Please read it carefully before signing.
1. Scope of Services
Our engagement is limited to the preparation of your federal and state income tax returns based on the information you provide. We do not audit, review, or verify data submitted to us. While we may request clarification or documentation, the accuracy and completeness of the information remain your responsibility.
We will not provide legal, financial planning, or investment advice unless separately engaged to do so. Any additional service outside tax preparation will require a new agreement.
A checklist may be provided to help you gather the required information. If any tax matters are uncertain, we will discuss options and explain the potential outcomes, but you make the final decision on how to proceed.
2. Accuracy, Completeness, and Documentation
To prepare your return accurately, you must provide complete, correct, and truthful information. This includes all income documents, expense records, deductions, and credits.
Examples include but are not limited to:
All W-2, 1099, 1098, and 1095 forms
Business income and expenses (Profit & Loss statements or self-employment worksheets)
Receipts for deductible expenses
Childcare, education, and dependent records
Failure to provide accurate or complete documentation may result in errors, penalties, delays, or IRS audits. KAJN Tax Services, LLC is not responsible for any additional tax, penalties, interest, or legal consequences arising from missing, false, or incomplete information.
If at any time we discover information that appears incorrect or inconsistent, we may pause or decline to proceed with your return until the matter is resolved.
3. Confidentiality
Your privacy is important to us. We safeguard your personal and financial information through secure systems and procedures in accordance with federal privacy laws.
4. Engagement Limitations
This engagement does not include:
IRS or state audit representation (unless Audit Protection is purchased)
Bookkeeping or financial statement preparation
Fraud investigation or legal representation
We will, however, alert you to any significant issues that come to our attention during preparation.
5. Tax Law Interpretation
Tax laws are complex and subject to interpretation. We will explain possible positions and their associated risks. The final decision will be yours. We will not take an unreasonable or unsupportable position on your return.
6. Fee Structure
Fees are based on the complexity of your return and additional schedules or forms required.
Additional charges may apply for:
Multiple businesses or rentals
Capital gains and investment income
Itemized deductions with receipts
Real estate transactions
Prior-year or amended returns
⏱ Additional Hourly Rate: $126/hour
All extra fees will be disclosed and approved before work begins.
7. Payment Options
Paying from your refund:
If you choose to have your tax preparation fees taken directly from your tax refund, additional fees for tax preparation, banking, and processing will apply.
In this case, they estimate $340.95 will be deducted on top of your regular tax preparation fee when your refund is sent to you.
Important: The $340.95 does not include the tax preparation fee itself, which is extra this is just the processing and banking fees charged for using the pay by refund option.
Paying out-of-pocket:
You can pay the fees upfront (out-of-pocket) instead of taking them from your refund. This lets you avoid the extra $340.95 deduction, since you’re paying directly rather than through the refund disbursement.
If your refund is delayed or intercepted: If the IRS or your state holds, reduces, or intercepts your refund (for things like child support, student loans, back taxes, etc.), you still owe the tax preparation fees. You’ll need to pay within 30 days after you receive notice of the delay or interception.
Payment Plans
Option 1: 50% upfront, 50% in 2 weeks
Option 2: 50% upfront, 25% in 2 weeks, 25% in 4 weeks
8. Refund Options and Processing
Most refunds are issued within 21 days of IRS acceptance; however, this is not guaranteed. Refund timing depends solely on the IRS and state agencies.
You can check your refund status at www.irs.gov/refunds or by calling 1-800-829-1040.
We are not responsible for delays, offsets, or changes to refund amounts caused by IRS or state agency actions.
9. No Refund Policy
All payments made to KAJN Tax Services are non-refundable, regardless of:
The outcome of your tax return
The refund amount issued or changed
IRS or state adjustments, audits, or offsets
Your decision to withdraw after work has begun
Once your return has been prepared or filed, all fees are considered earned.
10. Audit Protection (Optional)
Audit Protection is an optional service available for $74.95, purchased at the time of filing. This covers IRS correspondence assistance and representation related to the return we prepared.
If you choose not to purchase Audit Protection and later become subject to an IRS or state audit, KAJN Tax Services, LLC will not be responsible for any related correspondence, fees, or penalties.
Support for such audits will be available at an additional hourly rate if you wish to hire us for representation.
11. Business Clients
Business owners and independent contractors must provide:
A Profit & Loss statement, or
A Revenue and Expense worksheet (provided by us if needed).
Incomplete records may delay preparation and increase fees.
12. Right to Decline or Terminate Services
We reserve the right to refuse or discontinue service if we identify fraudulent activity, unethical behavior, or lack of cooperation. Your documents will be returned, and no further work will be performed.
13. Document Submission & Deadlines
Within 48–72 hours of signing this engagement, you must:
Submit all required documents
Complete any payments or deposits
Sign all authorization forms
Failure to meet these requirements will result in account deactivation.
Reactivation Fee: $101 (due before resuming work)
14. Record Retention
All original documents will be returned to you after your tax return is complete. Please keep your copies for at least three (3) years.
KAJN Tax Services retains digital files for three years, after which they are permanently destroyed.
Copies requested after completion are $15 per copy.
15. Conclusion of Engagement
This engagement concludes once:
You have signed the completed tax return, and
The return has been filed electronically or delivered to you for mailing.
Future work requires a new engagement or renewal.
16. Continuing Relationship
This agreement remains valid for future tax years unless canceled in writing.

17. Acknowledgment & Acceptance
By signing below, you confirm that you:
Have read and understand this agreement.
Accept full responsibility for providing accurate and complete information.
Agree to all policies, including the non-refundable payment, accuracy, and audit protection terms.
Authorize KAJN Tax Services to prepare your tax returns based on the data provided.
