  • Insurance Coverage

    Insurance Coverage is required for all events.

    Coverage:

    A minimum $1,000,000 must be secured adding “Stanislaus Veterans Center, its agents, representatives, and employees, guests or invitees brought into the facility or parking lot during the event as additional insured.”

    Policy submission:

    If your application is less than 30 days before the intended event date you are required to submit the insurance policy when Total - Reservation Fees are due.

    *Please refer to the Payment Policy to see when Reservation Fees are due.

    You are required to submit proof of insurance to our office no later than 30 days before the date of your event.

    Failure to submit insurance may result in the cancellation of your event.

  • I.) Room Layout 

    Each rental space has a predetermined table and chair layout.

    The layout scheme is located on the rental room doors.

    • Renters may rearrange the room to fit their needs but must return it to the original layout.

    • Failure to return the room to its original layout may result in additional charges.
  • II.) Hours of Operation

    All Events will end in time to allow for cleaning, inspection, and all patrons exiting the building no later than the scheduled end time of the event the client indicated on page 2 of the application. 

    Evening Events will end in time to allow for cleaning, inspection, and all patrons exiting the building no later than 11:00pm

    If the renter is not ready to leave by 11:00pm, a usage fee of $100 for every 30 minutes after 11:00pm may be charged against the Renter’s Security Deposit (30 minute min)

  • III.) Payment Policy

    Payment Deadline: All fees must be paid two weeks before the scheduled event.

    Accepted Payment Methods: Payments must be made in check or money order only; credit or debit cards are not accepted.

    Payment Location: Payments must be made in person with the facility coordinator at 123 Cherry Way.

    Organization Verification: If claiming a discount for Veteran, Non-profit, or Veterans Service Organization status, appropriate documentation listed on page 5 of the application must be provided.

    • If documentation is not submitted with the application, it must be brought to the office on the day of payment.
      Failure to submit proof by the payment day will result in the discount being revoked, and the client will be required to pay the standard fee.
  • IV.) Trash

    All trash and food waste must be placed in dumpsters behind the building.

    The lock combination for the dumpsters is posted on the kitchen door leading outside.

  • V.) Decorations

    All decorations and event items brought in to the facility will be removed by the renter following the end of the event.
     
    All decorations must be fire retardant.


    Staples, tacks, or tape (with the exception of painters tape) are not allowed.

    Balloons must be secured and not released. 


    Any equipment to be brought on site, is to be okayed by the facility manager, and must be delivered and picked up within renter’s reserved time.

    Any items left on the premises will be disposed of the next buisness day.

     

  • VI.) Cleaning

    Responsibility for Cleaning: As the renter, you are responsible for cleaning up after your event to ensure the rental space is returned to its original state. Please follow the cleaning checklist provided.

    Access to Cleaning Checklist:

    Email: Our office will email the cleaning checklist to primary contact. You may email our office, reservations_svc@stancounty.com to request the cleaning checklist.

    Online: You can view the cleaning checklist by clicking here.
    On-site: The checklist is also available in the rental space via QR codes on the rental room doors.

    Cleaning Time: allow time for cleaning, and all patrons exiting the building no later than the Event End Time the client listed on page 2 of the application.

    Inspection and Liability: The rental space will be inspected after your event. If you fail to complete the cleaning checklist, you may be liable for a cleaning fee.

    If you have any concerns or questions regarding the cleaning process, please visit the Facility Coordinator's office for assistance.

  • VII.) Security

    The Modesto Police Department requires security for all rental events with 100 or more guests.

    Security Guard Fee Rate:

    1 - 149 Guests = 1 Security Guard
    150 - 249 Guests = 2 Security Guards
    249 - 300 Guests = 3 Security Guards


    Security Fee Total = $25 per hour per Security Guard

    • The SVC Coordinator will make security arrangements for the event if applicable.
    • The deposit needs to be made payable to “Stanislaus County.” (Cash is not accepted).
    • Applicant/renter is responsible for the conduct of the guests attending the event.
    • For security purposes, your event may be monitored, or video recorded.
  • VIII.) Alcohol

    The Veterans Foundation of Stanislaus County holds the liquor license for the Stanislaus Veterans Center Lounge.                                                                      

    • No outside alcohol may be brought into the Stanislaus Veterans Center.
    • Any guest discovered with outside alcohol on the premises will be ejected from the event, no questions asked.
    • Alcoholic beverages must be kept inside the lounge or the rented room.
    • Serving alcohol to individuals under 21 or falsifying the event type may result in Modesto Police Department involvement and forfeiture of deposit.
    • Alcohol is not permitted at youth-oriented events ie. events celebrating individuals under 21.
    • No serving of alcohol after 11:00 pm, including weekends.

    Pricing and menu selection is determined by the Veterans Foundation of Stanislaus.

  • IX.) Cancellations

    All cancellations must be in writing no less than 30 days prior to the event, signed by the renter of the event.

    Cancellations may incur a potential fee of up to 50% of the deposit.

    Telephone calls for cancellation will not be accepted.

    • Upon receipt of the written cancellation notice, the refundable deposit will be mailed to the individual whose name and address appears on the Facility Use Application.
    • Any use that violates the conditions of the rental agreement and/or fails to comply with the law may cause the rental to be terminated with forfeiture of all fees.
  • X.) Open Flame

    Incense, fog machines, haze, or smoke use is not permitted.

    Fire and open flames are strictly prohibited unless written approval is granted by the Modesto Fire Department in the form of a permit.

  • XI.) Damage

    In the event of damage, destruction, or defacement of the facility, the renter will be liable for all expenses required to repair, restore, or replace in damages.

  • XII.) Insurance Coverage

    Insurance is required for every event.

    If you would like to request the bar service provided by the Stanislaus Veterans Foundation, please contact the Lounge Manager Loretta Laughlin. 

        ****Please note that no outside alcohol is allowed on the premises.****

    The lounge service is a separate fee from your reservation.

    Payment and prices are determined by the Stanislaus Veterans Foundation.
